1 Navex November 2008 Revisions Release 8.61.** Point of Sale From the Help menu in Pont of Sale and Home Office, the documentation choice connects to POS manual view and download. The Updates/Revisions choice is latest updates that have been done after the manual was created. The manual will display, to save a local copy, click the Save icon in the PDF window. 2 Repair history for Multi-store operations is now running off SQL in corporate office that provides chain wide history view and reprint for Navex repair tickets. Previously, the history menu choice only showed local store, to see chain wide the user had to be inside a repair and could only view for the vehicle in that repair. The new search is chain wide and allows for search by name, customer number, phone, date range, invoice, repair number and invoice amount. Single store operator s history remains the same. A change to the time clock change for user running end of day, if they are counting the cash and making the deposit, the system adds 15 minutes to their check out time. Also time clock can only be used on the A system now. 2 of 57

3 Gemini 3477 Now requires real part for OP and tire size if OP is a tire. When items are outside purchase using the real manufacturers number, the window does not prompt. This can be turned off in home office if you don t want to use this IMPORTANT NOTE: this will only work for non- inventory and non- catalog pars numbers and if the dealer follows the OP line code guide lines, i.e. OPP for outside purchase parts, OPT for outside purchase tires. If the dealer uses a code like MSC for miscellaneous OP, the system has no way of knowing these are OP lines. OP Tire Report - OP TIRE LOG in Home Office and POS will display the actual number and tire size received as an OP. 3 of 57

4 Oil change packages can now be set up to allow the POS user to choose oil at the time of same. The oil type choices are Synthetic, Standard, and High Mileage Oil. When the package is sold, if the package is set to choose oil, the proper oil choices will display. Gemini 4286 label printer users will now display the default label, which will print as before. Now the user can make description changes, add a second line, and choose whether to print next date and/or next miles. There are several formats for different services, but the change allows the user to print a single label when there are two services requiring labels on same ticket. Multi-store operations the chain wide reports for status, salesman ranking, and mechanic ranking are now running off SQL server in home office. This is much more efficient and much faster. 4 of 57

5 Gemini 5089 and 3675 Detail Descriptions will now print on quick quotes and regular quotes like they do on the invoice print out. Many dealers use the detail descriptions for a more compact statement for notes and add-on comments. A good example of detail description use are TPP descriptions, insurance statements to inform user of re-torque requirements, etc. 5 of 57

6 Gemini Color Coding on OP screen - Outside Purchase Screen is now color coded to display items that have been ordered, not ordered, and received Gemini # - Changes have been made in AP voucher screen and OP receive for vendor to save the user key strokes, EX: on op receive when the user leaves the invoice date it goes straight to receive qty. Gemini - Carry out tickets bypass vehicle, VIN, unit number and driver validations when the customer is set up for those validations on regular repair. 6 of 57

7 Physical Inventory Physical inventory can be set to perform blind counts where the POS users do not see current on hand value in physical inventory screen or on the physical count sheet. There is also an additional Physical Inventory Write-in report that can be printed. NOTE: the user still can perform stock checks on individual items; the on hand value is not hidden there. To turn on the blind physical, in home office, go to Administration menu, then System menu. Click the Blind Physical check box. On the POS side, when blind count is turned on the screen does not display the on hand qty and the print does not display on hand qty, example below 7 of 57

8 When blind physical is turned off, the on hand is visible to the user on both the screen and on the report. The physical count screen also has the option to print only the product where the on hand value is not 0. When the user chooses to print the count sheet, click YES to only print a list of items with an on hand, click NO and all items marked as stock will print and any items marked as non stock with an on hand value. 8 of 57

9 Time Clock The security table has changed to allow more control over the time clock. You now can set security for general access to time clock and security for who is allowed to edit time / salesman / mechanic from time clock. This does not prevent users from changing mechanics or salesman prior to ticket being billed out. 9 of 57

