3 Job Description Job Title: Data Officer Hours: 35 Hours per Week Responsible To: Senior Database Officer Works With/Key Contact: Individual Giving Team, Fundraising Team, Comms Team, External Agencies. Location: Battersea Dogs & Cats Home, London Duration: Permanent Responsible For: N/A Salary: 29,450 Context and Background Established in 1860, Battersea Dogs & Cats Home aims aim to never turn away a dog or cat in need of our help, caring for them until their owners or loving new homes can be found, no matter how long it takes. We are champions for, and supporters of, vulnerable dogs and cats, determined to create lasting changes for animals in our society. We currently operate from three centres in Battersea London, Old Windsor in Berkshire and Brands Hatch in Kent. Every year, we care for over 7,000 dogs and cats. As part of a transformational growth strategy the Home has invested heavily in a new fundraising team and activities, increasing income more than tenfold since 2010 and substantially reducing an over reliance on legacy income. Our fundraising programme has grown rapidly across all areas; most notably by developing a significant individual donor base, establishing a major giving programme, launching new commercial activities and developing our events and community fundraising activity. Yet the opportunity to increase our impact for animals through growing a significant and sustainable income base remains considerable and our fundraising team are set to achieve ambitious year-on-year growth in order transform the lives of the animals in our care. It s therefore an exciting time to work at one of the country s most loved and best-known animal charities and work as part of one of the fastest growing fundraising teams. Our Database Team sits within Individual Giving, working closely with BDCH Staff and external contacts to collect and manage data that enables teams to fundraise effectively. Data is at the heart of our fundraising, and this team manage our database and all data processes with external agencies, using data to analyse trends, helping fundraising teams improve donor relationships. Without their support, hundreds of thousands of donors and the millions of pounds they generously give us each year would not be recognised.

4 Main purpose of the role To maintain and develop the quality of data held on our fundraising database. You will play an active role in data reconciliation, import, agency liaison and user training, ensuring that we make the best use of our data. Overall Objectives Achieve the highest standard of accuracy and integrity of Raisers Edge data. Proactively seek to identify any areas for improvement and work with the Database Development Manager to resolve. Deliver efficient data processes that meet the needs of our key internal or external customers, reviewing and improving documents and processes to ensure the highest standard of data quality. Promote the effective use of Raisers Edge through effective user training, support and documentation to achieve positive outcomes. Responsibilities Approx % of Time Data Quality Manage agency relationships to ensure that export issues are resolved and new developments are implemented smoothly. Implement new processes for data export as necessary. Run reports/queries to monitor data quality, flag issues with stakeholders and suggest new ways to improve quality. Identify solutions for issues resulting from data quality checks. Determine volumes, requirements, resource required and prioritise resolution. Maintain and enhance file specifications to ensure that data is exported in our required format. Work with external agencies to clean the full database, ensure that results are updated on Raisers Edge. Work with Fundraising Agencies to ensure the highest standard of data transfer. Promote best practice for security standards and compliance with Data Protection Act at source agencies. Maintain and enhance data manipulation tools in MS Access to ensure that all files can be imported seamlessly by the Data Executives Working alongside the Data Executives, run ad-hoc bulk data imports into the Raisers Edge Database from internal systems and third party agencies where necessary. Monitor and reconcile imported data files from agencies. Ensure that issues are flagged with relevant stakeholders. Establish new internal processes with Fundraising Teams and ensure that these are rolled out to the Data Executives for Import. Work with teams to ensure that data is collected in a format that can be loaded to the fundraising database. Database Support: Provide Raisers Edge Support to all users. Work with Blackbaud, flagging issues for resolution and stay informed of Raisers Edge developments to identify new opportunities for our fundraising. 50% 30%

5 Liaise with IT to ensure that Raisers Edge updates are tested and applied. Ensure that data export issues are reported to source agency for resolution. Database Training: Deliver Raisers Edge training sessions to new staff members. Deliver ad-hoc training on new developments as required. Ensure that all user processes are documented and maintained. Provide technical training on new processes for Data Team staff. 20% The above job description is intended to be an outline of the duties and responsibilities for this role. Decision Making and Accountabilities Decision Making Prioritisation and scheduling own work to deliver high standards of data quality. Advise on best practice in using Raisers Edge Working with Agencies to report export issues and decide appropriate action to resolve. Accountabilities Ensure that processes are in place to allow data files from all sources to be imported into Raisers Edge by the Data Executives. Compliance with the Data Protection Act. Delivery of training and support to users of the Raisers Edge. Achieve the highest standards of data quality. Ensuring that fundraising data is useful and available to inform decision making Personal Specifications Essential qualifications, experience & Skills Outstanding Relational Database skills, preferably with Raisers Edge. In depth knowledge and proven experience of working at an advanced, autonomous level. Experience of manipulating large data sets and proactively identifying data issues and areas for development. Excellent project management and prioritisation skills, with proven ability to manage time. Ability to collate, analyse, interpret and present data accurately and in a timely manner, with excellent attention to detail. Experience of bulk data imports and data reconciliation against external data files. Able to communicate complex data, analysis and processes to non-technical staff either in written or verbal formats. Proven ability to identify enhancements to data structures and to implement plans to resolve. Knowledge of analysis/reporting in either SQL Server or MS Access. Knowledge of the Data Protection Act and experience of keeping up to date with developments and applying good practice in data management. Experience of delivering database training to a wide range of users Experience of delivering bulk data cleaning projects. Ability and motivation to deliver high quality work with minimum supervision.
