3 NOTICE TO BIDDERS Notice is hereby given that the Board of Trustees of the Sequoia Union High School District, County of San Mateo, State of California, will receive sealed bids for the following: BID OPENING DATE AND TIME: Bids will be opened April 15 th, 2015, at 11:00:00 AM Pacific, in the Sequoia Union High School District Purchasing Department,, Redwood City. Bids must be sealed and filed at the before 11:00:00 AM Pacific, the time fixed for opening proposals for this bid. DISTRICT BID FORM MUST BE USED: All bids must be submitted on the Bid Form and must be in accordance with the specifications available at. All envelopes must be clearly marked UNINTERRUPTABLE POWER SUPPLY EQUIPMENT. Bidders may supply detailed information on forms of their own design, but these will NOT be reviewed if the District Proposal Form is not completely filled out and made the first section of the bidder s response. BID WITHDRAWAL LIMITATION: No bidder may withdraw their bid for a period of 120 days after the date set for the opening thereof. 4 GENERAL CONDITIONS PROPOSAL PREPARATION: A responsible officer or employee must sign the Proposal. Errors and corrections on this proposal may not be erased. Mistakes may be crossed out, correction inserted adjacent, and initialed in ink by person signing the proposal. Verify your proposal documents before submission as they cannot be withdrawn or corrected after being opened. The Sequoia Union High School District will not be responsible for errors or omission on the part of bidders in making their proposals. If the District issues any addendum to this bid, you must sign it and attach it to the proposal forms you submit. The Authentication section and the Statement of Noncollusion sections must be completed and submitted with bid proposal. District Bid Form must be fully completed and returned. SPECIFICATION DETAILS: The specifications on the bid form may refer to specific manufacturers. Per Public Contract Code Section 3400, or equal products will be considered. Substitutions must be equal or superior, and must have approval prior to bid submittal in accordance with the Substitution Requests portion of this document. SUBSTITUTION REQUESTS: All requests for substitution shall be submitted in writing to the Director of Purchasing, cschuster@seq.org, Sequoia Union High School District by 11:00:00 AM Pacific, April 9 th, 2015 The bidder shall clearly identify any request for substitution and provide sufficient product data to facilitate review. Sequoia Union High School District reserves the right to determine equivalency. DELIVERY: Bidders must provide for the delivery of the items within 30 days of issuance of purchase order. Shipments must be shipped complete. All deliveries are to be made to the following address unless the District specifies otherwise in writing: Sequoia Union High School District Warehouse 350 James Avenue SALES TAX: Sales tax of 9.00% will be added to quoted prices by the District when placing orders. Do NOT include sales tax in the unit prices quoted in your bid response. TRANSPORTATION CHARGES: All shipping, handling, and delivery charges must be included in the quoted price of each item bid. No such charges may later be added to any invoice resulting from a purchase order issued under this bid. WARRANTIES: All material shall be fully guaranteed and warranted. 4

5 RIGHTS RESERVED BY DISTRICT: The District reserves the right to reject any or all bids; to choose any bids; and to waive any informality, technical defect, or clerical error in any bid, as the interest of the District may require. Any apparatus, appliance, equipment, material or work not shown in the specifications or any incidental accessories necessary to make the product complete and perfect in all respects and ready for operation, even if not particularly specified, shall be furnished, configured, and delivered by the bidder without additional expense to the District. Minor details not shown or specified, but necessary for the proper configuration and operation, shall be included in the work and in the bidder s estimate, the same as if herein specified or shown. DETERMINATION OF AWARD: This bid will be awarded on an all or nothing basis and will be awarded to a single vendor. Award will be based on the completeness and total sum of equipment with the lowest price and with an equal or better quality of the specified manufacturer. Please refer to Substitution Requests in the General Conditions of this bid document.