10 Bug Fix In the point of sale, on some occasions when a user changed the qty or price each, the extended column did not recalculate. Issue has been fixed Changes not visible or seen in user interface - POS 1. Added receive w/o PO to end day, before it only sent when received, now sends again at end day 2. Time clock prints all employ, changed to just active 3. Discounting tire price in tire lookup screen now saves on ticket as discounted price and appears in discount report 4. for integrated credit card users, if the has batched at end of day, and leaves the end day screen, the batch number and amount automatically populate the proper fields so the user is not stuck with out of balance batch. 5. AP Voucher users were getting descriptions field changed if the user re-enters the code filed, this has been fixed so the description does not get over written. 6. Fixed bug in textbox for vendor code entry where wrong vendor description displayed on screen. 7. If promo price was expired, it still calculated in tire sale screen, fixed. 10 of 57

11 Home Office Gemini - System admin setting to force POS users to enter correct part number for OP items. If the item is a tire, the user will be prompted for size IMPORTANT NOTE: This will only work for non inventory and non catalog part numbers and if the dealer follows the OP line code guide lines, OPP for outside purchase parts, OPT for outside purchase tires. The OIL change label defaults to 90 days and 3000 miles, ALIGNMENT defaults to 5000 miles, additionally the user can choose to hide the days or miles line on a label at time of print. 11. 21 The receive parts screen when no PO was created includes a running total, a field to record vendor invoice number, vendor invoice date, and as you add lines the vendor and brand code carry to new line and the prompt stops at the part number field.. The report that prints for parts received now displays the description, vendor invoice, and vendor invoice date. 22 If you choose a customer with the FIND button for quick quote, when the quick quote is converted to a repair, it by passes having to choose customer a second time, however if you free hand enter a customer name, you will be prompted to pick a good customer record when converting to repair. 27 Detail notes for line item Highlight a detail line on the repair and click the Detailed Notes button or right click on the part number field on the desired detail line, the notes entry screen appears, as you type in the notes, the spelling is checked, misspelled words are underlined in red., by right clicking on the word that is underlined in red, the box appears to choose the correct spelling or add the word to the dictionary. Any line on the repair that have a detailed note will be indicated with a light red back ground in the part number field, see screen below. At any time the user can open the notes to edit or remove. 30 Fixes and Miscellaneous total tickets were not creating GL detail at end day 2. Added color highlight field to group edit 3. Add check box to service item so it can be set so user in POS can not change description 4. When user take integrated credit card, then credits the card, and re charges the card, the GL number is recorded, previously it was left blank causing GL out of balance 5. when AP Voucher is created and changed from cash to charge later, the petty cash record is deleted, if the voucher is edited a duplicate record was created, corrected. 6. AP Voucher will not allow user to change account, description, or price that carries over from PO, Receive w/o PO, and OP receive 7. Add check box to service item so it can be set so user in POS can not change description 8. When receiving WO/PO, if an error occurred part of the transaction could complete, this process will be wrapped in a transaction that must complete or it will totally cancel and the user would go back to start. 32 Home Office Enhancements GL SUMMARY - The GL Summary by Date Range or GL Posting on the Accounting Link Menu now has an option to export to Excel the GL transactions. Choosing export will display preview report and export a file for each store, a message box will inform the user the file name, it will be created in the HOMEOFF folder. This does not POST the GL nor is the file created when you POST the GL. Price Files - When downloading price files, any part with no cost or no retail price, is now highlighted in yellow, these items will not over write the current cost or retail in the inventory file. Customer Maintenance In the customer maintenance screen in Home Office, you can maintenance designate a customer record as a national account and allow a customer to opt out of marketing materials 32 of 57

33 . Split Commissions In Home Office<System Files a new check box has been added to allow split commission to be used on POS Side. This allows you to select multiple mechanics at time of sale. 34 Chain Wide Status - this feature has been changed to see current GP% and current tire units sold. Additionally the voided tickets section removed. Outside Purchase Parts Return ( see attached doc ) Split Commissions This feature is turned on in the Home Office<System Administration screen. To use, click the Techs button on repair ticket screen and the Technician screen appears. You have the ability to assign up to six mechanics to each line in the work order. National Acct Sales ( see attached doc ) Outside Purchase Changes - When making orders from vendors that can not be done electronically from the repair order, the order screen has been changed to include check boxes. EX : Repair Order number has three items sold but not in stock, when viewing the outside purchase screen, highlight any one of the three items and double click or hit <ENTER>. The outside purchase vendor order screen appears, choose the vendor (in this example NAPA ) and click the check box for each line in the detail grid that is to be ordered from the vendor. In this example the first two lines will be ordered from current vendor NAPA and each will be checked, the third line is to be ordered from another vendor and is not checked. After choosing items to order, click OK button and print out the order. 34 of 57

