1 Standard gardening and grounds maintenance specification Area : Definitions: Growing season is considered to be 1 st April 31 st October but may vary dependant on weather conditions Weeds include brambles and ivy removal or cut back to be agreed with SYHA Manager Area Task Performance Standard Frequency Litter Remove all items of litter, stones and other debris from grassed areas in preparation for safe cutting Grassed areas free of litter, stones, leaves and other debris. All such items to be removed from site for proper Prior to each cut Remove all litter gathering within the flower beds, shrubs, hedge/bush and hard areas Remove all litter gathering within these areas. To be removed from site for proper disposal on the day of the visit At each visit and monthly outside growing season Grassed areas Cut grass to all areas and trim edging to paths and borders Mowing around obstructions Grass to be no higher than 6cm at any time and cut with either a mulching mower or cuttings to be removed from site for proper Mow as close as possible to fixed obstructions. At each cut Fortnightly during growing season subject to weather conditions. No cuts to be attempted on wet days or Sundays Out of season? All pathways and hard landscaped areas to be swept and left free of grass cuttings Removal of weeds from grassed areas (No requires at all properties, agree sites with SYHA Manager) Keep weed free by either weeding or using a weed and feed product. At each cut As required

2 Flower Beds Keep beds tidy by Hoeing and weeding All weeds cleared and any dead plants removed including roots without disturbing adjacent plants. Shrubs Prune and trim all shrubs To be carried out in accordance with standard horticultural practice for shrub type, to remove dead/diseased/excess plant matter and branches/foliage overhanging in a manner which interferes with the use of the footpath/highway/roads/paths/car parking etc. All pruning to be removed from site for proper Hedges Remove weeds from shrub beds Cut back hedges which can be safely maintained from ground level Cut back hedges to remove the need for working at heights No weeds in excess of 10cm to be left in shrub beds Cut back to the point of the previous cut or year s growth. The sides of hedges to be perpendicular and the top level at right angles to the sides unless previous practice demands otherwise. To be carried out in accordance with standard horticultural practice for shrub type, to remove dead/diseased/excess plant matter and branches/foliage overhanging in a manner which interferes with the use of the footpath /highway/roads/paths/car parking etc. All pruning to be removed from site for proper Cut back to a height that can be maintained from ground level. 3 Pathways and hard landscaped/paved areas General Conditions Remove weeds to all areas including accessible surface drains Remove leaves to all hard areas Remove all moss, lichen and algae growth from Pathways and hard landscaped/paved areas. Use moss killer or other appropriate methods Notify SYHA Manager if Japanese Knotweed is found Make winter ready Keep weed free/free of debry by either weeding or spraying with herbicide. Chemical products used and their method of use must be subjected to risk assessment under relevant Health & Safety legislation (COSHH/MHSWR) All hard areas to be kept leaf free All leaves to be removed from site for proper Areas described should be free from moss, lichen and algae. Topical treatment to be applied in accordance with manufacturers instructions SYHA Manager to take appropriate action All areas to be appropriately trimmed, cut back and tidied Check monthly all year round, herbicide to be used at least twice a year Each visit as necessary As necessary As soon as it is discovered End of growing season

4 Terms and Conditions: Hours of work - between 8.30 am and 5.00 PM Monday to Friday and 8.30 and PM Saturday. Identification Identification must be worn when attending sites. It must contain a photo of the operative, their name and the full name and business address of the contractor/company Evidence of attendance A card must be left at site to evidence attendance on that day. Alternatively where site have a signing in and out system, this should be used (footwear should be clean when entering any building). We expect all our contractors to work in line with SYHA s values Health and Safety Regardless of the number of people you employ SYHA expects you to have in place a suitable and sufficient written risk assessment. As a guide the risk assessment should be in line with the HSE s Five Steps approach to risk assessment, and as minimum cover the following potential hazards; Working at height (if applicable) Electrical (if applicable) Contact with powered equipment Hazardous substances pesticides, contact with needles and sharps Manual handling Lone Working (if applicable) Protecting residents and members of the public Contractor accounts and payments - Payment terms are strictly 30 days from the date of the invoice unless otherwise agreed. Due Diligence An in date copy of your Public Liability insurance and employers liability insurance must be provided to SYHA and replaced as the insurance is renewed. SYHA may also request other information as required The Contract shall be on these Terms and specification, to the exclusion of all other terms and conditions. Contract period The contract will run for 12 months from 01 April 2017 Company.
