1 Facilities Manager Job Specification Mayfield School is seeking to appoint a highly motivated and professional Facilities Manager to oversee the School s historic buildings and extensive grounds. This is a crucial post within the School and will support the existing Maintenance, Grounds and Housekeeping Teams to achieve the high standards expected at one of the country s leading Catholic Independent Schools. The post-holder, answering directly to the Bursar, will also ensure that the relevant health and safety procedures are in operation across the School to cover the diverse range of activities that are carried out on the site. The successful candidate will be an experienced Facilities Manager, calm and confident under pressure, able to build strong relationships with internal stakeholders and external contractors, have excellent communication skills and be a practised people manager who can motivate his or her team to achieve their full potential. He or she will have extensive knowledge of Health and Safety and environmental legislation as well as having excellent communication and organisational skills. This role represents an excellent opportunity to build on the current structures and processes in the department and introduce new ideas and initiatives to further develop the Facilities team within the School. The School Mayfield is a vibrant, happy and successful independent Catholic boarding and day school for girls aged 11 to 18. Founded in 1872, the School is set within 75 acres of beautiful Sussex countryside, conveniently located just outside Royal Tunbridge Wells, within an hour of central London by train and with easy access to Gatwick and Heathrow airports. There are currently almost 370 pupils in the School of which half are boarders. Every member of staff, be they teaching or support staff has an important role to play and is expected to contribute to the ongoing success to contribute The Role The Facilities Manager is a key member of the support staff group. This is a new role for the School and the successful candidate will have the opportunity to influence the scope of this role. S/he will report directly to the Bursar and will work closely with the Head of Maintenance, Head Groundsman / woman and Domestic Bursar who will provide appropriate support to fulfil the objectives. The principal areas of responsibility are: Site Management To be responsible for all buildings and grounds on the School site ensuring that it is a good state of repair and appearance. Some experience or understanding of Grade 1 Listed status would be an advantage. To manage and supervise external contractors on the site in accordance with the School s Safeguarding and Health and Safety Procedures. To carry out regular inspections of the School s accommodation and facilities, including staff accommodation, to ensure that they are maintained in line with statutory requirements and are fit for purpose. To work with the Bursar to maintain a programme of Planned Preventative Maintenance (PPM) to ensure statutory and legal compliance as well as best practice. To work with the Bursar to commission contracts in relation to the site and facilities. To monitor and review facilities contracts ensuring service delivery is fit for purpose, standards are high and contracts represent value for money. To have an oversight of all site and facilities issues through a system of regular routine inspection. Supervise the general maintenance of the premises by the in-house maintenance team. To build and maintain an accurate and complete asset register of the School s furniture and equipment. Ensure that the site is clean, tidy and attractive to minimise the risk to the health and safety of all users of the site and to ensure that the activities of the School can take place in an environment conducive with learning.

3 To respond to emergencies with the grounds and maintenance teams in respect of accidents, break-ins, bad weather and to develop robust contingency plans to deal with these. Liaise with key School Staff in relation to the use of School facilities to ensure that the appropriate risk assessments are in place prior to events taking place. Health and Safety To ensure that legislation relating to Health and Safety, Fire Safety and COSHH is adhered to, appropriate policies and procedures are in place and preventative action is taken where there are concerns. Have delegated day to day responsibility for Fire Safety. To ensure that site risk assessments are undertaken and reviewed on a regular basis. To ensure that regular checking of the fire alarm system and fire safety equipment is carried out in line with the School s Fire Safety Policy. To work with the Deputy Head to initiate regular fire drills and to analyse the outcome of these to ensure the School community learns from these. Liaise with Contractors for Legionella and Asbestos Risk Assessments. Maintain the Asbestos Management Register ensuring contractors sign and understand the guidance on the Management of Asbestos. Support the growth and maintenance of a positive risk management culture within the School. Support Health and Safety training activities and delivering components where appropriate. Management of External Use of School Facilities Liaison with groups wishing to utilise School facilities to ensure compliance with all regulations and the School s Safeguarding Policy. Participation in working groups planning larger events liaising with both internal and external stakeholders. Ensure that there is regular communication with the Domestic Bursar, Head of Housekeeping and Head of Catering in relation to upcoming events so that they can plan their teams involvement where necessary. People Management Effective daily management of direct reports Domestic Bursar, Head of Maintenance and Head Groundsman / woman. To conduct annual appraisals for direct reports and supporting them with the setting of targets and conducting of appraisals for their teams. To ensure that mandatory training is completed for all team members. Full understanding of the School s Policies and Procedures particularly in relation to Safeguarding. Strategic Planning To work with the Bursar and other members of SMT to create a rolling 5 year plan for the effective use of the School grounds. To develop an environmental plan for the School looking to monitor and reduce energy and water usage across the School site. To be accountable for waste management within the School. Strong numeracy and literacy skills. Proficient IT user particularly of Outlook, Word and Excel. Be able to influence others and instil a positive health and safety culture within the School. Ability to think critically / analytically Commercially aware with experience of managing contractors and negotiating with suppliers Able to work flexibly and understand that there will need to be some out of hours working. The following are desirable but not essential BIFM or some other relevant qualification Experience of working in a School environment An understanding of the School s Roman Catholic values and ethos Terms of employment Full time, 52 weeks per year with 30 days annual leave Hours of work Monday/Friday with one hour unpaid for lunch. In addition, some evening and weekend work may be required to support projects. Notice period 3 months. Attractive salary commensurate with experience.
