At some point, it s likely to be inevitable, as Microsoft is increasingly making Office 365 the primary way to acquire its applications. But, as in all business decisions, the primary motivation should be the value that will accrue to you. Here are some typical situations in which organizations have made that value decision and moved to Office 365. See if any apply to you: Virtual Workplace: Your employees work in different places on different devices. You want to make it easy for them to communicate and collaborate seamlessly. Office 365 provides anywhere access to your familiar applications including , calendar, videoconferencing and your most current documents. Now you can make it easy for employees to use any device they choose PCs, smartphones, tablets (including Macs) and always have access to the applications and data they need to be productive. Disjointed Your business is now relying on disjointed services, inconsistent webconferencing tools and isolated web portals. You are suffering from a lack of integration, insufficient security and not enough document storage. Office 365 plans differ in the following ways: Number of Employees Supported: Currently 300 for an Office 365 Business Plan, and Unlimited for an Enterprise plan. Office Applications: All the Office 365 plans include access to the core productivity applications: Word, Excel, PowerPoint, Outlook, Publisher and OneNote. The big differences between plans are whether the applications are (1) online only, (2) whether they are installed and online, and (3) whether or not they are available across all mobile devices. The most basic Business and Enterprise plans are online only nothing gets installed on your local hardware. The more robust Business and Enterprise plans provide installed Desktop and Mobile Office Applications: Office applications for the desktop (on five devices per user) as well as Mobile Office Applications on NaviSite Managed Office 365 ebook Getting Started with Office 365 7

10 up to five tablets or phones per user (Android or ios). Microsoft Access is available via the Enterprise Full Office only. All the plans also provide access to: Exchange Online (50GB), In-Place Archive, Calendar (Exchange), Web-Based Access, Mobile Access Skype for Business: Online Meetings, IM (Lync), Integration with SharePoint, One Drive SharePoint Online: Team Sites, Internal, Portals (SharePoint) One Drive for Business: 1 TB Cloud Storage, PC/Mac Plug-In, Sync to Smartphone, Share Files Internally/Externally Social Media: Enterprise Social (Yammer), Content Discovery & Search (Delve) Active Directory Integration Additional options for search capabilities, corporate video management and compliance may also be available. Having a variety of plans makes it easier to meet the needs of a diverse workforce. Mixing and matching of plans is definitely an option, one that you need to evaluate thoroughly. Making these upfront decisions is often the first way that NaviSite can help ensure that your deployment gets started right. APPLICATIONS INSTALLED LOCALLY Even though Office 365 is a cloudbased service, Office applications don t run in the cloud. Instead, users download Office applications from the Office 365 portal and install them on their local computers. Microsoft uses Click-to-Run technology to make the download and installation of Office applications fast and simple. Clickto-Run uses virtualization technology to run Office applications in a selfcontained environment on a local computer, which allows users to run Office applications side-by-side with earlier versions of Office. Because Office apps install and stay on your machines, you can use them online or offline, the same way you have used Office in the past. The Office Licensing Service (OLS) enables users to install Office applications on up to five computers (PC or Mac) at the same time. If users try to install Office applications on a sixth computer, they will receive an error message. Users can deactivate one of the first five computers on which Office applications are installed, by using OLS. That will release the license and allow users to activate the sixth computer. WORKING COLLABORATIVELY IN OFFICE 365 Working collaboratively on documents with coworkers, customers and partners is critical to being an agile business and getting work done quickly. Office Online, the browser-based version of Office applications, allows users to collaborate on a cloudsaved document using real-time co-authoring. This means everyone can contribute and edit documents simultaneously in Word, PowerPoint, Excel and OneNote Online. Realtime presence helps you see where your co-authors are working in the document so that you don t create conflicts as you edit. Additionally, the ability to see changes to text and formatting as they happen will help you and your co-authors stay on the same page as your ideas develop and evolve. ONLINE STORAGE An essential part of Office 365 is the availability of cloud-based storage. This simplifies backups and also enhances the ability to collaborate on shared documents. With Office 365, you now have a drive in the cloud called