1 RETAILVANTAGE 2.2 RELEASE NOTES Release Notes Dear PROFITsystems clients, I m excited to share that over 100 features have been added to RETAILvantage with this release! As always, we appreciate your support and trust. We wouldn t be here without you, and product releases such as this one are in part how we continue to provide value to your store. Last year, we deployed a new feedback forum that has helped us stay closer than ever to your needs and ideas for improvement. We, here at PROFITsystems, are proud to say that this new level of interaction has resulted in many modifications to enhance our current application based on feedback from both clients like yourself and our own internal teams. Please note that low-impact changes for cosmetic reasons such as altering the description or label that precedes a field may not be recorded in this document if there have been no other material changes to the screen. 3 The Best of the Best PURCHASE ORDER CHANGES TRACKING View Order History is a great tool for researching open and received purchase orders. In this release, we ve taken it one step further and added the ability to see the changes that have been made to the purchase order up until the time it was received. Information provided will include acknowledgement number, acknowledgement date, and expected arrival date. Also, you will be able to see when items were added, changed, or deleted from a posted purchase order and by whom. Purchase order changes can be viewed from within View Order History or Open Orders. TRAFFIC COUNTS AND OPPORTUNITY COMPARISONS Understanding and analyzing the relationship between traffic, opportunities, and sales can be a complicated subject. Revenue per opportunity, and revenue per traffic count are key performance indicators that help you understand how your salespeople are doing. We have just made these metrics easier to track by adding traffic and opportunities to the respective reports in RETAILvantage so you can spot deficiencies and act on them. Traffic counts and revenue per traffic count metrics were added to the Salesperson Effectiveness Report. Opportunity counts were added to summary and hourly traffic count reports. Note: In order for the hourly traffic report with opportunities to be effective, your salespeople must be entering opportunities immediately after they are done working with the customer. DATA INTEGRITY AS A SCHEDULED TASK The data integrity routine can now be ran as a scheduled task afterhours and on a regular basis. Scheduled tasks are used throughout RETAILvantage to gather information on a regularly scheduled basis. In addition, screen settings per user can now be saved, which will set the defaults the next time the application is accessed. The date the last data integrity was ran will appear on the screen as well as the ability to view the last log file. The log file will be created regardless of whether the data integrity routine was ran from within the software or as a scheduled task. Users will be locked out of the system while the data integrity is running. ETA TRACKING The Estimated Time of Arrival Report is designed to help manage promises made to customers as it pertains to the arrival of reserved product. Back-ordered items on a sale have the ability to project an ETA date to be quoted to the customer. The report will compare the ETA date on the sale versus the item arrival date on the purchase order so that the customer can be kept informed if the merchandise is no longer expected to arrive in time to meet the date originally quoted. The ETA date can be found in Customer Central: Open Sales Tab, View Sales Entries, and on the Complete for Delivery Report. PAYMENT METHOD REPORT The Payment Method Report is a new report that allows retailers to easily identify a specific period when payment methods are the most popular. This report will be very beneficial when negotiating credit card rates because it provides information on what percentage of your business is in Visa vs MasterCard, and how much of each payment method was received during the period.

4 Inventory INVENTORY HISTORY TRACKING BY DATE/TIME Who marked an item as damaged? When was an item moved from the warehouse to the showroom floor? The Inventory History Report now provides a new level of detail when you select Include Status Changes. Status changes encompass changes made to the location status, the piece level markdown price, and the markdown comments. All inventory history actions will include the computer date/time of when the inventory changes were done, in addition to pre-existing data on who made the change. The Inventory History Report can be printed for a specific serial number. This will help when doing returns to find the original purchase information and also when trying to identify a piece without a price tag. CHECK STOCK - AVAILABILITY BY COLLECTION Check Stock Availability by Collection will display the item ID, item description 1 and 2, and the on-hand available quantity. To view more detailed information about an item in the collection, highlight the item in the data-grid. CALCULATE RANKING AS A SCHEDULED TASK Calculate Ranking can now be ran as a scheduled task afterhours and on a regular basis. Scheduled tasks are used throughout RETAILvantage to gather information on a regularly scheduled basis. Along with scheduled tasks, inherits the ability to save the screen settings per user. Saving the screen settings will set the defaults the next time the application is accessed. BAR CODING VALIDATION CHANGES The bar code scanner will now make a distinct beep and disable any further scanning when an error message is returned on the gun, such as invalid item or scanning data in the wrong field. These changes have been made for merchandise receiving, transfers (to include picking and swaps), and physical inventory in both RF and batch bar coding. The total number of items scanned has been added to batch bar coding and transfers, making it easier to match up to a bill of lading or packing list to verify the correct number of items was scanned. The number of items scanned has also been added to RF bar coding non-auto post only. The defaults for entering price tags by item has changed to be all categories, all vendors, and all buildings. Adding items to a package, when originating from Item Maintenance, will now be able to search for items to add. The Ashley Catalog Updater has a new option to use the item manufacturer SKU as the item ID. If this option is not selected during the update process the next item number will be used for creating new items. The web URL from the item file has been added to Check Stock as a hyperlink.

