1 DATE: April 6, 2016 TO: FROM: All Proposers Willie Velez, CPPB Procurement Administrator City of Casselberry Purchasing Division SUBJECT: This addendum is issued to provide additional information, clarification, corrections, additions, deletions and/or answers to questions concerning the above referenced solicitation. All information provided in this addendum is incorporated into the solicitation document as set forth therein. All other parts of the solicitation have been maintained as originally distributed. This addendum supersedes any verbal and/or other instructions given to any bidder/proposer qualified to respond pursuant to the requirements set forth in the solicitation document. I. DUE DATE The solicitation due date has been changed from Tuesday, April 12, 2016 at 2:00 P.M. Local Time to Tuesday, April 19, 2016 at 2:00 P.M. Local Time. II. QUESTIONS AND ANSWERS (Q&A) The City has received the following question(s) concerning the solicitation: Q1. On page 9, item (i): For what exactly is the requested five (5) year warranty for? What does this warranty encompass? Is it for the contractor s work or products? A1. Products. Q2. Please clarify if the warranty is referring to a manufacturer s warranty or a contractor s labor warranty. Typically, asphalt is a one (1) warranty; construction is typically also a one (1) year warranty. A2. Manufacturer s Warranty. However, Design/Build Team must warrant asphalt play surface for five (5) years. Q3. Regarding L.E.D. lighting: Should we include all poles; including the ones that have a light fixture pointing at the basketball court? A3. Yes. Q4. Does the City want a six inch (6 ) base or a four inch (4 ) base? A4. Six inch (6 ). Q5. What is the age of the existing tennis courts? A5. Tennis courts have been in existence since the mid 1970 s. 2 Q6. What color is the City considering for the courts? A6. At this time, play surface green with white stripping; outside of play, dark blue. The City reserves the right to change this color scheme with the successful proposer. Q7. Root intrusion issue: Roots from existing landscape may affect the requested five (5) warranty period. How the City does wish this issue to be addressed? A7. Remove all shrub landscaping and roots around perimeter of existing courts. Proposers do not need to submit a landscaping package. The City will determine how to address after completion of the courts. Q8. Does the City have a preferred elevation for the courts? A8. Match existing elevation. Q9. Are the existing light poles to remain or does the City wishes to replace them? A9. Include the costs associated with replacing all existing light poles. However, the City is willing to consider re-use of existing light poles if during the design phase with the successful proposer it is determined same can be reused to attain cost savings. Q10. Are there as built drawings available? A10. No. Q11. Does the City prefer landscaping restoration only for what is damaged during construction? A11. All perimeter landscaping shrubs are to be removed. III. IV. SIGN-IN SHEET The sign-in sheet for the mandatory pre-proposal conference held on Wednesday, March 23, 2016 is hereby attached. TRIPLET LAKE DRIVE IMPROVEMENTS PROJECT DETOURS Due to ongoing construction around the City Hall area, it is advised and strongly encouraged proposers review the information on detours associated with the Triplet Lake Drive Improvements Project. It shall be the sole responsibility of the proposer to determine most appropriate route to ensure on time delivery of your proposal response. Statement released by Public Works: Construction of Triplet Lake Drive Improvements Project has begun and will reconstruct Triplet Lake Drive from US to east of the N/S Triplet Lake Drive intersection. Triplet Lake Drive from US to Quail Pond Circle will be FULLY CLOSED for several months starting on or about March 21, For detailed information (including detours), please visit: Lateness of receipt of your proposal response due to construction shall not be grounds for accepting your proposal response after the due date and time.
