Master Data Management 4

WHY MASTER DATA GOVERNANCE? Support of internal and external company communication Creation of transparency in company reporting Optimization of core business processes and further digitalization Higher data quality Master Data Management 5

GENERAL USE CASES FOR MASTER DATA GOVERNANCE INTRODUCTION OF A GLOBAL SERVICE PROCESS OPTIMIZATION OF MASTER DATA CREATION AND MAINTENANCE INTEGRATION OF PARTNER SELF-SERVICES DISTRIBUTED SYSTEM LANDSCAPE Global processes require a central view of decentral maintained data Reduction of processing times for collaborative Customer, supplier, departments Processes and interfaces require harmonized master data Central view in reporting desired Master Data Management 6

MATERIAL MASTER RECORD MOST CENTRAL SAP OBJECT FOR MASTER DATA Many different organizations Used in many processes Wrong data has often dramatical impact Many different fields Missing Workflow Support Many different views Missing data rules and checks Missing automatism for rule based default values Master Data Management 7

FREQUENTLY ASKED QUESTIONS WHO SHOULD MAINTAIN WHICH FIELDS IN THE MASTER RECORD AND WHEN? Often it is not clearly defined who is responsible for specific fields Also the chronological order in which fields must be filled out is not clearly defined Some field require information from other departments before a decision can be made about their content WHAT IS THE STATUS OF A MASTER RECORD IN THE MAINTENANCE PROCESS? You cannot see how far the process of a master record has progressed. WHEN IS A MASTER RECORD COMPLETELY MAINTAINED AND CAN IT BE USED PRODUCTIVELY? There is no information that the process for a master record is ready to use for specific processes. WHO IS RESPONSIBLE FOR MAINTAINING A MASTER RECORD? There are normally many different organizations responsible for the of different material. Responsibilities along the complete life cycle of a material master must be defined. Maintenance process should be able to be supported by workflows. Master Data Management 8

MATERIAL MASTER STARTING POINT IN SAP STANDARD THERE ARE: Many different views with lots of fields Where only a few of the fields are needed In different organizational units With various responsibilities LEADS TO: Time consuming complicated and confusing without process management Master Data Management 9

AGENDA AGENDA MATERIAL MASTER GOVERNANCE FOR DIGITAL TRANSFORMATION MODEL PROCESS FOR A MATERIAL REQUEST SOLUTIONS FORMATERIAL MASTER MANAGEMENT CREATION OF A MATERIAL MASTER(DEMO) FEATURES SUMMARY Master Data Management 23

LIVE DEMO / FILM CREATION AND RELEASE OF A MATERIAL MASTER WITH SAP MDG Create a new MDG request Filling the MDG Application Header Filling selected data fields input validation Correction of displayed errors Start of the process Determination of open activities using My change activities Addition of information Activation and release of the material master Master Data Management 24

CREATE A NEW MDG-REQUEST ROLLE: APPLICANT Used to create a new material master or to change an existing material. Using the Search Material function, the system checks whether a suitable material already exists using a number of criteria. If a material master is found, it can be copied to a request by clicking on it with the mouse. If no material master is found, a new request can be created with a mouse click. Master Data Management 25

MAINTAIN KNOWN DATA I ROLLE: APPLICANT The requester now maintains all data already known to him in a mask. The request header must also be filled in. Notes can also be entered for these. If files already exist for this process ( , forms, etc.), they can be attached to the process. The system first assigns an internal MDG number for a new creation. This is indicated by the preceding $ sign. If the material is then created in the ERP system, the MDG number is replaced by the actual material number. If a material master is to be changed, MDG uses the already assigned material number from the ERP system. Finally, the process is started by the applicant. Master Data Management 26

MAINTAIN KNOWN DATA II ROLLE: APPLICANT Master Data Management 27

VERIFICATION OF THE REQUEST ROLLE: MDG SPECIALIST After starting the workflow, the MDG specialist can now decide whether the request should actually be processed further or whether the process should be terminated. Master Data Management 28

COMPLETION OF DATA II ROLLE: DEPARTMENTS The input of data can be supported by rules and fixed values by the system. The SAP component BRF+ is used for this. Master Data Management 29

COMPLETION OF DATA II ROLLE: DEPARTMENTS Once all the data has been completed, the MDG specialist receives another work item to check the data. Up to this point, the process can be terminated without incorrect data having been created in the ERP system. If the MDG specialist releases the material master, all data is created in the ERP system. The temporary MDG number is replaced by the material number now assigned. Master Data Management 30
