Project Management Body of Knowledge (PMBoK)

Knowledge & Practice Areas Project Management PMBoK Prince 2 ISO General Management Application high performance sport 2

Theory vs. Practice: A Disclaimer In theory, practice and theory are one and the same in practice, however, they rarely are. PMBOK is to project management as GAAP is to accounting but not quite as regulated. 3

Core Scope Time Project Management Body of Knowledge Secondary Human resource Communications Cost Risk Quality Integration Procurement/ Contracts 4

Scope Management Scope planning Developing a written scope statement as a reference document. All work required to be done but only the work required to be done Scope definition Breaking down the work into manageable components Scope verification Obtaining formal acceptance from the stakeholders Scope change control Develop a basis for scope change control 5

Time Management Activity definition Identify specific activities to be performed Activity sequencing Identify and document interdependencies Activity duration estimating Estimate work periods required to complete activities Schedule development Analyse the above and develop a schedule to ensure completion on time Schedule control Monitor and control scheduling changes 6

Cost Management Resource planning Identify the type and quantities of resources required Resources: people, equipment and services Concept of resource balancing Relationship with time mgmt (required when?) Cost estimating Developing estimated costs Cost budgeting Allocating costs to work activities to track costs; need to complete project within budget Control Control changes to project budgets 7

Quality Management Planning Planning Identify quality standards relevant to a project Develop a quality plan Assurance Performance evaluation on a regular basis against performance metrics Control Monitor specific project results to ensure the project satisfies its objectives Identify and eliminate causes of poor performance 8

Human Resource Management Organisational planning Identify, document and assign project roles, responsibilities and reporting relationships Effective use of skills and time Resource (staff/volunteer) acquisition Secure human resources required to complete the project Team development Develop individual and group skills to work together as a motivated team 9

Communication Management Communication planning Determine information and communication needs of stakeholders Who needs what information and when? Information distribution Ensure project information is made available in a timely and appropriate manner Performance reporting Status reporting, progress measurement and forecasting; on-demand reports Administrative closure Formalising a project phase or project completion 10

Risk Management Risk management planning Decide what approach to use to identify, analyse and respond to risk Risk identification Identify and document risks that may affect the project Risk analysis Qualitative - Analyse risks and conditions that may give rise to the risk and prioritise Quantitative - Calculate likelihood and consequences Control Set up trigger signals and contingency plans 11

Procurement Management Planning Decide what goods and services to acquire from outside the organisation and when Solicitation planning Document specifications of items to be purchased Identify and evaluate sources of supply Solicitation (or requisitioning) Obtain quotations or proposals from identified sources Source selection Evaluate proposals and select supply source Contract administration Manage the relationship with suppliers on contractual basis Contract close-out Settlement, resolve outstanding issues, ensure commitments have been met 12

K n o w l e d g e A r e a s Scope Time Cost Quality HR Communication Risk Procurement Integration Project Success Management Concept Develop Implement Close-out Project Life Cycle 13

Integration Management Project plan development Integrating all project plans into one consistent & coherent document A master plan used by key people Project execution Carrying out all the activities included in the plan. Processes required to coordinate project Integrated change control Pulling together various changes occurring across the project and manage them 14

Group Discussion Identify and discuss knowledge areas for a sports project. Why do projects fail in sport? 15
