2 Fall 2016 and Winter 2017 Community Recreation Guide Advertising Information Package Richmond Hill s Community Recreation Guide offers a prime marketplace for advertising your product( s ) to a family oriented and culturally diverse population that is active in a variety of educational, recreational and leisure activities. Community Recreation Guide Distribution Statistics Fifty-two thousand copies are distributed throughout Richmond Hill. Main distribution avenue of the Community Recreation Guide to Town of Richmond Hill residents is via an insert in The Liberal newspaper ( 52,000 copies of each edition ). Additional Community Recreation Guide copies are distributed at all Richmond Hill community centres, libraries, arenas and offices one week after distribution via The Liberal newspaper ( 22,000 additional copies). Six-month household retention rate. Community Recreation Guide Advertising Guidelines The priority for allotment of advertising space will be as follows: a) Community Services Department; b) Other Town Departments; c) Richmond Hill Public Library; d) Region of York; e) Not-for-profit local Affiliated Groups repeat ad; f) Not-for-profit local Affiliated Groups new ads; g) Local Commercial Ads not in competition with Town-run programs and services repeat ad; h) Local Commercial Ads not in competition with Town-run programs and services new ad; i) Non-Local Commercial Ads - not in competition with Town-run programs and services repeat ad; j) Non-Local Commercial Ads - not in competition with Town-run programs and services new ad. Advertisers are to be limited to ads no smaller than one eighth page and a maximum of one full page per issue, per advertiser, and will be responsible to supply press-ready artwork to correct size. Where the advertiser has agreed that the Town needs to modify the ad, additional fees will apply.

3 Advertising contracts will be granted in a fair and equitable manner based on the priority schedule as defined above. First right of refusal will apply where the advertisers have placed ad in the previous guide. Prior advertising with the Town does not guarantee advertising space. Space is determined in the priority order listed above and the Town has the final decision regarding all external ad placements. All advertisers will be required to adhere to the time frames for space requests, copy deadline and proof reading. Space for all new advertisers will be allocated on a first-come, first-served basis, based on the priority allotment order listed above, until the allocated space is fully reserved. The Department will provide all advertisers with clear guidelines regarding advertising rates, sizes and submission dates. Ad placement is at the discretion of the Town. All community advertising is produced in a greyscale colour format (no spot colour). The use of coupons and other cutouts in Community Recreation Guide advertisements is discouraged. Qualified advertisers from the previous edition of the Community Recreation Guide will be provided a first right of refusal for available advertising space for a limited time. Complete ad submissions will be date and time stamped upon receipt and will be treated on a first come, first serve basis. Please Note: Receipt of an ad does not confirm the reservation of ad space. Every effort will be made to accommodate advertising requests, however, ad placement cannot be guaranteed, as space is limited. Placement of ads will be at the discretion of staff. The size of an ad may be reduced when space restrictions are an issue ( the advertiser will be contacted ) and the number of full-page ads can be limited as well. Instructions for Reserving Advertising Space Advertising Request Complete and submit the advertising request for your desired Community Recreation Guide issue. Electronic requests are available at RichmondHill.ca/Advertising and can be ed to adevent@richmondhill.ca. Hard copies can be mailed or faxed in (see page one to get the mailing address and fax numbers).

4 Payment Review the advertising rates in the Advertising Request. Cheques are made payable to the Town of Richmond Hill. On the cheque reference line, note the Community Recreation Guide issue for which payment is being issued ( example: Payment for ¼ page ad in the Fall and Winter Community Recreation Guide ). Credit card payments are accepted by Visa and MasterCard only. Payments will be processed upon confirmation of advertising space for each issue of the Community Recreation Guide. Receipts, along with a copy of the Community Recreation Guide, will be mailed to advertisers after the distribution of the Community Recreation Guide. Invoices can be made available to advertisers upon request. Once the request, payment and advertisement copy are received, a confirmation will be sent to advertisers. Advertising Specifications Advertisements must have a resolution of 300 dpi or higher in greyscale format. Advertisements can be sent in PDF, JPEG, EPS or TIFF formats. All files less than 3 MB can be ed to adevent@richmondhill.ca. Files larger than 3 MB should be mailed or dropped off on a CD. Access to the advertiser s FTP site can also be provided to submit large files. Ad copies must be submitted in the designated dimensions or a surcharge will be applied for modifications.
