1 Treasure Chest Bingo Association Summary of Roles & Responsibilities for Volunteers Volunteer Standards Policy (full version) is in the Lobby and Sign In Area, and tcba kingston.ca. Attendance Requirements Two bona fide member volunteers over 18 years of age must be present. All volunteers must attend a bingo training session before working their first shift. Volunteers may only be on duty for 4 hours per day (2 bingo shifts). Volunteers must sign the AODA binder when volunteering for the first time. Give your bingo coordinator lots of notice if you can t attend your assigned shift they are required to give TCBA at least five working days notice when returning a shift. Cell Phones/Electronic Devices All electronic devices are to be turned off and are not to be used phones, games, MP3 players, etc. Any emergency calls should be taken in the lobby. Dress Code Volunteers must: Look tidy, i.e. clothing in good shape, pressed, wellgroomed. Wear matching (same colour) collared shirt with logo; or vest with logo and collared shirt (same colour) underneath. Wear YOUR OWN nametag. Need a nametag? Fill out the form in the Sign In Binder. Wear conservative dark pants or skirt (solid colour). DO NOT wear: Denim (any colour), track pants, stretch pants, shorts, capri pants, tank tops, t shirts, sleeveless shirts. Scarves, sweaters, jackets, or anything that covers up the charity shirt or logo. Hats, unless for religious or health reasons; loud or distracting footwear, e.g. flip flops/beach footwear/crocs. New volunteers are provided 45 days after training to be in compliance with the Dress Code Policy. If you have been called in as a last minute replacement and you aren t in compliance with the dress code, be proactive and inform your bingo coordinator so that you don t receive a dress code infraction. Emergency Procedures IF YOU HEAR THE FIRE ALARM: Remain calm; evacuate building immediately through the nearest exit; close all doors behind you to reduce the spread of fire and smoke; proceed to the apartment building across the parking lot (West Side Stories). Inform the Chief Fire Warden if you have information about the emergency situation or persons requiring assistance in the building. Do not return to the building until it is declared safe to do so by the Chief Fire Warden or the Fire Department. Arrival Arrive 10 minutes early to allow time to Sign In! and be on the floor for the start of your shift. The Sign In binder is the only record of your group s attendance. The binder is located at the Sales Counter. Do not print or sign in for another volunteer. This may result in the loss of ¼ share for your charity. Remain on duty for your entire shift. The only exception is the 10:15pm Close shift volunteers may leave when cleanup is complete and most customers have left. Ask at the desk if there is anything, e.g. coupons, giveaways that you can help distribute. Set up your displays. Greetings This activity is done when bingo is NOT in session. You are the hosts, and often the first person a customer sees upon entering. Welcome customers as they arrive, assist in finding seats, open doors for people, socialize with customers. First impressions matter. Smile! New Customers: Welcome newcomers to the Bingo Centre; introduce yourself as the host charity and show them around the facilities. Point out the washrooms, snack bar, Lotto Booth, ATM machine, Gecko s, and staff. Escort them to the Sales Counter, and introduce them to the staff as a new player. Help them find a seat; assist them in getting set up. Check back with them periodically.