35 Received On Accounts when taking ROA s at store side, a validation has been added to not allow ROA to non-charge customer. This will help with the accidentally recording of deposits to ROA s. Also the Customer signature required has been added to ROA / Deposit Receipts. Time Clock change - The time clock screen and time sheets have been changed to accommodate those dealers whose first day of the week is a day other than Sunday. In addition the screen and time sheets reflect hours worked at hours and minutes and as hours as a percentage. EX : 08:30 in Hrs Min column is 8 hours and 30 minutes and is equal to 8.50 in the Hrs % column. The new screen is viewed by clicking Detailed Display from the clock in screen The new screen automatically determines the first day of your pay week based on a confutation setting in the system. The screen displays all clock in times and clock out times for the current week. Both the Hrs /Min column and HRS % column are totaled. A different date range can be chosen and then click Refresh button to view for a different pay period. The Previous button moves back one week. 35 of 57

37 Mechanic Commission Report report has added GP column Note: mechanic commission settings must be maintained for this report to work. Fixes 1. Tickets with SPECIFICATIONS previously would not void, this is fixed 2. Previously if user was creating ticket and entered mileage and then clicked Save As Estimate, they received error cursor can not be modified, fixed. 3. Chain wide report modified to show tire units, GP% and removed void section 4. If open existing repair and add discount line or coupon, no longer have to save and re-enter ticket to bill out. 38 DST/Navex Update Overview Release May, 2007 Repair Shop (POS) New Features Receive Parts W/O PO - Receive Parts W/O PO will no longer allow use of Outside Purchase Tires (OPT) and Outside Purchase Parts (OPP) entries. From the Receive Parts without Purchase Order screen, the OPT Outside Purchase Tire and OPP Outside Purchase Part Brand s have been eliminated. From the Part Lookup screen, the OPT and OPP Brand and Part Numbers are available, but if selected will prompt an unusable number message. From the Receive Parts without Purchase Order screen, the following message will be displayed when using miscellaneous numbers. 38 of 57

39 At this screen, select OK and the screen will return to Part No. selection. Inventory Adjustments Security Inventory Adjustments can be set to require Security log-in. ( Help desk will assist in security settings ) Inventory Adjustments From the Main Menu, select 2 Inventory > 2 Stock Check. From the Part Number Lookup screen, select the item to adjust Select the Adjust button at top right Continued on next page 39 of 57

40 Complete Security login Remember, when making edits from the Adjust Inventory screen the Adjustment Qty. entry will add to the Current On Hand number. If adjusting the Current On Hand quantity down, be sure to enter a negative quantity into the Adjustment Qty. field. Always check the New On Hand quantity before Approving the adjustment to ensure accuracy. Physical Inventory The Physical Inventory Log (count sheets) can now be sorted by; - Part Number - Tire Size From the Physical Inventory Log screen, select Sort by features. 40 of 57

41 Tire Lookup Lt. Truck Filters have been added. Tire Lookup changes will assist in better tire lookup fitment results. From the Tire Lookup screen, select from the filters at top left - Default will provide lookup for ALL tires from the Width, Ratio and Rim fields. - Lt Truck Num will provide lookup for ALL tires from the Width and Rim fields. - Lt Truck High Float will provide lookup for ALL tires from the Diam (Diameter), Ratio and Rim fields. Using the look up options Default is designed to filter tire fitment for: - Width 2 or 3 digits - Ratio 2 digits - Rim 2 digits Lt Truck Num is designed to filter tire fitment for: - Width 2 or 3 digits - Rim 2 digits Continued on next page 41 of 57

42 Lt Truck High Float is designed to filter tire fitment for: - Diameter 2 digits - Ratio 5 digits, including the decimal - although best used as 2 digit entry - Rim 2 digits Repair Shop (POS) Miscellaneous Reports The new reports are available from the Reports Icon on the POS Main Menu Sales Summary by Date Range The new report offers a start and end date for the Sales Summary report. Select Sales Summary POS from the Reports Menu 42 of 57

