2 APPLICATION PACK Yeovil Town Community Sports Trust is a registered charity that strives to make a positive difference for all through sport and learning. Our aim is to do this by providing fun, safe and enjoyable activities for people of all ages, abilities and social backgrounds by using the power of sport as well as the profile of Yeovil Town Football Club to engage individuals and to have a positive impact on the lives of thousands of people each year. We also recognise the positive impact that our work currently has within our community but are continually looking to develop and expand our reach in order to make a difference to people s lives. The Trust s work is extensive and includes providing routes into education, training and employment, steering young people away from crime and anti-social behaviour and engaging children and adults, regardless of ability, in physical activity using our four core themes; Sports Participation, Social Inclusion, Education and Health. Job Description: Location: Hours: Salary: Reports to: Contract: JOB DESCRIPTION Administration/Data Protection Officer Yeovil 25 hours per week (including occasional Saturdays) 10,400 per annum Trust Manager Fixed term (subject to 4 month probationary period. Purpose Yeovil Town Community Sports Trust (YTCST) seeks to employ a part time Administration/Data Protection Officer. The role of the Administration/Data Protection Officer is to ensure efficient and timely operations of the office, so as to support and enhance the work of the Trust. The Administration/Data Protection Officer will work under the supervision of the Trust Manager. This exciting opportunity would suit candidates with admin experience and those who are enthusiastic and passionate about making a real difference in their community. Key responsibilities (but not limited to):- To undertake general administrative tasks including the sending and receiving of s, organising meetings, minute taking, dealing with purchase orders and payments, handling phone calls professionally and relaying messages efficiently and appropriately. Development of office systems and protocols including maintaining and updating VIEWS, the Trust s online project management and impact reporting platform. Support the work of the Trust Manager with timely meeting reminders, minutes and distribution of materials when required.

3 Supporting, handling and applying of finance matters including raising purchase orders and producing and keeping records of payments from all programmes that the Trust delivers. Support marketing and advertising activities when requested. Organise and support courses and events. Support projects and other activities to expand the work of the scheme. To ensure effective administrative arrangements are in place so that the Trust can demonstrate compliance with externally applied rules and regulations. Commitment to continued continuous personal development to update both professional and personal skills and qualifications related to role. Be well presented whilst representing YTCST. Promote a positive image of YTCST and Yeovil Town Football Club. To carry out all duties with due regard to legal and statutory regulations, which include, Health & Safety regulations and legislation, Safeguarding, Child Protection procedures along with the Trusts policies. Keeping the board of directors/trustees updated about data protection responsibilities, risks and issues. Reviewing all data protection procedures and related policies, in line with an agreed schedule with the Trust Manager. Arranging appropriate data protection training for staff alongside the Trust Manager. Handling data protection questions from staff and anyone else covered by this policy. Dealing with requests from individuals to see the data Yeovil Town Community Sports Trust holds about them (also called Subject Access Requests). To carry out additional duties as required which are considered relevant to the post and to objectives of YTCST.
