2 Letter from the Chief Executive Officer of the Ted Wragg Multi Academy Trust Dear applicant On behalf of the Ted Wragg Multi Academy Trust I would like to thank you for your interest in the role of PFI Contract Administrator This is a hugely exciting time for our growing Multi Academy Trust. We are looking to appoint an experienced contracts administrator who can provide support to the PFI Performance and Contracts Manager for a new agreement with Devon County Council on behalf of the schools. The successful candidate will have: Experience of working in a relevant administrative role Ability to produce professional and effective reports and documentation Good communication skills; and An ability to manage priorities effectively, meeting deadlines and managing workloads. A good understanding of contract management, PFI and facilities management would be advantageous. 4 Job Description Job Title: Location: Responsible To: Salary Grade: PFI Contract Administrator TWMAT Central Services Director of Operations Grade D Key Purpose of Job The Exeter Schools Private Finance Initiative (PFI) is a 28-year project and will run until Each of the city s five secondary schools and one primary school, Wynstream, was rebuilt as part of this programme. The Project Agreement is between Devon County Council (DCC) and the Project Company, however the commercial and operational interface with the project company and its sub-contractors is going to be undertaken by the Ted Wragg Multi Academy Trust (TWMAT) under a separate agreement. The aim is to give TWMAT influence over and control of the commercial and operational matters that affect costs, value for money and risk management such that all schools benefit equally from the operational improvements and commercial benefits delivered by TWMAT, without affecting the rights and obligations of DCC as the Principal party under the Project Agreement. The key purpose of this role is to provide administrative support to the PFI Performance and Contracts Manager under this new agreement with DCC and on behalf of all the schools. List Key Duties and accountabilities of the post 1. Responsible for the administration of the Contract Management Framework, including a robust electronic filing system. 2. Ensuring effective communication systems are in place and operating effectively between all parties in the Contract. 3. Leading on the management of the PFI mailbox, being the first point of contract for queries, undertaking the investigation into resolving issues and escalating to the Contract Manager where required. 4. Leading on the analysis and reporting from the PFI helpdesk on behalf of all schools, in order to identify, monitor and challenge performance and service failures and escalate to the Contract Manager where required. 5. Generating and reviewing reports and undertaking analysis of the data and performance information in order to inform performance and areas for improvement. 6. Extract management information and produce reports for various audiences, including Head teachers, Trustees and the Project Board. 7. Responsible for the co-ordination and administration of meetings. 8. General administrative duties for the successful delivery of the service. 1. Supervision / Line Management Responsibilities of the post 1. No supervision or line management responsibilities.

5 2. Working Environment & Conditions of the post 2.1. In support of the Trust s vision and ethos of shared teaching and learning to improve educational outcomes for young people, the post may be required to travel and work within any school in the Ted Wragg Multi Academy Trust. 3. Other Duties 5.1 To undertake additional duties as required, commensurate with the level of the job. 5.2 To participate in induction training, staff review processes and professional development opportunities 4. Other Duties a) All staff must commit to Equal Opportunities and Anti-Discriminatory Practice. b) The Trust operates a Smoke-Free Policy and the post-holder is prohibited from smoking in any of the Trust buildings, enclosed spaces within the curtilage of buildings, and Trust vehicles. c) The post-holder will be expected to have an agreed working pattern to ensure that all relevant functions are fulfilled through direct dialogue with employees, members of other agencies and community members. d) The post-holder is expected to familiarise themselves with and adhere to all relevant Trust and School Policies and Procedures. e) The post-holder must comply with the Trust s Health and Safety requirements specifically for the school they are working at f) This post is based at Cranbrook Education Campus but the post holder may be required to move their base to any other location within the Trust upon request g) The duties of this post may vary from time to time without changing the general character of the post or level of responsibility entailed. As this post meets the requirements in respect of exempted questions under the Rehabilitation of Offenders Act 1974, all applicants who are offered employment will be subject to an Enhanced Disclosure and Barring Service Check (DBS) before the appointment is confirmed. This will include details of ALL cautions, reprimands or final warnings as well as convictions, whether spent or unspent. Criminal convictions will only be taken into account when they are relevant to the post
