1 Regional Food Sourcing & Logistics Coordinator Reporting to: Operations Manager Accountable to: Office & Development Manager Hours: Fulltime (37.5 hours) Location: Barnsley, South Yorkshire Remuneration: 21,000 Contract: One Year Fixed-Term (with a view to its possible continuation) About FareShare Yorkshire FareShare Yorkshire is a unique charity which fights food insecurity by tackling needless food waste. We redistribute quality in-date food that is surplus to requirements from food producers, manufacturers and distributors and engage volunteers to help redistribute this to hundreds of local charities and community groups known as Community Food Members (CFMs). These CFMs provide meals to vulnerable people in soup kitchens, homeless shelters, women s refuges and elderly lunch clubs to name a few. By ensuring good food is not wasted, we turn an environmental problem into a solution, helping to feed over 15,000 people each week. This role is critical to our future as we seek to double our work in under three years, and the number of charities we can support will be heavily influenced by the successes you have. You will be joining at an incredibly exciting time as we undergo a period of rapid growth and change. The issues of food poverty and food waste have a higher profile than at any time previously - a welcome development given the challenges faced. Our national partner FareShare UK has strong, strategic and collaborative relationships with some of the most sophisticated and influential food businesses in the UK. There are, however, many other food businesses on a regional level with whom we seek to develop strong relationships and that is where you come in - to support them in reducing overall food waste and the environmental impacts of their businesses, and to use their surplus food to generate a telling social contribution. Main purpose of this role This important new role works closely with both existing and potential food partners across Yorkshire and Hull & Humber to ensure that more surplus food is captured and distributed to three regional centres (Barnsley, Leeds and Hull). This key role is at the forefront of ensuring that more surplus food reaches us, so that it can be distributed on to charities and community groups. The successful candidate will also work closely with the Food Team of FareShare UK to ensure our regional food partners receive excellent operational support and customer service and the right logistics solution is applied depending on the volumes available. This role sits across the Operations and Development Teams of FareShare Yorkshire and will have responsibility for sourcing and scheduling offers of surplus food from food partners, either directly or via FareShare UK. 2 Job Description The successful candidate will work daily to liaise with food partners, allocate food to the regional centres depending on capacity and need, manage and schedule our own HGV transport, maintain food offer records, and work to refine this one-year trial so that we get food from A to B as quickly and appropriately as possible. We are looking for an organised, passionate person who is looking for a busy role with plenty of supply chain challenges. This role will report directly to the Operations Manager but will also be required to report to the Food Coordination Team at FareShare UK on a regular basis. Food allocation support and Industry liaison o Provide excellent customer service and act as the first point of contact to food industry contacts via phone and . o Support the Operations Manager to allocate stock offered from industry and communicate this to the heads of Regional Centres in advance of delivery. o Maintain timely records of allocations, learning gained through overcoming new challenges and reasons for declined offers. o Co-ordinate food offers, acting as the first point of contact, gathering key information and passing to the Food Team of FareShare UK where volumes are too great for our own logistics. o In conjunction with the Office & Development Manager, identify key trends of incoming categories and developments across the region. o Arrange, manage & co-ordinate transport for food across the three Regional Centres. o Communicate closely with the Lorry Driver to ensure the use of the vehicle is maximised and collections are made in a timely manner o Ensure any delays or problems are communicated immediately to partners and colleagues. Network engagement o Provide excellent customer service to the three Regional Centres via phone and . o Relay feedback from industry and the Food Team to the Operations Manager and Office & Development Manager. Supplier engagement o Support the Chief Executive and Office & Development Manager to identify new food partners, persuade them to provide surplus and identify key personnel that will drive and implement the provision of food. 3 o Strengthen existing business relationships with companies in the food industry through excellent customer service and relationship management. o Generate value for food partners and secure growing and sustainable volumes of surplus food for the three Regional Centres. o Help food partners to redistribute surpluses in the most environmentally, socially and financially efficient way. o Identify patterns where food surpluses have occurred before and are likely to occur again and work with the food partner to develop systems which are appropriate for them. Reporting and Database Management o Gather and provide supporting information on food offers for the Office & Development Manager to report to the trial s funder (e.g. volume of food, number of collections and locations, acceptance rate, lorry capacity utilisation, improvements applied over time to increase efficiency). o Help the Office & Development Manager to create a blueprint for this project s replication after the trial is complete. o Use our in-house system GLADYS to provide weekly reports on key statistics for the Operations Manager, Office & Development Manager, the Food Team and food partners as requested. o Use GLADYS to provide quantitative data/ad hoc reports as requested. o Utilise Sales Force to co-ordinate the acceptance and dispatch of food. o Log qualitative data with each food offer accepted or declined. o Alert the Office & Development Manager to any issues, apparent trends or anomalies relating to food offers or acceptance. o Keep the database of food partners and individual contacts up to date, ensuring new prospects are included as appropriate. Team and project support o Support the Office & Development Manager as required, including note-taking at meetings. o Assist the Operations Manager as required. o Feedback ideas for improving processes and operations linked to the provision of food. 4 Person Specification You will need excellent communication skills over the phone and by , be very organised and be able to prioritise working on several work streams simultaneously. The aim is to support the charity in this ground-breaking new trial with a view to its continuation and replication. Skills, Knowledge and Abilities Essential o Proven relationship management experience, preferably with experience of selling to or managing relationships with FCGM businesses. o Strong communication skills (written and oral) and the ability to change tone for varied audiences. o Strong time-management skills to ensure effective allocation of resources to cope with competing demands and to prioritise tasks appropriately. o Excellent telephone manner. o Good working knowledge of MS Office, especially Excel. o An understanding of the importance of informing the right stakeholders at the right time. o Planning and prioritisation skills. o Ability to analyse data, spotting trends and drafting reports. o Ability to use own initiative to drive success, working independently and having responsibility as an individual. o Project management / coordination skills Desirable o Understanding of how FareShare Yorkshire operates and its objectives. o Working knowledge of databases. o Action-oriented with a desire to seek tangible outcomes and incremental improvement. Experience Essential Working in a customer-facing role. Experience of managing fleet transport and Operators Licence responsibilities. Proven track record of working systematically to agreed guidelines. Proven ability to form good working relationships, both internally and externally. Desirable Experience of working in administration within a logistics, supply chain or warehouse setting. Page 4 of 5

Knowledge of and interest in Sustainable Development, Sustainability, Corporate Social Responsibility and experience of its application within the business environment.
