1 Intermediate Allergy Functionality Set-up and Demo EHR-23 Sarah Cooke and April Wolfe
2 Setup is your allergy foundation. All information should be entered consistently and correctly.
3 User Permission Settings Prior to Allergy Setup training, make sure allergy permission levels are set for allergy personnel. This is found in Maintenance/User Levels in the EHR This may be customized per staff member.
4 Allergy Setup From the AllMeds home screen Navigation panel, click Maintenance Allergy setup folders are located at the bottom of the Maintenance screen
5 Antigen Inventory All antigens stocked by the office, their sources and availability are entered in the Allergy Antigen Inventory Four tabs starting at the right are: Laboratory List displays details regarding manufacturers or other sources of antigens Category List displays categories of antigens, such as dusts, molds, etc. Antigen List displays all antigens the office uses for testing and immunotherapy Inventory displays antigens available for use or already used for immunotherapy
6 Lab and Category List To add click Add New Double click New and type in the name To remove highlight the name and click Delete You may only delete during set up- once used in the patient record it may not be deleted.
7 Antigen List To add an antigen, click Add New Double click <New Antigen> and type in the antigen name Add a description if desired (not required) Select Category and Laboratory from the drop down lists Enter Stock number if desired (not required)
8 Antigen List (cont.) Once an antigen is entered and used, it cannot be deleted When Remove is clicked, antigens are hidden by default but can be displayed by checking Include Removed Items Removed antigens are noted with a green check mark in the Removed column
9 Inventory Antigens must be added to the Antigen List before they can be added to Inventory To add antigen(s) to Inventory, click Add New The Select an Antigen box will open
10 Inventory (cont.) Enter the first 3 letters of an antigen, category or laboratory in the appropriate field and click Search Multiple search criteria can be entered to limit search results All antigens meeting search criteria will be displayed
11 Inventory (cont.) To move an antigen from Search Results into Selected Items, double click or highlight the desired antigen and click Select Repeat searching for and selecting antigens until all antigens are entered into the inventory and click OK
12 Allergy Antigen Inventory When OK is clicked, an Enter Inventory Information box will open Select status, lot number and expiration date of each antigen from drop down menus; type in lot number; click Add If there are several with the same lot number indicate with a marker a,b,c to keep the active vials separate from spent and in stock vials Repeat this process for all inventory items
13 Inventory Status Options In Stock indicates antigen is in stock and has not been used Active indicates antigen is in stock and is being used in treatment sets Spent indicates antigen has been depleted As antigens are used and re-purchased, the same antigen may be listed many times in the inventory; spent antigens are not displayed by default
14 Antigen Inventory Click Include Spent Items to display all antigens in the Inventory including Active and In Stock To delete an antigen from the Inventory, highlight it and click Delete Antigens that have been used in treatment sets CANNOT be deleted
15 Allergy Test Definitions Manage Test Methods Manage Test Methods lists all test methods used for allergy testing To add a Test Method, click on the + sign in Methods panel Type in name of test method to replace <New> Click on Procedure Code column and select appropriate CPT Code Click on Procedure Name column for CPT description; this field is editable To delete a test method, highlight it and click the x
16 Parameters Each row in the parameters panel defines the corresponding column in an allergy test Antigen test sheet used by practice helps create the test format To add a parameter, click the + sign To delete a parameter, highlight it and click the x
17 Parameters (cont.) Column Order Auto assigned; may be changed by dragging and dropping row Column Name User defined, required; name will show in column header usually short descriptor or dilution ratio that is understood by users Dilution # User defined, required; used in end-point testing to indicate concentration of antigen in test vials Data Type User selected from drop down list, required; defines data type in which test results will be recorded in columns (number, text or value list)
18 Manage Test Methods Parameters (cont.) Prefix User defined, not required; symbol that precedes value of test results; example: + preceding a number Suffix User defined, not required; symbol that follows value of test results; example: mm following a number ValueList User defined, required only if Data Type is ValueList (RAST); test results entered using tildes to separate items, e.g. I~II~III~IV~V Color User defined, not required; colors can be used to help distinguish columns on test sheet and/or correspond to existing colors a practice may already use
