4 Point of Sale The ComputerlinkBOOKS system offers full Point-of-Sale (POS) as a standard feature. You can access a product by title, author, publisher, ISBN, scanning the barcode, typing the barcode, or subject/category and through the touch screen interface. Preset codes (hot keys) are used for small order surcharges, gift vouchers, postage and miscellaneous charges. Dockets in a taxed invoice format are printed for each sales showing the product description and price, sale total, amount tendered, GST amount and the amount of change to be given. Details can be adjusted or overridden in the sale before ringing it off. If your security level allows you, prices can be changed. An item can also be deleted if the customer decides not to purchase one of the items already entered. This can all be done without having to start the sale all over again. A flexible discount structure is available offering up to seven prices. Customers on a special discount structure will automatically received allowable discounts without the operator having to know which discount structure applies to each customer. Different methods of payment are available at the end of a sale. They are cash, cheque including drawer, bank & branch, credit card, EFTPOS, Amex and Diners club. A complete Lay-by system is available. Simply create a Layby account, invoice the goods and take the deposit; the system looks after the rest. Sales Gift vouchers and redemptions are catered for and accounted for separately. Customer loyalty programs can be encouraged with the use of reward vouchers. Professional looking taxed invoices with your Company logo are available instead of a docket by simply pressing a single keystroke. 5 Computerlink Touch Screen Technology Computerlink now offers Touch screen technology as a standard in all our Point of Sale solutions The increased functionality and cost effectiveness make it ideal for the retail environment. The Touch screen monitor is an integral component of Computerlink s Point of Sale systems. In keeping pace with state of the art technology, the device provides greater functionality that benefits the busy front counter operator. These benefits encompass all the features of programmable keyboards while allowing for a far more streamlined userfriendly interface. The Touch screen utilises three areas in its layout, combining the sales window, 35 programmable buttons and numeric keyboard buttons. The benefits are an easy to use interface with the ability to add far more programmable buttons, each having options for background colour, text colour or a graphic, making it far more descriptive and useable for the Sales staff. Each button can be programmed with multiple keystrokes or you used to activate one of the 99,999 layers available. Any item that does not scan or items in a general sales department can be programmed and then accessed simply by the touch of a single button on the screen. A selection of buttons on the touch screen can be allocated a background colour to match a product item or range. This allows operators to be more efficient and allows for more informed stock management decisions. Inventory management can be greatly increased, speed at the point of sales increased and reduced training times for new team members with the use of Touch screen monitors. 6 Integrated PC-EFTPOS One of the most popular forms of payment in retail these days is when a debit or credit card is used by customers to purchase goods or services. Most retailers these days have an EFTPOS terminal in their store to process these transactions. Integrating your PCEFTPOS with your Computerlink system will reduce the double keying of EFTPOS transactions on a separate terminal. Since the sale amount does not have to be entered twice, once on your EFTPOS terminal and the other in your Computerlink system, the room for error and therefore the pain of reconciling two figures every day. The PC EFTPOS product can support all debit and credit transactions that are available to your bank. The product has two integral software components, EFTClient and EFTSRV. The EFTSRV can run on any common windows platforms (95, 98, NT, 2000, XP, ME) and uses little memory. Dependent on the amount of transactions and your set up, it can be on the POS server itself or a back office machine. 7 Customer Order Processing Businesses requiring a more flexible invoicing or order entry and dispatch system are well catered for with the ComputerlinkBOOKS system. Orders are entered for each customer s requirements. Details about the customer are retrieved from the customer records including special discounts, standard delivery details, salesperson on the account, payment terms etc. Customer orders are a significant part of your sales. An efficient method is provided to look after this aspect of your business. A backorder is maintained for the customer and the title automatically added to the next purchase order to your supplier. On receipt of the book from the supplier a label with the customer s name address is printed to ensure the book is not inadvertently placed on display and sold. 8 Customer Order Processing Features include: Items required for a customer order are entered by product code, barcode or via a powerful search facility. Discounts where