1 How do I hire a new employee? Please follow the directions below to complete the New Hire Onboarding process. 1. Print Guidelines if needed, if you already have a printed copy or you are familiar with the process select No. Click here to navigate to the On-Boarding process to enter into Red Carpet. 2. Select Add Employee from the menu on the left. 3. Enter the details for your new hire: Legal First and Last name Employee s personal address Use Tab button until Login ID and password auto generate 4. Skip the sections starting with Full Legal Name through EEO Information The employee will be prompted to fill in their personal information to complete their first onboarding task. You will only be required to complete the sections in red. 5. Enter the Position Information. This information will be transferred to MyCED Payroll. Page 1 of 8

2 6. Once complete, select Continue-Add Event then select Onboarding. 7. The next screen will ask you to enter additional details related to the new hire and their position. Press select to view a list of options to be used. 8. Next, you will enter the name of the Hiring Manager by pushing Select. In the search screen, please enter only the last name of the Hiring Manager and then push Submit. Once submitted, select the applicable employee name populated below the search Page 2 of 8

3 window. Note: The person added as the Hiring Manager will need to be the person who will complete Section 2 of the I Use the notes section to add any other details or pertinent information to be shared with the Payroll Department and final approving manager. 10. Finally, select Finish/ Save in order to launch the New Hire Onboarding event. 11. If after selecting Finish/Save a pop-up like the one below appears, select Yes. This is only a warning that the Hire Date indicated on this screen will be used to generate the I-9 due date. Note: Once complete, your new hire will receive an notification (to the address entered on Step 4) with login instructions to get started with their completion of the on-line New Hire paperwork. 12. When the new hire has completed the Section 1 of the I-9, the Hiring Manager will receive an notification that tasks have opened up for their completion. To access these tasks the Hiring Manager will log in to MyCed and enter Red Carpet using the same instructions listed in Steps 1-3. The pending tasks will then be available for viewing under the My Tasks tab on the home screen of Red Carpet. Page 3 of 8

4 13. To complete the task entitled Complete I-9 Section 2 please select this task from the task list under the My Tasks tab. 14. From the Task Summary page select Form I-9 to access the actual I-9 Form. 15. On the form I-9 scroll down to Section 2. Depending on which documents your employee is using you will either list those documents under List A or List B and List C. For either option select the drop down menu under List A and select the appropriate option. Choosing List B and C Documents will open up the List B and List C fields. Choosing U.S. Passport or Passport Card will keep List A fields open. Page 4 of 8

5 16. Continue filling out the form I-9 through the end of Section 2. After finishing Section 2 scroll down to the bottom of the form and select Save and E-Verify. 17. You will then be prompted to verify the information that you entered into the Form I-9 to initiate the e-verify process. Please verify that the information on the employee s documents matches what you entered on the form I The remaining 5 tasks assigned for the Hiring Manger will all require uploading documents. The uploading process is outlined below. These will be: NOTE: The task entitled Upload I-9 Documents is not referring to the actual Form I-9, it is only referring to the copies of the documents provided by the employee. Upon completion of the required tasks by the New Hire and Hiring Manager, a New Hire Enrollment eaction Notice will be automatically created in MyCED Payroll and routed to the Division or Region Manager for final approval. 6 How do I upload the required documents to Red Carpet? The following documents will need to be uploaded to Red Carpet in order to complete the New Hire Onboarding process: Note: Copies of forms can be found in the Pre-Hire Guide on MyCED/Legal Dept page. Copy of I-9 supporting documents (i.e. Drivers License, Passport, SSN, etc) New Hire Employment Application Form 1042 or 1042DD for Drivers Applicant Voluntary Self-Identification Form 1051 Results of the MVR (if even incidental driving) and Background Check Results of Drug Screen Results Offer Letter (if applicable) Signed Notification and Authorization Form for Procurement of Consumer and/or Consumer Investigative Reports Form 1064 Signed Release for Procurement of Consumer and/or Consumer Investigative Reports Form 1064-A Monthly Auto Allowance Form 548 (if applicable) Department of Transportation Safety Record (if driving a commercial vehicle) Form 1085 Fluctuating Workweek PayPlan Agreement Form 1050 (if applicable) Please follow the steps listed below in order to properly upload your documents: 1. Scan and save the documents to your computer desktop. Note: To be more efficient, feel free to scan all the documents together as one PDF. 2. From any computer, log on to 3. Select Hire a New Employee located on the top corner of the window 4. From the menu, select Find Employee Page 6 of 8

7 5. Search for the desired employee by entering the First and Last Name then select Submit. 6. Find the appropriate employee from the list; select Options then Edit Profile. 7. Select the Forms tab from the menu. 8. Select Browse to find the scanned documents saved to the desktop. 9. Change the Document Title to an appropriate title or enter new hire documents if uploading all documents at one time. 10. Next, select Upload Document. 11. Select Save Employee. Page 7 of 8

8 Select Home on left hand side to access the tasks listed under My Tasks Tab. 13. Finally, click on each uploading task and hit Save and Complete Task from the Task Summary page to complete the uploading tasks. Note: If you do not have a requested document to upload (i.e. an Offer Letter) please complete Steps for each of those tasks to indicate that the document(s) is/are not available and the task(s) should not be listed as pending.