OneDrive for Business. This is for documents that you are managing and working on and that you can also share with others. Documents are saved to the cloud by default so they are automatically backed up. Because you can sync these files to your laptop or mobile devices, you can still access and work on them when you are offline. When you go back online, they will automatically re-sync. When you sign in to Office 365, you will always have the latest version of your documents following you. If you re using Office 365, you get 1 TB of space in the cloud for OneDrive for Business. If your OneDrive for Business library is hosted on a SharePoint server in your organization, your organization s administrators determine how much storage space is available. All files that you store in OneDrive for Business are private unless you decide to share them. You can easily share a file with everyone in your organization by placing it in the Shared with Everyone folder, for example. You can also share files with specified co-workers so you can collaborate on projects. If you re signed in to Office 365, you may even be able to share with partners outside of your organization, depending on what your company allows. 11 Tip: When you send from the Outlook Web App, you can attach a OneDrive for Business file as a link, instead of sending an attachment. This automatically gives the people you send the message to permission to edit the file. Plus, you save space in everyone s mailbox and encourage people to edit the same copy in OneDrive for Business. WHICH OFFICE 365 PLAN IS RIGHT FOR YOU? Some of the key factors to consider are: Size: Do you need more than 300 licenses the limit that separates Business from Enterprise plans? Type of Employee: Your employees probably differ in how much they rely on Office applications: Which employees spend their entire day using productivity tools creating and consuming information? Which employees are underor over-served by their applications? Which employees just need an online-only version i.e., they won t really be affected if they lose Internet access to the applications? Segmenting your workforce based on roles, departments, job functions and other demographics will help you make the right decision. HYBRID IMPLEMENTATIONS One of the many capabilities that sets Office 365 apart is that even though it is primarily a cloud-based service, you can mix and match cloud and on-premises capabilities. Customers can be hybrid, moving some Office users to the cloud while keeping others using on-premises solutions. This may be done to allow you to test the waters, or for compliance or operational reasons. Your users will likely never know the difference, and you get to use the same management tools across online and on-premises servers. A hybrid scenario is common for many of NaviSite s Office 365 customers that have both a mobile and fixed workforce. Onboarding to Office 365: The NaviSite Experience In principle, making the transition to Office 365 involves setting up the appropriate accounts, the access permissions, file integrations and, in the case of current users, transitioning existing premisesbased solutions to the cloud. It can be simple that s why many providers of Office 365 treat onboarding as a self-service activity that customers complete on their own. Some NaviSite customers do this, but many more prefer assisted onboarding that lets them take advantage of our experience in migrating multiple data sources, application integrations, identity and mobile management and more. NaviSite offers onboarding services with Managed Provisioning and Managed Migration. PREPARING YOUR INFRASTRUCTURE Your end users are accustomed to the high performance of locally provided services. So when moving these local services to cloud-hosted Office 365, it s important to anticipate performance issues and other complexities that can arise during and after the migration. Moving applications and services to the cloud will inevitably change the demands on your network infrastructure. For example, in the case study cited in this ebook in Section 5, Calculating Your Savings, some areas saw a reduction in bandwidth needs (e.g., Exchange), while other areas saw an increase (e.g., new deployment of Lync). Additional bandwidth was also required during the initial data migrations. The result was a net increase in bandwidth over three years, costing $103,400. 