1 CITY OF OVERLAND PARK, KANSAS RECREATION SERVICES DEPARTMENT GOLF DIVISION SYKES/LADY OVERLAND PARK GOLF CLUB INSTRUCTIONS TO BIDDERS Bidders shall submit specifications and certification information of their driving range net and poles. Each bidder shall enclose with their bid, the conditions of the standard warranty as provided by the manufacturer. The material specifications shall not be construed as recommending any producer's material over any other make provided that equal quality and availability may be expected in performance. The City reserves the right to hold all bids for a period of sixty (60) days from the date set for opening thereof before action thereon; likewise the City reserves the right to reject any or all proposals. The City also reserves the right to waive any or all technicalities on bids and select individual items from any bidder. Bidders submitting proposals on material not conforming to the detailed specifications shall state variances on the proposal. 2 CITY OF OVERLAND PARK, KANSAS RECREATION SERVICES DEPARTMENT GOLF DIVISION SYKES/LADY OVERLAND PARK GOLF CLUB EQUIPMENT SPECIFICATIONS DRIVING RANGE NETTING SYSTEM GENERAL CONDITIONS : The General Conditions apply to all equipment specified herein. 1. All equipment shall be new, 2019 production models. 2. Appurtenances and/or accessories for the equipment not herein mentioned, but necessary to furnish a complete unit ready for use upon installation shall be included. 3. These specifications shall be construed as minimum. Should the manufacturer's current published data or specifications exceed these, they shall be considered minimum and furnished. 4. The City reserves the right to waive or take exception to these specifications, if it be to the City's greatest advantage or best interest. 5. Bidders must submit with their bid the latest printed specifications and advertising literature on the units they propose to furnish. 6. Bidder shall be prepared to give a complete demonstration of the merits of the equipment offered as directed by the City. The equipment so demonstrated shall be as complete as offered by the bidders for this bid. 7. Supplier hereby guarantees that for a period of one (1) year from the date of final acceptance, they will, at their own expense and without any cost to the City, replace all parts failures and make all repairs that may be required or are made necessary by reason of defective design, material or workmanship, or by reason of nonconformance with these specifications. 2

3 CITY OF OVERLAND PARK, KANSAS RECREATION SERVICES DEPARTMENT GOLF DIVISION SYKES/LADY OVERLAND PARK GOLF CLUB SPECIFICATIONS DRIVING RANGE NETTING SYSTEM 1.0 PERFORMANCE REQUIREMENTS: A. Design Loads: Provide driving range netting system; including but not limited to cable, netting, poles, fittings, foundations and netting ties; capable of withstanding the effects of gravity loads, wind-loads and snow loads in accordance with design load of 115 mph. SUBMITTALS A. Product Data: For each type of product indicated. B. Shop Drawings: Include plans, elevations, sections, details, attachments to other work etc. C. Delegated Design Submittal: D. Samples: 1. Golf driving range netting system: structural analysis data signed and sealed by the qualified professional engineer responsible for their preparation including loads, point reactions, and locations for attachment of equipment to structure. System to be designed for a minimum 115 mph wind load. 1. Netting: (1) 12-inch by 12-inch square sample 1.1. QUALITY ASSURANCE A. Installer qualifications for driving range netting system: Engage an experienced installer to perform the work of this sections who has performed installations of cable suspension systems that are similar to that indicated for this project in material, design and extent and whose work has resulted in installations with a record of successful in-service performance and having performed such installations for a minimum of 7 years. B. Professional Engineer Qualifications: A professional engineer who is legally authorized to practice in the State of Kansas and who is experienced in providing engineering services of the kind indicated. Engineering services are defined as those performed for installations of the cable 3

