2 2. Summary of duties About the role To realise our ambitious strategy, we need the best people around. We re building an amazing team, all of whom share our pace, passion and commitment to deliver the University s apprenticeship programmes. We are looking for an experienced, pro-active and highly organised Apprenticeship Coordinator to manage the administration and day to day running of the programmes and providing support to the Apprenticeship Operational Delivery Team (AODT) on all matters, including entering and maintaining data and personnel records in line with data protection and regulatory standards. Key responsibilities Support and co-ordinate the planning, implementation and delivery of a range of apprenticeship standards Co-ordinate the planning, implementation, delivery and reporting of apprenticeships in line with OU processes and procedures Monitor Health & Safety in relation to apprentices and employers at all times in accordance with regulations and OU Policy, notifying the line manager or appropriate OU manager of any risks Monitoring and responding to apprenticeship queries Liaising with potential training providers and partners Diary management of the AODT Responsible for creation and distribution of Individual Learning Plans Responsible for the creation and distribution of legal documents from templates Provide effective tracking of legal documents, chasing where necessary Provide effective tracking of employer financial contributions and liaise with Finance department where required Acting as the first point of contact for Faculties, Employers and Apprentices Collating employer apprenticeship vacancies and uploading on to Find an Apprenticeship job board Collate and provide progression data reports for employers / partners Provide general administrative support to the AODT Responsible for updating and monitoring the OU s e-portfolio system Responsible for updating, inputting and monitoring the Management Information System Responsible for the co-ordination of functional skills initial assessment and subsequent diagnostic assessment. Person specification Requirements (E = Essential/ D = Desirable) Education, qualifications and training Essential: GCSE at minimum Grade C in English and Maths or equivalent and be highly proficient in all Microsoft Office systems Desirable: A Level 3 NVQ/Diploma in Business Administration and/or Management or equivalent Knowledge, work and other relevant experience Essential: A minimum of three years experience of working in a busy office environment Highly computer literate, numerate and self-motivated and have the ability to manage, plan and prioritise your own workload as well as supporting others Experience of working with apprenticeship programmes, providers and employers A sound knowledge of a range of IT applications including Microsoft, and Maytas (or equivalent management information system) Planning, facilitating and taking minutes of meetings Excellent prioritising, organisational and time management skills Desirable: Experience of setting up work based learning programmes and apprenticeship programmes Understanding of higher and degree apprenticeships Understanding of the apprenticeship levy and its implications Personal abilities and qualities Essential: Strategically focused on developing consistent processes and joined up ways of working Experience, skills and personal qualities to develop and maintain outstanding relationships with both internal and external clients High ethical and professional standards with the ability to engage effectively with internal and external clients Strong communication, interpersonal and presentation skills, both written and verbal Desirable: An ability to identify commercial opportunities to maximise income within the department in line with the University s strategic plan Ability to identify when an intervention will have a positive effect on success rates The Open University, Human Resources, HRG158 Page 3 of 5

To do this it manages a balancing act: securing financial sustainability whilst supporting teaching, learning and open access as well as funding and developing top level research. Competition for students, staff and funding is intense and global, and students expectations have risen sharply as learners increasingly view themselves as consumers of education. The demand for top class facilities and services is growing, as are expectations for flexible learning patterns and qualifications that will really make a difference to careers. In addition, the introduction of the Apprenticeships Levy from April 2017 is expected to revolutionise and UK corporate learning and development market and the broader FE and HE sectors. OUW Ltd is part of The Open University s Business Development Unit (BDU) The Business Development Unit The aim of the Business Development Unit is to create and implement a profitable commercial and international strategy for the Open University, with two strategic objectives: To diversify and grow profitably the University s revenue streams To maximise the contribution to the University s net surplus The BDU leads implementation of the overall business development strategy for the OU both in the UK and internationally. This implementation is managed in close collaboration with business development efforts in faculties and in the nations and regions. 6.
