2 City of Branson Tree Board Minutes June 21, 2017 TREE BOARD MEETING June 21, :30 p.m. Planning & Development Conference Room ROLL CALL Members Present: Chairperson Haston Vice-Chairperson Harris, Board Members Olson and Webster Members Absent: Board Member Sorenson Staff Present: Tara Norback Planning Assistant/ Ex Officio Member 3. Approve Minutes. DISCUSSION Motion: The motion by Vice-Chairperson Harris and seconded by Board Member Olson to approve minutes. Ayes: Chairperson Haston, Vice Chairperson Harris, Norback, Olson and Webster Noes: None. Abstain: None. Absent: Board Member Sorenson Motion to approve the November 2, 2016 and May 3, 2017 minutes passed with a 5-0 vote. 4. Financial Report. Ms. Norback updated the Board regarding the available funds. She stated after the final payment for the Gretna Road and the recent purchase of tree seedling planting supplies and trees, the remaining amount is $45, Update on Ongoing Projects. Ms. Norback updated the Board regarding the status of the tree inventory and the recent conference call to create a work specification document outlining the details of the process. She stated the tentative start date would be July 17, Chairperson Haston stated he would be out of town at the start up but would like to set up a meeting upon his return for Monday, July 24, Ms. Norback stated she anticipated them to be complete with the inventory in approximately a month from the start date. 6. Update on Previous Agenda Items. Ms. Norback stated they had originally planned on working with the neighbors within Black Oak Estates to replant trees but after Chairperson Haston s inspection, the trees had been determined that they did not need to be removed. She stated she had been open to suggestions for Arborfest. Discussion occurred and it had been decided to have a seminar with the assistance of the Missouri Department of Conservation for tree planting and mulching at the RecPlex in October. Ms. Norback updated the members regarding the tree list they had discussed at the last meeting. She stated she had added icons to assist contractors and homeowners with the negative and positives of the tree. Discussion occurred regarding further changes and when the list had been completed, it would be available on the website and it would be sent to local nurseries and landscaping companies as well as through a press release. Ms. Norback presented the staff report as filed for the purchase of a Memorial Tree for Utilities Department employee Tad Houston. Motion: The motion by Vice-Chairperson Harris and seconded by Board Member Webster to approve the purchase of a tree for Tad Houston not to exceed $250 within the scope of the city s regulations. Ayes: Chairperson Haston, Vice Chairperson Harris, Norback, Olson and Webster Noes: None. Abstain: None. Absent: Board Member Sorenson Motion to approve the purchase of a tree not to exceed $250 passed with a 5-0 vote. 9. Request for other items to be placed on future agendas. Tree Inventory Kick-Off with Davey Resource Group. DISCUSSION Ms. Norback introduced the Davey Resource Group Arborist, Reid Gibson who would be conducting the tree inventory. Mr. Gibson introduced himself and discussed the project and the information he needed to begin and to communicate with staff. He stated the timeframe for the inventory would be one and a half to three weeks. He stated the management plan would follow in another two to three weeks. Discussion occurred regarding priority locations and process for the inventory. 6 Branson Tree Board Staff Report and Recommendation Project No. TB ITEM/SUBJECT: REQUEST FOR APPROVAL OF THE PURCHASE OF A TREE FOR ARBORFEST DATE: SEPTEMBER 6, 2017 INITIATED BY: PLANNING & DEVELOPMENT STAFF REPORT: The Tree Board started ArborFest in 2010, as a way to promote fall tree planting and education to help the survival rates of trees. This year, ArborFest will consist of a tree planting and mulching workshop with the Missouri Department of Conservation at the Branson RecPlex on Friday, October 13, 2017, from 9:00am until 10:00 am. As a result of the workshop, a tree is needed in order to demonstrate proper planting and mulching techniques. STAFF RECOMMENDATION: Staff recommends the purchase of a tree for ArborFest 2017 not to exceed $250. ATTACHED INFORMATION: NA