19 Standard Tests Standard Tests are a specified way of performing allergy testing Test Name - Create and name standard tests Antigen Set - Add or delete antigens corresponding to tests Test Methods - Assign test method(s) to tests
20 Test Name All existing Standard Test names are displayed; when a test is highlighted, antigens associated with the test and test method(s) for the test set will be displayed By default, 2 columns are displayed Test Name and EP To add a test name, click the + sign Double click on <New> and type in name of test If test is to have an Endpoint (EP), check the EP box in the same row To delete a test name, highlight it and click the x Deleting the test name will delete all associated antigens and test method(s)
21 Antigen Set To add an antigen to the Antigen Set, click the + sign The Select an Antigen box will appear Enter the first 3 letters of an antigen in the appropriate field and click Search To move an antigen from Search Results into Selected Items, highlight the desired antigen and click Select After selecting all antigens included in test name, click OK To delete an antigen, select it and click the x
22 Test Methods To add a test method, click the + sign The Select one from the list box will appear Highlight method(s) to add to the test and click OK To delete a method, highlight it and click the x
23 Allergy Dose Schedule Allergy Dose Schedule is used to set up standard dosing schedules for vials used in creating patient treatment sets Schedules are NOT actual patient treatment schedules but templates upon which individual patient sets are scheduled
24 Allergy Dose Schedule Schedule To add a dose schedule, click the + sign Double click on <New> and type in name of new schedule To delete a dose schedule, highlight it and click the x
25 Allergy Dose Schedule Vial To add a vial expiration, click the + sign Double click on <New> and type in name of vial Click Exp Int and select a unit (days, weeks or months) from the drop down menu Click Exp Freq and select the specific number of days, weeks or months from the drop down menu To delete a vial, highlight it and click the x
26 Allergy Dose Schedule Dose To add dose increments for vials, click the + sign A new dose is added with default volume of 0.00 ml Click dose column and select a volume from the drop down menu or click in individual boxes to type in the dose amount Repeat until the volume of vial is depleted or expiration date of vial is reached To delete a dose increment, highlight it and click the x
27 Allergy Dose Schedule As doses are added, a graphic representation is displayed which includes: Standard Dose Schedule Name Vial Name(s) Dose Amounts Expiration, which is defined by what was entered in the Vial panel or by the manufacturer s expiration date, whichever comes first
28 Allergy List of Reactions List of Allergic Reactions is used in patient records to document local and/or systemic reactions to allergy injections None is the default option To add reactions, click Add New and type in the reaction name/description Check the appropriate box to specify local and/or systemic in the corresponding field(s) in the same row Edits can be made by highlighting the reaction and making changes as needed To delete a reaction, highlight it and click Delete
29 Injection Locations Document where injections are given To add an injection location, click Add New and type in the location Edits can be made by highlighting the location and making changes as needed To delete a location, highlight it and click Delete
30 CPT Maintenance The practice has the option of automatically adding CPT codes Choose the appropriate CPT codes from the Allergy CPT Maintenance box and click Save The most commonly used are for the single and multiple injections
31 Setting Preferences Patient Timer Duration Sets wait time for patients following immunotherapy injections Charge for Antigen During Immunotherapy Visit Sets default in immunotherapy documentation screen Default CPT code for sublingual Applies only to practices providing sublingual immunotherapy utilizing a specific CPT code to bill/charge for immunotherapy Default Vial Volume Defines total volume of constituents in immunotherapy treatment vial Default Antigen Volume Defines antigen volume associated with different vial sizes Don t Automatically Calculate Vial Concentration Does not calculate vial volumes automatically as they are built; users must manually input vial volumes each time
32 Setting Preferences AllMeds enables providers to set several Allergy preferences Allergy preferences should be checked and adjusted during initial Allergy Setup training From Home Screen, click Settings then Preferences Select the Allergy Tab
