1 JOB DESCRIPTION 1. JOB TITLE: Project Administrator (22 hours per week) 2. ROLE CODE: FINADMIN01 3. DEPARTMENT: Work Based Learning Unit 4. ORGANISATION CHART: Director Work-based Learning Unit Business Services Manager Unite for Business Project Administrator 5. JOB PURPOSE: To establish, administer and maintain the processes that are essential for compliance with auditing procedures in relation to this ERDF (European Regional Development Funding) funded project. In addition, to administer and streamline all project specific paperwork for both Businesses and Students/Graduates participating in this scheme and help with secretarial support within the Work-based Learning Unit, Faculty of Business, Enterprise and Lifelong Learning. 6. BACKGROUND INFORMATION: The Faculty of Business, Enterprise and Lifelong Learning has recently secured funding for a Project Administrator for this particular ERDF funded scheme. The Administrator is a key person who will be able to provide the breadth of support essential for successful monitoring, tracking and completion of all targets within this awarded contract. 7. WORK PERFORMED AND/OR KEY RESULT AREAS: 7.1 Communication Act as a point of contact for external companies and Graduates/Undergraduates seeking information. Prepare, circulate and mail/ documentation to Businesses and Graduates/Undergraduates as and when required. Be responsible for answering on a daily basis, routine enquiries related to the Unite for Business Project. To take minutes at Employer Liaison meetings and UNITE steering committees.

2 7.2 Teamwork and Motivation To be an effective member of the administrative team. No line management or supervisory responsibility is required of this post 7.3 Liaison and Networking To provide information to stakeholders (e.g. company managers, UCLAN coordinator, students/graduates) as the first point of contact in the UNITE for Business Team. 7.4 Service Delivery To provide a high level of customer service to all customers, including graduates, students and representatives from SMEs. Maintaining systems in compliance with contract and auditing procedures. Administering appropriate paperwork for eligible Companies & eligible Graduates/Undergraduates. Recording performance & outcomes. 7.5 Decision Making When responding to queries, to take independent decisions on how to respond to queries, which processes to direct customers to and to whom more complex queries should be referred. To make collaborative decisions with the Business Services Manager on changes to operational processes affecting the administrative functions of the UNITE for Business Team. 7.6 Planning and Organising Resources To take responsibility for planning and prioritising own work, within the requirements of the role as determined by the Business Services Manager. Maintain the Business Services Manager s diary. 7.7 Initiative and Problem Solving To resolve standard problems that arise, with reference to the Business Services Manager 7.8 Analysis and Research Gathering and inputting of data e.g. developing and maintaining databases, processing financial information etc 7.9 Sensory and Physical Demands Standard for office work 7.10 Work Environment Office environment with no responsibility for the health and safety of others beyond due care

3 7.11 Pastoral Care and Welfare Expected to show basic sensitivity to colleagues and customers Team Development To provide information and guidance on administrative processes to any new members of staff in the department Teaching and Learning Support This is not a requirement of the role 7.14 Knowledge and Experience The role holder will have sufficient knowledge or expertise to work on day to day issues in their own area without direct or continuous reference to others. 4 PERSON SPECIFICATION Job Title & Department: Project Administrator, Work Based Learning Unit Criteria Qualifications: 5 GCSEs grade A-C or equivalent ( including Maths and English) A levels or equivalent ECDL or equivalent Proven Experience: 1 year s experience within an administrative or clerical role. Experience of working in a Higher Education environment Knowledge, skills and abilities: Effective communication skills. The ability to work effectively with others as a competent team member. The ability to prioritise and use resources effectively. Ability to solve standard problems in accordance with procedures. 5 UNIVERSITY OF CHESTER{PRIVATE } TERMS & CONDITIONS OF EMPLOYMENT PROJECT ADMINISTRATOR FIXED TERM CONTRACT UNTIL 31 ST DECEMBER 2012 SALARY SCALE University{PRIVATE } Scale OS4, points 11-14, 17,111-18,643 per annum, pro-rata, payable monthly in arrears. RESIDENCE REQUIREMENT It is a requirement of this post that within 12 months of appointment, the post-holder should live within a 30 mile radius or within a one hour travelling time by public transport from the University. {PRIVATE }HOURS OF WORK {tc \l 1 "HOURS OF WORK"} 22 hours per week to be worked as agreed with your line manager. A flexible approach to work will be required as there may be occasions when it would be necessary for you to work additional hours as dictated by the workload. HOLIDAY ENTITLEMENT 151 hours per annum (pro-rata during the commencement and cessation years), rising to 173 hours after five years' continuous service. Two extra statutory days per annum during the Christmas period. MEDICAL EXAMINATION Successful candidates will be required to complete an Occupational Health questionnaire, and may be required to undergo a medical examination. ESSENTIAL CERTIFICATES Short-listed candidates will be asked to bring to, proof of qualifications as outlined on the Job Description and Person Specification provided. Upon appointment, copies of essential certificates will be required by HRM Services. PENSION SCHEME The University is an admitted body to the Cheshire local government pension scheme. All support staff are eligible for membership of the scheme, and upon appointment, will be asked to indicate whether or not they wish to join the scheme.
