1 The Beaufort County School District (BCSD) is seeking audio equipment to be installed at the District Educational Support Center (DESC). The equipment is to be installed and tested by Wednesday, November 22, Training for staff and other BCSD personnel shall be completed by Thursday, November 23, All equipment provided by the vendor selected will be new and in the box equipment delivered to the site by the successful bidder at the time of installation. The BCSD reserves option to purchase all or one or more items from one or more vendors. SCOPE OF WORK: In general, the contractor will install an audio system to deliver intelligible audio (for both music and voice) throughout the Board Meeting Room. This will be accomplished utilizing both new and existing equipment. All new equipment is to be provided and installed by the contractor. The contractor will be responsible for: 1. Installation and programming of all equipment 2. Training on use of the equipment to the BCSD school and maintenance personnel. 3. Installation of all conduit, wiring, and equipment per all applicable codes, standards, TSBs, manufacturers specifications, and best practices described by InfoComm International. a. Note: no wiring or equipment will be allowed to rest solely on the ceiling bridge, grid, or tile. Support of wiring to structure is required. 4. Removal and disposal of all equipment deemed unusable by the District s representative in an off-site out of the area facility. Note: At this time, all the audio equipment at this location is in good working order. a. Usable equipment and products removed are to be returned to the BCSD. b. Examples of equipment that could be deemed unusable would be: broken and non-working audio components (mixers, microphones, speakers, etc.) and damaged metal racks. 5. Removal of all old/unused AV wiring located within the board meeting room. 6. The equipment will be mounted and installed in existing cabinet. 7. All wiring below the ceiling is to be installed in conduit if on a masonry wall. If on a sheetrock wall the preference of BCSD is to have the wire internal to the wall. 8. Exposed conduit is to be painted to match surface it is mounted to. 9. Slack wire will be left in (6 minimum) j-boxes by the speaker and in cabinets (12 minimum) to provide for future repair and or replacement of parts. 10. Label all products and wiring utilizing white vinyl with black lettering 11. Documentation of any existing damage to work area(s) prior to beginning work. Take photos or videos of the work area. Any undocumented damage at the end of the project 1

2 will be the contractor s responsibility to repair or replace as the direction of and to the satisfaction of the BCSD. 12. AV contractor is to provide documentation of final product to include line drawing and parts list like that provided in the RFQ package. Contractor Qualifications: The contractor will provide proof with quote of the following: 1. Having been in the business of providing audio systems for at least the past 5 years under the same name. 2. Have a minimum of one person with current CTS certification (valid for the duration of the project) from InfoComm International. One such person must be on-site during the entire time of the project. 3. Have a single point of contract during the entire time of the project serving as the project manager. 4. Be an authorized dealer and authorized installer of the equipment by the manufacturer. Products: Vendors are to utilize the following new equipment to enhance the existing system: Allen & Heath QU-PAC-32; 16 Channel Rack Mount Digital Mixer Allen & Heath AH-AB-168; 16 Channel Add on Kit for Qu-Pac-32 Allen & Heath ah-ab168rk-10 Rack Mount Kit Net Gear Nighthawk X4S Wireless Router AQC291 Cable NEMA3 12x12x6 Box with metal plate insert punched for jacks / connectors Wire management, conduit, and installation materials Listen Technologies LS System Design: The layout of the system includes the following considerations: 1. All equipment is to be mounted to walls and ceiling structure as required. 2. The system will include audio output for TV and streaming services. Warranty: All equipment provided and installed by the contractor will carry full manufacturer s warranty and a one year labor warranty by the contractor. In the event of a warranty repair beyond the first year all equipment will be replaced without any additional expense to the BCSD except for equipment rental and labor charges. The contractor is to provide all lifts, products, equipment, parts and labor for this installation. Coordination with the District s Electrical Contractor for modification to power will be the responsibility of the contractor w/ the District paying the Electrical Contractor directly. The contractor is to leave the site free from any debris / trash and secure all products / equipment at the end of each workday. All work is to be coordinated with the activity schedule of the DESC. Permission will not be granted for performance of work with the presence of students that will in any way jeopardize the students or staff safety. It is anticipated that work such as wire termination and racking equipment can be done during the work day (M-F / 8-5) work outside of these hours will need to be coordinated in advance. 2

3 Note we have an active school program on-site and in no way, is the work to interfere with the educational process. On-site storage can be arranged but is the responsibility of the contractor and the owner takes no liability or ownership of the items stored. Along with quote contractor is to submit: 1. General statement of understanding of work 2. General statement of methodology to be utilized in the installation and testing process of wiring and equipment. 3. Qualifications of staff and company to be assigned to the project. 4. Examples of at least 3 projects of similar nature and size completed in the last 5 years. 5. References minimum of 3 relevant to installation of audio systems of this type. 6. Product list of major components only. Terms and Conditions: Pricing should be valid for 60 Days. F.O.B. Destination: BCSD, 2900 Mink Point Blvd. Beaufort, SC Vendor shall not perform any work prior to the receipt of a purchase order from the BCSD. The using governmental unit shall order any supplies or services to be furnished under this contract by issuing a purchase order. Vendor agrees to accept BCSD Procurement Card for payment for no extra charge. Vendor shall not outsource to another vendor without written permission from the BCSD. BCSD reserves the right to value engineer the project with the selected vendor to keep the project within budget.