4 suspension systems and for driving range poles that are indicated for this project in material, design and extent. C. Source Limitations: Obtain each type of equipment through one source from a single manufacturer. D. D. Welding Qualifications: Procedures and personnel according to the following: 1. AWS D1.1/D1.1M, Structural Welding Code Steel 2. AWS D1.3, Structural Welding Code Sheet Steel 1.2 WARRANTY A. Special Warranties: 1. Equipment: Written warranties, executed by manufacturer of each piece of equipment specified agreeing to repair or replace equipment or components that fail in materials or workmanship within specified warranty period. 2. Driving Range Netting: Installed netting shall prevent passage of hit balls in area indicated on the drawings. 3. Manufacturer Warranty Period: Ten year warranty. PRODUCTS - EXECUTION 2.0 MATERIALS A. Steel Poles: manufactured by Coastal Netting Bakersfield, CA 1. Minimum yield strength of 65,000 psi (65 ksi). All steel poles to conform to the requirements of ASTM A36 as well as ASTM A572 or as an alternative to ASTM A252. B. Netting 2. Coating: Protective coating to be protected with STRYK 5388 FACS (Flexible Anti-Corrosion Coating) to protect against the elements of moisture, UV effects, and cracking due to extreme weather conditions. 1. Concrete: Minimum 4,000 psi concrete to be used for backfilling all direct bury posts. 2.1 DEMOLITION A. Netting removal: Remove and dispose of all existing netting and hardware on the existing driving range. B. Pole removal: Remove existing poles 5-11 (8 poles total) along the driving range. Cut base of the poles off a minimum of 6 below existing grade to allow for growth of grass. Poles and dirt spoils will need to be removed off site. 5

6 2.2 DRIVING RANGE SYSTEM A. Size-Layout 1. Poles 1-4: Existing wooden poles to remain 2. Pole 5: 75 AGL 3. Poles 6-11: 90 AGL 4. Pole 12: 75 AGL 5. Poles 13-16: existing wooden poles to remain B. Pole Requirements: C. Cables: AGL Poles: (2) piece pole sections- base to be 24 dia. base pole, top section to be 16 dia. Base to be direct buried in ground with an approximate embedment of 12.5 deep by 36 dia AGL Poles: (2) piece pole sections- base to be 24 dia. base pole, top section to be 20 dia. Base to be direct buried in ground with an approximate embedment of 15 deep by 36 dia. 3. Restraint collar: Each pole to have a concrete restraint collar that is 8 w x 8 w x 1.5 depth. Restraint collar to be 6 below grade to allow for grass growth. 4. Set poles a maximum of 50 o.c. (+/- 5 ) next to existing pole foundations while remaining in line with existing netting and fence locations. Temporarily remove and replace existing chain link fence to allow for installation of poles. 1. Main Overhead and Bottom Horizontal Cables: 5/16-inch 7 x 19 aircraft cable 2. Vertical Cables: 1/4 -inch braided cable. D. Netting Installation: 1. Attached to each overhead main cable, bottom cable and vertical cable with carabiner clips at a minimum of 2 o.c. Bottom cable is to be placed approximately 12 below the top of the existing chain link fence system. Carabiner clips to be 2.67 x 1.18 x.26,.49 oz with a weight rating of 25lbs and be made of weather resistant stainless steel. 6

7 3.0 CLEANING A. After completing equipment installations, inspect components. Remove spots, dirt and debris and touch up damaged shop-applied finishes according to manufacturer s written instructions. B. Replaced equipment and finishes that cannot be cleaned and repaired, in a manner approved by owner, before time of substantial completion. 4.0 SCHEDULE A. Pre-Installation/Coordination meeting to commence a minimum of (5) working days before installation is to begin. B. Installation is to begin on or around April 22 thru May 10, 2019, and all work is to be performed during a period of no longer than (21) calendar days. C. Installation to coincide with demolition of parking lot. 7

BID PROPOSAL DRIVING RANGE NETTING SYSTEM The undersigned bidder hereby proposes to provide and deliver and install Driving Range Nets and poles per attached specifications for installation at the Sykes/Lady Overland Park Golf Course. BID OPTION INSTALLATION TOTAL COST TO THE CITY Replacing (8) Eight poles at 75 tall, with capability of going to 90, allowing for extension. 2. Replacing (2) Poles at 75 tall, (6) Poles at 90 tall 3. Net and hardware on existing 50 tall poles 4. Delivery of the equipment, complete with accessories and parts, shall be to the Sykes/Lady Overland Park Golf Club, Quivira Road, Overland Park, KS 66213, on or around April 22 thru May 10, Installation to coincide with demolition of parking lot, to accommodate construction of the new clubhouse. Each bidder shall submit a sample of their Purchase Agreement clearly identifying any sections of the agreement that are non-negotiable. Bidder and its financer should be aware that, per City policy, the City will not accept a purchase agreement requiring the City to indemnify another party. Each bidder shall submit a detailed written description of how they propose to execute the required service agreement. The equipment and accessories included in this proposal are 2019 production models, new and complete in every way. Total bid shall include all federal, state, and local taxes and all transportation, dealer preparation, and handling charges. The City of Overland Park, Kansas, reserves the right to accept or reject any and all bids submitted. 11