43 Other Reports available are - - Salesman Gross Profit Summary - POS - Mechanics Gross Profit Summary POS Preventative Maintenance Details Preventative Maintenance Print out will now display detail information. From the Repair Order screen, select the Maintenance button. Bill To Invoicing Verification When using Bill To in repair order, the validation for Po requirement, VIN requirement, etc will be based on Bill To customer rather than customer being serviced. Cash Drawer Count This feature will allow spot check cash counts and record the count. From the Repair Shop Main Menu screen, select Administration > Cash Drawer > Drawer Check 43 of 57

44 A Drawer Count Log will populate the screen, showing previous Drawer Checks. From this screen, previous Drawer Checks and be viewed for reference and/or a New Drawer Check can be added. To review a previous Drawer Check, highlight the line and select Print Details of the Drawer Check will be printed as seen below To complete a New Drawer Check, select Add 44 of 57

45 Use the Drop Down menus to enter, Cash Drawer Check By and Store Employee. All Cash fields will automatically be populated To verify Payouts detail, select the Payouts >> button. To complete a physical cash count, either enter the physical cash count into the Cash Counted field or, select the Cash Counted >> button and enter individual cash counts as seen below. When the Cash Count is completed, select Post Total or Print for details. After Posting Total, the new Cash Drawer Count will be added to the log and a detail print is offered. 45 of 57

46 Each Cash Drawer Count will remain in the cue for future details and verification. Edit Payment The Edit Payment on repair screen ( not available for integrated CC users ) has been changed to not allow editing of the amount. Home Office New Features Employee Information Additional Employee information now included. The addition of an Active / Inactive button is now used to eliminate deleting an employee. Payroll ID - Used for company Payroll ID information Employee Add and Term Dates - Used for Hire and Termination Dates 46 of 57

47 Employee Dropdown Lists Used these two checkboxes to define whether the employee appears in the Salesman and/or Mechanics dropdown lists within Repair Shop (POS) Inventory - Calculate Min / Max - Inventory Minimum (Min) and Maximum (Max) setting can now be easily adjusted for seasonal sales stocking levels, from seasonal sales history. This feature will calculate Recommended Min and Max quantities based on sales history search parameters for any Inventory Brand. Start and End Dates define the search parameters for the Sales History. Min and Max Stock Days define the frequency for stock orders. The search results will provide Daily Averages (sales in units) and Recommended Min and Max quantities based on the Daily Averages and Min / Max Stock Days. The Min /Max Definitions will report on Non-Stocking items from the Master Inventory list, where there is Sales History for the search parameters, Brand, Start and End Date. From the DST Home Office menus select Inventory -> Calculate Min Max - Below is the Min / Max Definitions window. 47 of 57

48 From the Brand field, use the Drop Down menu to select the Brand From the Store field, use the Drop Down menu to select the Store. From the Start and End Date fields, select the History date range for your search parameters. Start and End date ranges provide the sales history (Daily Average) for your selected Brand. The Daily Average (Sales History) information will be calculated from this time frame. From the Min Stock Day, set the Minimum number of days for your stock orders (the minimum number of days between normal stock orders.) The Min Stock Day must be 1 or larger. 48 of 57

49 From the Max Stock Day, set the Maximum number of days for your stock orders (the maximum number of days between normal stock orders.)the Max Stock Day must be equal or grater than the Min Stock Day entry. When all search parameter fields have been completed, select the OK button to produce the list results. The list results provide information and utilities to edit the Recommendations. The information, in this example are defined as follows: - Recommended Min for Part Number 40954, - The Daily Average sales history for period, August 1, 2005 through October 31, 2005 is 4.00 units - Min Stock Day (stock orders) is set to every day - Daily Average (4.00) times the Min Stock Day (1) is 4 units. - 4 units for the 1 day period (Min Stock Day) between stock orders is the Recommended Min. - Recommended Max for Part Number 40954, - The Daily Average sales history for period, August 1, 2005 through October 31, 2005 is 4.00 units - Max Stock Day (stock orders) are set to every 3rd day - Daily Average (4.00) times the Max Stock Day (3) is 12 units - 12 units for the 3 day period (Max Stock Day) between stock orders is the Recommended Max. - Recommendations for Min and Max are made for all Inventory Items from the Master Inventory list, Stocking and Non-Stocking items where there is sales history within the Start and End Dates. Information for viewing only; - Part Number - Description - Daily Average (Sold) - Actual Min - Actual Max - Store # Information for edits - Apply, Checked Will apply Recommended Min and Max 49 of 57

