1 20th Topical Meeting of the RPSD Santa Fe, New Mexico, August th Topical Meeting of the Radiation Protection & Shielding Division of the ANS The Radiation Protection & Shielding Division, in conjunction with the local Trinity Section of the American Nuclear Society, is proud to host the RPSD-2018 Topical Meeting in Santa Fe, New Mexico, August Roughly 15 years ago, RPSD-2002 was held in Santa Fe and drew over 230 professionals and students from across the world. For RPSD-2018, we hope to improve upon those numbers with the help of staff members from Los Alamos, Sandia, and Oak Ridge National Laboratories who are invested in the successful planning and execution of RPSD Your help as a sponsor and/or exhibitor will ensure that RPSD-2018 is successful and wellattended. A high-quality, well-attended meeting provides an ideal environment for reaching a large number of present and future partners or customers in a single venue, and it is an excellent recruiting opportunity. Sponsor or exhibit at RPSD-2018 and remind the attendees that your organization or company is still relevant, and in business to serve this technical field. Why exhibit? An exhibit is a convenient fixed meeting point to make arrangements for further discussions with your present and future partners and customers and allows you to hear their suggestions for new projects, partnerships, products, and improvements to existing products, as well as an opportunity to discuss their needs, issues and challenges that currently are not met by any commercial company or other organization. If you are not interested in an exhibit, but would like gain exposure through sponsorship, we provide opportunities to sponsor specific events at the meeting, such as support for student attendance, coffee break(s), lunch(es), social events, and student best paper awards. 2 Corporate Sponsorship Options Below we provide a variety of sponsorship options. Each level includes specific benefits ranging from exclusive sponsorship of technical sessions, social events, refreshment breaks, and so forth. You can select a sponsorship level (Platinum, Gold, Silver, Bronze, or contributing) and if it includes a directed sponsorship benefit please refer to that section to select one or more options. 4 Exhibit at RPSD-2018 At RPSD-2018, the exhibition booths will be setup at the heart, or main collision space, of the meeting that is, the corridor adjacent to the main meeting rooms. This is the same location where all of the refreshment breaks will be held and will draw many of the attendees. The exhibition period for the meeting starts 8/27/18 and ends 8/29/18. Below are specific details regarding the booths: Booth Price of $2,000 includes: Advance annual meeting registration list Back wall (6 high) and side rail (3 high) fabric drapes General security General cleaning of aisles and exhibit floor (excluding individual booths) Recognition in meeting promotional materials One complimentary full registration for one individual or For an additional $500, three single-day registrations We are also providing an alternative to the exhibition booth called a Take One display. Take One displays will be set up on the second floor adjacent to the additional meeting rooms. No signage is provided for the Take One displays, but vendors may supply their own signs no larger than 22 x 28 inches. Take One Displays Price of $500 includes: Advance annual meeting registration list 6 Take One table with table draping General security General cleaning of aisles and exhibit floor (excluding individual booths) Recognition in meeting promotional materials Exhibit Hall Layout The diagram on the following page contains the tentative booth layout. Note that the booths are located nearby the main meeting rooms. In addition, refreshments will be served in this area making it an excellent collision space. Finally, we plan to serve lunch in the garden outside (pending weather) and the garden door between booths 2 and 3 is the only exit/entry point from the meeting space. 6 Set Up/Dismantle Exhibitors will have access to the exhibit hall Sunday evening 5-9 pm and again Monday morning 7-8 am. All exhibits must be installed before Monday morning at 8am, 8/26/2018. Exhibits must remain in place until Wednesday at 4 pm and must be dismantled by 9 pm Wednesday evening. Conflicting Events Policy The exhibitors attending the RPSD-2018 conference will be required, as a condition of their participation, not to sponsor conflicting events. Conflicting events are scientific, educational or social meetings of interest and relevance to conference attendees (including but not limited to receptions, presentations, seminars or workshops) that are scheduled during the same time frame encompassed by the conference technical program and conference social events. Reserve Your Exhibit Space 1. Study the floor plan and all materials enclosed. Check the online floor plan for the most up-to-date booth availability. 2. Identify four choices for the location of your booth. 3. Complete and return the exhibit space application form/contract with payment. Checks should be made payable to American Nuclear Society (ANS) 4. Ship exhibit materials to: 828 Paseo De Peralta, Santa Fe, NM (address the package to your company name noting RPSD-2018 e.g. My Organization (for RPSD-2018) ). There are no costs for storing material that arrives prior to the setup date (8/26/18), but the hotel asks as a courtesy that packages arrive no earlier than 8/22/18 5.