5 Sales ANALYZER: ANALYZE SALES FROM THE SAME PERIOD LAST YEAR The Sales Analyzer now has the ability to report sales from the same period last year. The option to analyze sales by computer date or processing date within varying periods of time (year, quarter, month, etc.) has been added. These additional selection criteria will help to increase the efficiency of mining sales data and to reduce the amount of data returned since it is not always necessary to return detailed sales data down to the hour of the day. New field selections have been added: Written Sales, Delivered Sales and Inventory Manufacturer SKU Profit Center ID Item Attributes Delivered Sales SPIFF amount Deliver Via Delivery Address line 2 Inventory SPIFF amount A refresh button has been added to easily update a current layout and view up-to-the minute sales and inventory data. A new portal was added for the Analyzer. SPECIAL ORDER ASSISTANT ABILITY TO MARK FIELDS AS REQUIRED The Special Order Assistant now has the ability to mark each of the ten labels as required. The salesperson will have to enter text into the fields marked as required before exiting the Template screen. The Template screen helps format specific sale item detail comments and is most commonly used for special order items. Tabbing to the Template button while adding an item to a sale, will automatically pop up the Template screen, instead of the salesperson having to remember to click the template button. ADD RECOMMENDED ITEMS BY CATEGORY OR VENDOR Do your salespeople consistently forget to ask customers to buy the hose that goes with the dryer or the mattress pad for the mattress? What about the extended warranty? Recommended Items is a pop-up window that displays at the time an item is added to a sale to remind the salesperson to ask about the designated add-on. Adding a recommended item can be done for an entire category and even an entire vendor. The related items that are added to existing items in the system will cause the Recommended Items screen to appear after the original item has been added to a sale. At that time, the salesperson will have the ability to determine which recommended items should be added to the sale. When deleting recommended items, you can now use multi-row select.

6 An effective date range has been added to Customer Types, making it easier to manage marketing campaigns. Only effective customer types will be displayed when entering new sales and opportunities. The Sales Follow-Up Report has been modified to pull the customer type from written sales or delivered sales, not from the customer file. A customer range has been added to the Undelivered Sales Report. Purchase Orders GENERATE ORDERS HAS MOVED TO ENTER ORDERS Generating orders, creating and modifying unposted orders, as well as posting orders can now all be done through one central location, Enter Orders, for ease of use. A next / previous purchase order button has been added to Enter Orders and Open Orders. The ability to save and move onto the next purchase order in the list will be a big time saver. Portals for Enter Orders and Open Orders can now be added to the main screen of RETAILvantage. The Arrival Date Changes Report can be exported to be used as a data-source for customer followup or marketing campaigns. Ability to print the purchase order has been added to Open Orders. Additional user preferences for purchase orders have been added so that the default(s) could be set for both printing and ing purchase orders. General Ledger A date range has been added to the Source Cross Reference Report. Printing the Trial Balance in detail now has an option to print for one or all source cross references. Individual accounts can now be marked as inactive. General ledger transaction(s) will not be posted to inactive accounts; they must be deleted and re-entered. A new portal was added for Enter Payables. Accounts Receivable COLLECTORS WORKLIST AS A SCHEDULED TASK APPLY PAYMENTS AND CREDITS AS A SCHEDULED TASK Both of these applications can now be ran as a scheduled task afterhours and on a regular basis. 7 CUSTOMER REMARKS Many retailers have been using Customer Remarks for more than receivable collections; they are using the remarks application to store details about conversations they had with customers, survey results, and many other unique use cases to manage a customer satisfaction department. Customer Remarks can now be accessed and added from within Enter Cash. The Customer Remarks List has the following new capabilities: Can be printed for resolved, unresolved, or all types of remarks. A date selection has been added to the report, allowing you to see what is unresolved and needs to be handled and provide better visibility to what has been solved within a period of time. To be sorted by customer ID and date, or date and customer ID. Save settings. CUSTOMER DEBIT BALANCE REPORT The Customer Debit Balance Report now has an option to print in detail and for a range of customer. The Detailed Customer Debit Balance Report displays a balance per invoice along with the supporting detail of how the invoice balance was calculated, in addition to the customers overall balance due. POSTING CASH BY PAYMENT METHOD Whenever you go to make a deposit at the bank, you may have ended up with credit card transactions mixed in with your bank balance. This causes issues when trying to get the bank reconciliation to balance. The new ability to Post Cash by payment method will give you the ability to post any combination of the 8 payment methods at your discretion. View Collection Accounts now allows you to update the customer contact information such as customer name, address, phone number (s) and address. Additional Enhancements ERORR EXCEPTION LOGGER TRACKING The Error Exception Logger is new to the toolset for troubleshooting in RETAILvantage. The Error Exception Logger will capture the pertinent information when an exception error is thrown in the system, including details of the error, the user, database, and what machine is experiencing the error. This data can be used by the support departments to troubleshoot. LOG FILES TO BE DELETED AFTER 30 DAYS Most log files created from scheduled tasks or activities within the system have been moved to a central repository (Supporting Files) in the data directory and only will be kept for 30 days. Exporting any reports will now default to exporting the supporting files directory to help prevent files from being saved to scattered locations.

8 Item Picture and User Image have been combined into one folder structure with the data structure: PICTURES. NGEN AS A SCHEDULED TASK The ability to schedule NGEN to run in a terminal services environment, will help keep the NGEN d programs in sync. The Last NGEN date has been added to the screen and the log file created during NGEN includes more detailed information. Print/Post has been disabled any time a transaction is being added or modified. Inactive salespeople have been removed from the Salesperson Selection. Removed the need for APPSupport database. Prepare for these new features by: Ensuring individual RETAILvantage user logins are being used instead of generic logins like Sales 1, Sales 2, etc. Having generic logins limits the ability to know who is really making changes. Confirming manufacturer SKU s and item pictures are being used when creating new items. The manufacturer SKU is the universal way to ensure all the involved parties are talking about the same item; as we move into electronically exchanging data. Ensuring item pictures are in RETAILvantage will be beneficial when searching for items in the new mobile application. Purging the inventory history and purging written sales data to help lessen the conversion time to RETAILvantage 2.2.
