3 1 General Information 1.1 Purpose of the RFP The purpose for the Request for Proposal (RFP) is to establish the functional, operational, and technical requirements for the procurement of an inventory control system for technology assets that best meets Wentworth Institute of Technology s requirements. We are currently in the process of reviewing the Trakit8 inventory control software offered by Numera Software. 1.2 RFP Communications Please direct all communications/correspondence regarding this RFP to: Matthew Whitlock Wentworth Institute of Technology 9 Vancouver Street Boston, MA (617) Timeline Numera Software demo, review, and site visit RFP submission date Proposal due date Numera Software selection/contracts 1.4 RFP Preparation All costs incurred in the preparation and presentation of this RFP will be absorbed by Numera Software. In the event that modifications or additions to this RFP become necessary, Numera Software will be notified in writing. All supporting materials submitted with the proposal will be come the property of Wentworth Institute of Technology unless otherwise requested by Numera Software at the time of submission. 1.5 Numera Software Responses Numera Software is required to submit six (6) copies of their proposal. Send all copies to Matthew Whitlock no later than December 31, All supporting materials and documentation must be included with the proposal. 1.6 Effective Dates of Pricing Numera Software should state in writing that all furnished information, including pricing, will remain valid and applicable for a minimum of one hundred twenty (120) days from the date their proposal is received by Wentworth Institute of Technology. 1.7 Numera Software Site Visits Wentworth Institute of Technology reserves the right to inspect any and all Numera Software facilities, which will be used to support the proposed inventory control system for technology assets. This includes the facilities of any contractor or outside support organization that will be used.

4 1.8 Evaluation Criteria Numera Software proposals will be evaluated using the following general criteria: Ability to satisfy functional business need Ability to satisfy technical, functionality, and integration requirements Cost 1.9 Right to Reject Wentworth Institute of Technology reserves the right to accept or reject any and/or all submitted proposals and request additional information from all Numera Software. Wentworth Institute of Technology specifically reserves the right to negotiate a contract with Numera Software. Numera Software s response to this RFP will be included in whole or by reference in the final contract. At the discretion of Wentworth Institute of Technology, a third-party financial institution or consulting team could be included in contract negotiations. Any contract that is eventually awarded will be made to the organization who, based on the evaluation of all responses, applying all criteria and oral interviews (if required), is determined to be the best qualified to provide the requested solution and support Marketing References Numera Software may not make any reference to the project in any literature, promotional material, brochures, or sales presentations, or make any other commercial use of Wentworth Institute of Technology s name and/or this RFP, without the express written consent of Wentworth Institute of Technology. However, Wentworth Institute of Technology will offer itself as a reference account to Numera Software. 2 Trakit8 Information Numera Software should define Trakit8 information, as well as a description of its role in our total solution. Numera Software may include, exhibits, screen shots, diagrams, and other visuals they so choose. 3 Functionality Requirements 3.1 Instructions Wentworth Institute of Technology will be insistent and in-depth when stating its demands for a new inventory control system. It is extremely important that Numera Software provides knowledgeable, accurate, and trustworthy answers based upon Trakit8 information and capabilities. 3.2 Scenarios General Requirements # Requirement Rating Response 1 Will we be able to purge documentation? 2 Will the old system and the new database react well? 3 Can we implement new software with Trakit8? 4 Will assets be easily identifiable as compared to the old inventory control system? (I.e. does Trakit8 record information in a more sufficient manner than before?)

If so, how easily is it to do so? 2 Is Trakit8 compatible with any other inventory control systems similar to it on the market? For example, can Trakit8 migrate data from our previous inventory control system? 3 What is the maximum amount of users that Trakit8 will support? 4 Is Trakit8 compatible with SQU? 5 Can Trakit8 support multiple access locations? For example, will Trakit8 be able to uphold users maintaining technology assets from several different locations? Architecture 1 What is Trakit8 s technology base and platform? 2 Is Trakit8 user friendly to the extent that it is easily and sufficiently oriented into a workplace fast enough so that information is successfully restored? 3 Is there any extra proprietary hardware required for Trakit8? Please describe how Trakit8 supports a SQU server, as well as other hardware, software, and interfaces. 4 Is IP supported as a network communications protocol? If so, what vendors were chosen and what versions are currently supported? 5 If applicable, please explain the Trakit8 s upload/download capabilities. 6 What network operating systems are supported by Trakit8? 7 Please define planned enhancements as well as upgrades to the hardware that will available within the next five years. Please include detailed enhancement and summary plans for the next five years. Also, include implementation/migration path from this system to the next.

6 4.2.3 Trakit8 Performance, Reliability, and Redundancy 1 Does Trakit8 offer 24 x 7 support? If so, what are the support rates? 2 Numera Software should identify any preventive maintenance activities needed to keep Trakit8 running at full capacity at all times. 3 Wentworth Institute of Technology requests that the inventory control system must be capable of a major power outage or surge, no matter the impact. 4 For your seven largest customers who are currently using Trakit8, indicate their number of current users and the maximum number of technology assets stored in their version of Trakit8. What version was the most efficient? 5 Please describe the process of recovering lost information and data. How recoverable is Trakit8 in a power failure? What if the overall network crashes? 6 Which processes affect performance the most when the maximum numbers of users are using Trakit8, and why? How much does this affect the overall outcome of performance? Data Flexibility 1 Wentworth Institute of Technology requires that the database provides unrestricted usage and access to the data elements in order to maintain complete control of technology assets. 2 What DBMS options are available in this system? 3 Does this system accommodate dates beyond the year 2000? 4 Does Trakit8 include a complete set of maintenance utilities for managing the database? If so, please describe the contents of such utilities as well as the user interface. 5 Please describe how this system supports, maintains, and manages data integrity Security 1 Please list and describe all security features of Trakit8, as well as any add-on services that are available. How are user sign-ons controlled and monitored? How is overall security administered? (I.e. security software company, division monitors, etc.) Does Trakit8 have the capability to be monitored at all times, within Wentworth Institute of Technology s current network? How are program file folders, databases, and other features controlled and monitored? 2 Please describe how Trakit8 complies with networking PC s and approved LAN s. 3 How will different levels of security access be monitored? (I.e. manager versus normal employee access) 4 What are the security upgrade options available, and how often are they available?

7 5 Costs 5.1 Initial Costs Numera Software should orient all price quotes to support the following: ### simultaneous clients in the OIT workforce/staff ### of technology assets currently owned Remote location accessibility Insurance options and policies 5.2 Additional Services Wentworth Institute of Technology would like to ask that Numera Software provide data for any extra services and/or plans which are not included in the initial costs. This includes training, implementation support, and so on. 5.3 Pricing Options Numera Software is encouraged to adhere to a generous pricing structure with hope of future partnership. This is basically stating that with respect to our institution and what we provide, Wentworth Institute of Technology would be happy to deal with your company in future transactions if a deal or complete packaged pricing is achieved. 5.4 Long-Term Costs Support and Other Long-Term Costs Wentworth Institute of Technology would like to ask that all costs be stated in dollars and not in percentages. Fixed annual rate Usage charges (I.e. per item, per asset, per user, etc.) Trakit8 upgrades Bug fixes Please provide all other long-term costs associated with maintaining this technology. 5.5 Payment Options Numera Software is encouraged to include payment option information.
