Sponsorship Packages include an allocation of complimentary conference tickets. 6 TERMS & CONDITIONS Please Note: as some sponsorship categories are offered on an exclusive basis, sponsorship offers will be allocated on a first received basis. * Sponsors stalls will only need to be manned during conference breaks. The cost of stall holders passes cover catering programs and registration to the VIP Speaker and Sponsor private dinner event. Alternatively, delegates attending the conference are welcome to man their stalls during breaks. Sponsorship will be considered and allocated only after receipt of a signed sponsorship application form. All sponsors must engage in behaviours at the conference that align with the core values of the GEA. These values are shared across all stakeholders to ensure effective partnerships: Business excellence & commitment to promoting a genuine safety culture Environmentally responsible behaviour and respect for individual and stakeholders rights Highest standards of corporate governance and unquestionable ethics A confirmation letter will be provided to sponsors upon receipt of a signed sponsorship application. Confirmation letter will request credit card details for security. Credit card will not be charged, unless sponsorship is unpaid before the event or if sponsorship is cancelled without payment in which case, 50% of the sponsorship price will be charged. Invoice for full payment will be sent on July with 60 days to pay. If sponsors would like to discuss payment options or would like to pay for sponsorship before the end of financial year, please contact GEA. In the event of sponsorship cancellation or withdrawal by the sponsor, the GEA reserves the right to retain 50% of sponsorship paid. All cancellations must be advised in writing. No refunds of sponsorship monies will be given for cancellations received after August Sponsors must negotiate and receive written approval from the GEA prior to assigning, subletting or appointing the whole or any party. GEA will assign sponsor corporate display space. Display space will be assigned on sponsorship level basis. Sponsors are encouraged to distribute literature, run demonstrations, and market products and services within the boundaries of the sponsors assigned display space. All booth furnishings must be within the confines of the assigned space and may be in no way interfering with adjacent space. Displays must be constructed safely, occupied and dismantled in accordance with

7 GEA s agenda. Pins/staples/Velcro etc may not be used on GECC walls for displays. Stalls are approximately 2m x 2m and it is the responsibility of sponsors to provide all equipment (with the exception of table, tablecloth, television and dvd players) for stalls. Partitions, fixtures etc are not provided. GEA intends to host the event at the Gladstone Entertainment and Convention Centre however reserves the right to change the venue if circumstances change. Sponsors will be advised immediately if the venue is changed. The GEA Reserves the right to review all display materials provided by a sponsor and may refuse permission to market products or service GEA deems objectionable or unsuitable for the vent. The GEA accept not responsibility for damage to display by loss, damage, theft, fire, water, storms, strikes, riots or any cause whatsoever. Sponsors are advised to insure against such liability. The Sponsor will indemnify the GEA in respect of any claims and demands in respect thereof. Sponsors are encouraged to make available marketing flyers, or promotional material at their stall. If applicable, all satchel material is to be delivered to the GEA office by set time. The GEA will make every effort to ensure the care of promotional material: however, no responsibility will be taken for loss or damage. Note: Bottled water cannot be accepted as promotional material for satchels as these items are exclusive sponsorship categories The GEA reserves the right to change the venue and/or duration of the conference if exceptional circumstances demand. In the event of a change of venue and/or duration, the agreement to participate will remain in force so long as the sponsor is informed at least one month prior to the changes. GEA will use their best discretion to determine number of delegate satchels, notepads, pens and water bottles required for order. No additional orders will be placed. GEA will be responsible for selecting the style and design of the promotional items.