50 - Apply, UnChecked Will not apply Recommended Min and Max Recommended Min - Edit the entry to change the Recommended Min Recommended Max - Edit the entry to change the Recommended Max Select Post to post all Recommended Min and Max entries for Part Numbers where the Apply box is checked To complete the updates, Transfer Inventory from the Repair Shop -> Administration -> Updates menu. Updates from the Min / Max Definitions will only update the Minimum and Maximum fields in Repair Shop. For Non-Stocking items updated from the Min / Max Definitions no change to the Stocking field will be made. If you want to identify the item as Stocking, you will need to do so in the Home Office and Transfer Inventory. Notes Where Inventory items have Negative On Hand quantities, during the Start and End Date, the Min / Max Definitions will Recommend Negative Min and Max quantities. Home Office Corporate Reports Purchase Order Received - Report The PO Received report now includes detail for Received by Home Office Holiday Table User can maintain Holiday Business, Open or Closed and a percentage of Daily Sales Goals. 50 of 57

51 Entries here will effect all reporting information for Key Performance Indicators and Flash reports. From the Home Office Administration menu, select Holiday Table Highlight the Holiday and complete the information and fields to the right of screen Service Items have two new feature options No Price Change Allowed - When checked will not allow a price change once entered on the Repair Order. Cannot Delete from Repair - When checked will not allow the Service Item line to be deleted from a Package. If the package is deleted, the Service Item line will delete with all package details. No Price Change Allowed When checked, the Service Item price cannot be changed on the Repair Order. Can not delete from Repair When checked, and entered into a Package this service item line can not be deleted from the package. If the package is deleted, the service item line will delete with all line items in the package. 51 of 57

52 DST/Navex Update Overview Release September, 2006 Store Side / POS Application Customer Vehicle Change Fix Sometimes when the user changed the vehicle within a work order, the program would return a unit # not found message. This problem has been fixed. Revision Detail for California BAR If you have the estimate approval screen turned on, there is a new field for user input with a field to complete a short description on why the estimate is being changed to comply with BAR rules. Date Received on PO Confirm The report that prints when you receive a purchase order now has the date received added to the report. Phone Search Changes When a phone number search is initiated, the program will first check the local store to locate the customer s information. If there is no record found of that number and the store is a chain, the program will then check the chain wide database for the customer. Or, alternatively, if the store is a franchise, the program will check the franchise wide database next for the customer. If those searches do not locate a customer, the program will then check the white pages for your customer s name and address. Revised Inventory Valuation Reports On Store And Home Office The inventory report has been reformatted and changed to make sure average cost is used on valuation. Store Side Purchase Order If you activate store side PO s, you will create and receive the PO in POS rather than create in home office and receive in POS. See attached document. NOTE: if you turn on store side PO, you can not make POs in home office. Corporate Multistore operations should continue to create POs in the home office Added Utility For Signature Pad If the signature pad stops working or becomes unplugged, this utility will keep from having to restart the computer. Apply Discount to ROA You can take a short payment in POS and apply discount/handling charge to zero the customer s outstanding balance. For example you have a $100 ticket, customer pays $98, you have the choice to leave the balance as an outstanding amount or apply a discount to zero the balance. 53 Require VIN Number and/or Unit Number If customer has been configured to require the VIN number or the unit number of the vehicle, this information must be entered before the customer can be invoiced. Added Cash Count For Deposit and Print Out At the End of Day procedure, a cash count screen has been added for the amount to be deposited and will include a printout of that deposit. Last Person Entering Ticket Default When Security Log-in Turned Off Previously with security login turned on, the person entering the ticket was default sale person for credit of sale. When the security login was off, the person starting the ticket originally was the default, now the last person entering ticket in either case is default sales person. Integrated Credit Cards Prompts For Driver License Prior to card being swiped, the user will enter the state driver s license to cut down on charge backs where customers claim not to have made the charge. Edit Payment On A Repair Before end of day, a payment type can be edited; this option is not available for customers using integrated credit cards. See attached document. Added Catalog Features In addition to parts fitment, labor guide, service intervals, and specifications, many product lines now have available pictures, OE part numbers and cross reference numbers. 54 Sales History Sales history button has been added to parts look up screen State Tire Tax State Tire tax can now be defined to automatically add to tire sale without having to include tire tax in package. This allows for selling tires without installation. In addition, each store can be 54 of 57