13 There are many variables to consider when estimating network traffic. Some of these variables include the following: The specific Office 365 services to which your organization has subscribed The number of client computers in use at a time The type of task each client computer is performing The performance of the Internet browser software on each client computer The capacity of the network connections and network segments associated with each client computer Your organization s network topology and the capacity of the various pieces of network hardware As part of our onboarding service, NaviSite will make a careful evaluation of your network needs. MIGRATING DATA AND An important and often overlooked part of your transition to Office 365 is the migration of data and . Everyone likes to start out thinking it s basically like a backup, but then the sheer enormity of the task sets in: mailboxes, mail folders, shared contacts, calendars, SharePoint files, file structures, lists, permissions, Active Directory files, third-party utilities, spam filter settings, server permissions and more. Hybrid deployments that involve a mix of on-premises Exchange servers and Office 365 are the most challenging. Here is also where network bandwidth issues can be a problem: an organization with low bandwidth and a lot of data to move can find performance disrupted. In reality, manual migrations are not really practical for more than a handful of users. NaviSite provides comprehensive migration services. (Customers who prefer to completely control this process also have the option to be self-directed.) Our team provides a white-glove experience with our managed data-migration service; NaviSite will manage the migration of your data from various data sources, including Exchange 2003+, Domino, IMAP, POP3, Groupwise, Gmail and more. NaviSite typically does extensive testing and starts the transition with a small number of licenses. Once everything checks out, it s full steam ahead. The key is to plan carefully and then streamline the transition. Education for end users is essential. With a service as essential as , users can be very sensitive to any change. 16 V. Case Study: Office 365 Cost Savings One of the primary motivations for moving to Office 365 as it is for any cloud service is to achieve cost savings. This can come in the form of: Reduced hardware investments Savings on support costs and licensing fees Lowering the cost of achieving compliance Lowering the cost of extending your operations e.g., reducing the need for fully equipped remote offices Extending productivity and collaboration capabilities to achieve a more efficient operation HYPOTHETICAL COMPOSITE COMPANY The technology research firm Forrester undertook a study for Microsoft, evaluating the savings that were achieved by different organizations that have implemented Office 365. Forrester interviewed three existing customers with multiple years of experience using Office 365 and conducted an online survey with 60 large organizations using Office 365. Forrester then created a composite organization, Acme Supply Corporation, * to estimate the savings that might accrue to a typical enterprise. The composite organization was assumed to be operating in North America with 6,000 employees (2,500 knowledge workers and 3,500 factory, warehouse and distribution employees). 17 OFFICE 365 IMPLEMENTATION The hypothetical rollout was as follows: RESULTS The Forrester analysis cited total benefits of $8.8 million versus total costs of $3.2 million, resulting in a net present value (NPV) of $5.6 million and a total payback in seven months. 2 NaviSite Managed Office 365 ebook Case Study: Office 365 Cost Savings 15

18 Technology Savings: $672,791 The organization avoided having to purchase and maintain new infrastructure hardware: 30 highly virtualized physical servers were not added, and storage requirements were reduced by half. Server License Savings: $60,060 Server licenses for various Microsoft solutions were no longer needed, eliminating the purchase cost and annual maintenance. Implementation Savings: $272,000 The implementation effort was 40% less than for a comparable on-premises solution, requiring far less internal effort and professional services fees. This savings across all phases equaled $272,000. Manpower: $1.42 million Manpower required to support the solution was reduced by more than half (from nine, down to four full-time employees). The three-year associated savings was $1.42 million. Mobility: $2.81 million Three hundred highly mobile road warrior employees (salespeople and engineering consultants) save a lot of time from not having to use VPNs to access systems and having better collaboration tools and access to information, saving one hour per day by Year 3. The total productivity savings, discounted 50% since not all productivity gains result in more work accomplished, was estimated at $2.81 million. Control and Compliance: $90,250 Office 365 had all the required features and security, eliminating the need for additional projects to deploy encrypted , ediscovery and rights-management capabilities. In total, 9.5 man-months were saved, with a corresponding cost avoidance of $90,250. Business Intelligence: $3.25 million Six hundred users make faster, better decisions because of more timely access to information. A subset of users analysts, managers and salespeople see a reduction in time required to hunt for information or waiting for information in order to make the best decisions possible, resulting in daily savings of 30 minutes per day by Year 3. The productivity opportunity, discounted 50% since not all productivity gains result in more work accomplished, was estimated at $3.25 million. Enterprise Social: $247,000 Third-party social/collaboration tools were eliminated since they come standard within Office 365.
