1 POSITION DESCRIPTION SENIOR INFORMATION MANAGEMENT ADVISOR EDUCATION AND TRAINING BUSINESS EFFECTIVENESS Job number: Business area: Location: Reports to: Knowledge and Information National Headquarters, Wellington Knowledge and Information Manager Version date: February 2018 ORGANISATION CONTEXT Fire and Emergency New Zealand is a Crown Entity established on 1 July 2017 under the Fire and Emergency Management New Zealand Act The role of our new organisation is to reduce unwanted fires, respond to structural and vegetation fires and other emergencies including motor vehicle crashes, medical emergencies, hazardous substance related incidents, natural disasters and support increased community resilience. Our new, unified organisation provides a fire and emergency service that delivers for communities, and the firefighters who serve them, now and in the future. POSITION CONTEXT AND PURPOSE The purpose of the Senior Information Management Advisor - Education and Training role is to lead the development and provisioning of information management training, advice and guidance to all Fire and Emergency New Zealand personnel. SCOPE OF JOB Financial delegations: Staff responsibility: Nil Nil KEY ACCOUNTABILITIES & DELIVERABLES The job holder is responsible for delivering results in the following areas: Diagnose information management strategy issues/ opportunities, and develop initiatives and action plans to support and effect change. Build effective relationships with managers to influence them in the execution of their accountabilities. Facilitate the appropriate use of data to inform operational decisions and strategy development Monitor the impact of new information management initiatives and programmes post-implementation to ensure that desired outcomes are achieved. Influence and advise on best practice and approach for accessing and managing information, and how they can be used and adapted to best fit the Fire and Emergency NZ environment Lead the provision of information management training: Develop and monitor information management education and training frameworks Develop and deliver information management inductions for all Fire and Emergency New Zealand roles

2 Develop and maintain online information management training products and services development and maintained Deliver information management training sessions Lead the development and provision of information management guidance Undertake analysis of Fire and Emergency New Zealand business unit information needs Develop information management options and recommendations Provide advice and assurance on information management changes to business unit, ICT and senior management PROUD

3 Assisting with information management compliance monitoring and reporting Undertake assessment of, and advice relating to business initiatives and systems for compliance with the Public Records Act, Privacy Act, Official Information Act, organisational and government information management expectations and best practice. Work with business units and ICT to develop and maintain a monitoring and reporting programme for information management compliance Assisting with the development, maintenance and ongoing provision of enterprise information management systems, policies and processes PROUD Support the ongoing review and updating of the Business Classification Scheme Provide advice to business unit, ICT and senior management on the application of the Records Retention and Disposal Authority and Schedule SAFETY, HEALTH & WELLBEING - RESPONSIBILITIES Taking responsibility for their own safety, health and wellbeing and for their colleagues and others they work alongside, as far as they are able Following policies, training and guidelines related to safety, health and wellbeing, including reporting of injury and near miss events. KEY RELATIONSHIPS Internal External Records Manager Archives New Zealand Knowledge and Information colleagues Other information management professionals in ICT managers government agencies All managers NHQ and regional/area/district Information management consultancies and All business services managers and coordinators system vendors All Fire and Emergency New Zealand personnel QUALIFICATIONS, ATTRIBUTES AND EXPERIENCE Suitable candidates will possess the following skills/attributes: Knowledge and experience In-depth knowledge of the Public Records Act 2005 Sound knowledge of other legislation and government directives with information management requirements Tertiary qualification in information management Significant experience in information management roles Ability to development education and training frameworks in information management deliver information management training development Ability to apply sound judgement and take an approach that is appropriate given the situation, policies, guidelines and legal requirements. Sound planning and organising skills. Able to coach, and mentor managers and other staff to enhance overall capability in information management. Proven experience leading/influencing in a comparably complex and sizable environment.

4 PROUD Well-developed ability to critically analyse and interpret complex information and make effective, well-reasoned decisions. Presentation and communication skills commensurate with the need to interact and persuade and influence a broad range of people both 1:1 and in group settings including delivery in workshops etc. Demonstrated ability to convey information and ideas clearly and accurately, in a way that meets the needs of the audience. Proactive and effective management of internal and external relationships, using influencing and persuading techniques to build confidence regarding the most appropriate approach within a given situation. Ability to work confidently and in a mature way with staff at all levels of the organization. Ability to work effectively with individuals, business units and teams. Inclusive and approachable working style, understands the value in consultation and bringing others alongside.