55 assigned a designated tire tax for those groups with multi-state operations. See attached document for instructions. Road Hazard Road Hazard can now be defined to automatically add to tire sale without having to include Road Hazard in package. This allows for selling tires without installation. In addition, each store can be assigned a designated Road Hazard x for those groups with multi-state operations NOTE : at this time if this is configured, every tire sale will automatically add Road Hazard. A future release will allow setting Road Hazard by tire type, as well as tires to be excluded from road hazard being added automatically. See attached document for instructions. Quotes Screens Allows Filtered View By Date Range Enter begin and ending date to view only repairs quoted for that period. View Quick Quote You can now open a previously saved Quick Quote without being forced to turn it into a repair; you are now prompted to Convert into a repair or to view. Print Quote Saving a repair as Quote now will print the Quote and allow reprint. Open Repairs Screen Color Coded Indicate Repairs The color coding identifies repairs started two or more days ago, repairs started yesterday, repairs that are with in one hour of promised time and those repairs past promise time. 55 of 57

56 Credit Card Approval At Time of Approval Rather Than at Invoice End The authorization from the credit card company is recorded at the moment of approval. Previously this was recorded at time the ticket was billed out. Upgrade PC Charge Payment server software from Version to Changed Transfer Out To Not Allow More Than On Hand When transferring product from one store to another, the user can not transfer more than the amount of product on hand. AR Changes For Stores That Run The AR System From The POS Customers can now be set up to be exempt from finance charges, a minimum finance charge can be set, and statements can be run based on a cut off date. See attached document for instructions. NOTE: Does not affect customer running AR from QuickBooks integration or Great Plains integration Part Number Transaction Report A new report option has been added that provides you with a transaction by transaction history of a part number with starting and ending inventory values. Currently this in only available in the POS side but will be made available in Home Office in the future. See attached document for instructions. Home Office Application New PO Number Method The store number now prefixes the purchase order number to assure unique purchase order numbers are created in multi-store operations. Absolute or Contract Pricing Specific parts and labor can be assigned absolute or contract pricing for a particular customer. Require VIN Number and/or Unit Number A customer can be set to require the capture of the vehicle s VIN number and/or the unit number of the vehicle that has work being performed at the store. 56 of 57

57 Sub Lines In Line Code File Sub lines have been added to allow future reporting by sub line, such as by tire model. Spiff In Line File There is a new spiff capability in line file maintenance. You can now define the spiff amount, start date, and end date for the entire product line which will update all items in the inventory file for that product line. Previously, the user had to modify those settings for each part individually. Price Adjustment Round Up In the group edit of the inventory screen, users can now round up retail pricing based on the group criteria. For example, all retail prices can now be set to end in ninety nine cents. Security Table This has been added to define password and access to menus in both the home office software and the point of sale (store) software. New Flash Reports I and II Flash reports have been added in two versions. One version is for customers that do not included fees in their sales. The second version includes fees in sales. Packages Defined by Store Group or Store Packages can now be defined so that only those stores that sell that package will see it in the point of sale software. Invoice History Now Allows The Following: - Print Summary list of invoices in list - New Look-up by invoice amount - Re-Print all invoices in date range for a customer - Ability To Set Any Service Item Or Part So Price Cannot Be Changed At POS. Miscellaneous - Process Server Updated To Version 8. - For Great Plains Users: - Take payments at store for posting in back end as ROA. - For QuickBooks Users: - Re-created integration to use real time integration to replace existing import method. This will work with all versions from QuickBooks 2002 forward where the import did not work properly with some versions. 57 of 57