applicable, are applied automatically or alternatively a manual price override or discounts are entered. The order total is maintained at all times for easy reference Products not in stock will be placed on backorder and a supplier purchase order can be raised automatically. This minimises the double entry of details and the possible error where the backorder might be overlooked. Quotations, Proforma invoices and picking slips can be printed when required. Orders may be altered at anytime should the customer require a change. On receipt of the product, a label with customer s name and address is printed to ensure the product is not inadvertently placed on display and sold. Orders ready for delivery need simply be dispatched on the system producing a delivery docket if required and an invoice. Partial shipments on orders may be dispatched and the remaining items held on backorder until stock is available. Customers picking up goods at the store can be invoiced immediately by creating an order and dispatching it in a single operation. 9 Inventory Management ComputerlinkBOOKS maintains a very detailed record for each title. Flexible pricing structures are available as a selling price or a percentage discount basis and ensure sales are simple and accurate. Products are tracked by group, item, season, by store and supplier. You always know what you have in stock and where it is located in the store or in other stores. Detailed product history on each item allows you to view the movement of stock from the receipt of stock, transfers between stores, adjustments, sales and returns. This enables you to tracks sales trends to help you plan your buying and increase your stock turnover. Any product item can be found using its main product code, barcode number, product description or by store location, title, author, publisher, ISBN or subject/category. Stock can be transferred between multiple stores. Product margins are quickly and easily tracked, letting you know which products earn you the most profit. 11 Stock Receipting With ComputerlinkBOOKS stock is receipted into the inventory system with an invoice number, total and date. This increases the accuracy of your stock control and reduces the amount of discrepancies with the receipting of stock. A discrepancy in the price quoted at the time of purchasing or a discrepancy in quantity cannot be missed and easily highlighted. Features include: Barcodes and price labels can be printed automatically as the stock receipt is processed. At the time of the stock receipt customer backorder labels are automatically printed. A stock returns report is available and lists all stock returned to the supplier and the reasons why the stock was returned. A barcode facility for stock returns is available. 12 Purchase Order Management With ComputerlinkBOOKS you can produce purchase orders, amend them where necessary, track them until the stock arrives, then reconcile the delivery dockets against the supplier invoices. Supplier inventory disks can be downloaded into the ComputerlinkBOOKS inventory database. Any number of disks can be downloaded without the need to process the order for the first disk before downloading the next one. With this feature the latest up-to-date supplier inventory information is available at your fingertips at all times. An infinite number of stock items can be held on the ComputerlinkBOOKS inventory database. An effective sales based re-ordering system is also available and ensures your stock levels are maintained at the correct level. The re-ordering module also automatically creates a purchase order if requested. A purchase order can be edited many times before being submitted to the supplier. 13 Debtors Control The Debtor module maintains a database of customers both current and archived. It holds a customer s transaction history that facilitates the reproduction of customer invoices and statements at the click of a mouse button or the press of a keystroke, whichever you prefer. The stored history ensures you will never have a problem in reconciling a customer s account. Features include: Debtor maintenance You can add, alter of delete a debtor account. Debtors Master Listing - A listing of all debtors on your database can be printed if desired. Account History You can enquire on the transaction history of any of your debtors at anytime. 14 Back to School Module The Back to School (BTS) module in ComputerlinkBOOKS is designed to allow Booksellers to accumulate orders from students/schools for back to school supplies. The students or schools orders are then turned into a purchase order for the Stationery supplier. Features include: Full Book List This option is selected when a student requires a whole book list. The products are tallied up and the student is advised of what they have ordered. School Book list - Book lists can be produced for a school or students with an invoice. Student Order Maintenance - Students are added to the database to create student orders. Supplemental Orders - Extra items can be added to an existing student /school order and an supplemental order report will be printed showing the extras items. Different product groups can be set up for stationery, textbooks, and textbook subsidies using the product item code or barcode facility.