2 During Bingo Session Walk the floor SEPARATELY (keep moving!); watching for customers who may need assistance. Respond to client requests. Don t get involved in controversies, let staff handle. If runners are busy selling cards, they will eventually get to everyone. Do not wave down staff unless your customer is sitting behind a post and can t be seen. Do call backs when Bingo is called. If a customer retracts their call of bingo, you still need to call it back anyway, just in case. Ensure tables and floors remain clean and tidy, BUT always ask before removing anything from tables. Greet customers who arrive mid session. Return dirty dishes to the dish tub station; do not enter the kitchen. If absolutely needed, take separate five minute breaks behind the one of the counters in the lobby. It is expected that if you are only volunteering for two hours, you will not require a food break. How to do Call Backs Volunteers are not to accept any monetary tips from customers. During all call backs, check the monitors to ensure your customer s bingo card has been checked by the caller. For Bingos on the Gecko: Call back (loudly and clearly) the Gecko machine number located on the right side of the top green ribbon (above the bingo ball). The top left card is always the winning card. Call back the last three (3) digits on the bottom right of the card. Call back the numbers one digit at a time. Say zero not O. Congratulate the customer! Winnings are automatically posted to the Gecko. Check to ensure funds have been added to the customer s account (ask the customer). For Bingos on Paper: Identify the winning card and ensure the card colour is correct for special games. Call back (loudly and clearly) ALL numbers located on the bottom right of the card. Call back the numbers one digit at a time. Say zero not O. Congratulate the customer. Stay with the customer until the staff payout person arrives. NOTE: If a player yells bingo for another player who is absent from the table (washroom, TapTix, outside), you must wait until the absent player has returned to the table before calling back the bingo (1 2 minutes). Session Clean Up Assist staff in preparing the Bingo Centre for the next session. Clean up occurs after a session is complete, not during bingo. If the session has been busy, both volunteers help with the cleanup. If not busy, one volunteer goes to the Lobby to hold open doors for customers as they leave, thank customers for their support, and to wish them a good day or night. Once the majority of customers have left, assist the second volunteer with session clean up. Empty blue bins located under tables into the large blue bins, and return them to position. Collect, empty, and stack blue bins in Gecko area. Clear and clean tables: use spray on all tables after Budget and Late Night; all other sessions use when necessary, e.g. to remove ink, food remnants. Put chairs back in place. Log off any open Geckos. Keep in mind that Staff priority is selling cards. Last Session of the Day (10:15 pm Close) You may leave after cleanup is complete and most customers have left. Remember to turn off the TV and DVD, and lock up the grey poster containers and plexi frames. The General DVD can be left in the player. When Can You Play? You are NOT permitted to participate in any gaming activities (bingo, Lotto or scratch tickets, TapTix) during your assigned shift. Any abandoned coupons from customers are to be thrown out or turned in to the sales counter. If your assigned shift has ended but the bingo session is still in progress, you can only participate in gaming activities in the non session room (TapTix/POD) as long as you are not in uniform. Once the current bingo session has ended, you can participate in all gaming activities as long as you are not in uniform. Responsible Gaming Resource Centre Take the time to familiarize yourself with the kiosk and the onsite resources in the lobby so that you can answer questions. Inclement Weather Notify your bingo coordinator if you are unable to attend your bingo shift due to severe weather conditions (public alerts and weather warnings in effect).

4 Lottery, Break Open Lotto Booth Lottery and break open tickets can be purchased at the Nevada Counter. TapTix (Break Open Ticket Machines in back room) An automated ticket dispenser that offers an interactive and exciting way to play break open tickets. Regular Games Books: six (6) regular games come in the book paper and Gecko books available in 2 & 3 wide a book must be purchased before you can purchase any Special Games Books and Gecko Funds purchased at Sales Counter. Warm Up Games Warm Ups (noon) games played before the Matinee Session (12:30 pm) starts. Lickety Split (6:15 pm) games played before the Evening Session (7 pm) starts. Lightnings five (5) games called rapidly (before every session) as a warm up; gives latecomers time to come in and get set up. These games can be purchased at the Sales Counter and on the Gecko. Turbo Challenge An electronic shutter board style bingo game only played on Gecko. Special Games Specials: payout is usually a % of sales up to a maximum NOT in the regular book These games can be purchased from the Runners, on the Gecko, or at the Sales Counter. Share the Wealth: in most sessions, played in two parts: block of nine, then full card payout is 10% of sales for block of nine; 50% of sales for full card budget bingo plays the letter H, with payout of 60% of sales Double Action: must be purchased on floor from Runner each square has two numbers on it if either number called, whole square is dabbed 2 line game payout is a % of sales up to a maximum Bingo Games Explanation Jackpot In the regular book. Extras can be purchased from Runners or on Gecko. Prizes for 8 around ($50), picture frame ($50), and full card ($1,000) except for Budget Session. Budget session prizes for 8 around ($50) and full card ($500). Super Jackpot Progressive number game, starting at 50 numbers. Each session, another number is added until won. Top two (2) lines wins small prize. Full card within the number of balls wins Super Jackpot of $2,000 ($1,000 at Budget Session). Full card with more than the number of balls wins a lower consolation prize. Players Progressive Full card, accumulator game, starts with 50 numbers. 33.3% of daily sales goes to accumulation. Prize is won when bingo is achieved in under 50. When prize board reaches $5,000, an extra number is added each day. Consolation prize of 50% of session sales after $5,000, or 33.34% of sales before $5,000, with no maximum. Looney Pot Progressive pot, starts at $100, and in the past has gone up to $5, % of session sales added until won. Looney Pot games are identified on program. Looney Pot is won if bingo is called on the number following the Looney Pot indicator number. Must purchase at Sales Counter, and player s name is immediately written on receipt.

Volunteers are asked to pay attention to the session and activities taking place in the Bingo Centre during their time on duty and adjust the activity time according to the intention of the listed activity. Note also that greeting activities are to take place at the front lobby doors and not at the rear entrance of the Bingo Centre.
