1 Data Quality Analyst Births Deaths, Marriages, Citizenship, Authentications and Translations (BDMCAT), Service Delivery and Operations Operating within relevant statutory frameworks, the Data Quality Analyst: Births, Deaths and Marriages (BDM) is responsible for proactively managing the quality of data contained in the life event databases and other systems. 2 Promote the importance of and maintain the quality of data in the life event databases Manage and undertake regular and ongoing audits of life event databases to ensure information entered is accurate and error free Manage feedback processes and liaise with system users as necessary to provide feedback when/if errors are found and ensure corrective actions are taken Maintain empirical data and generate regular reports on the number and types of errors being detected on the life event databases Develop and maintain guidelines and ensure clear instructions appropriate and most efficient way to use the life event databases Proactively, assesses and evaluates business processes and systems to ensure data quality and to identify opportunities for process, systems and data quality improvements Support the implementation of process, systems and data quality improvements as required. Facilitates provision of data services to internal and external customers Extract relevant data from life event databases to service each customer agreement Ensures all legislative and privacy requirements are complied with in the provision of data services to customers Works closely with Identity Verification Services to understand and meet the needs of external customers regularly accessing BDM data Provides timely response to one-off requests for BDM data Monitors revenue received from supply of BDM data. Data is accurate, meets the needs of the business, and is accessible to those who use it BDMCAT Leadership Team is satisfied with reports on numbers and types of errors Staff understand the importance of data quality Staff understand the most efficient way to use the life event databases Data processing improvements and/or systems development needs are identified throughout the year and actioned to time, cost and quality as agreed with Team Leader Decisions demonstrate informed and appropriate judgement and understanding of BDM needs. Customer requests for data services are acted on within agreed timeframes The Office of the Privacy Commissioner reports that data services are managed appropriately and legislative requirements are complied Appropriate data service solutions are selected to meet customer needs Customers report a high level of satisfaction with the arrangements put in place Annual audits confirm that appropriate arrangements are in place. 3 Training and Development Instigate and contribute to Business Unit training, learning and development initiatives Apply a proactive approach in identifying training needs for Business Unit Operate as Team Leader Learning and Developments primary point of contact for coordination of Business Unit training. Provide subject matter expertise to assist the development and delivery of training as required. Contribute to business performance analysis Contributes to monthly reporting and budgeting processes. Culture Contribute to and foster the development of a culture of innovation, excellence, collaboration and trust within Branch. Stakeholder management Establish and maintain positive working relationships with internal and external stakeholders to ensure open flow of information, advice, and support Apply a collaborative approach to communication and engagement with stakeholders Engage with the Office of the Privacy Commissioner as required. Risk Management Co-ordinate and contribute to risk management activities programmes and processes. Establish and maintain an effective working relationship with the Risk Adviser Comply with all relevant DIA and SDO policies, procedures, standards and legal requirements in own work practices e.g. Code of Conduct, Health and Safety, Public Finance Act All business unit training is up-todate and fit for purpose Business Unit training needs identified and mapped. Delivers agreed analysis work on time, within budget and to required standards Pro-actively identifies and reports areas for performance improvement based on analysis of technology systems. Active fostering and role modelling of these attributes and behaviours in others through coaching, and provision and receipt of constructive feedback. Open communication with all internal and external stakeholders All advice, information and support provided to stakeholders meet legislative requirements and statutory obligations Sound skills and judgement demonstrated in building and maintaining relationships and handling difficult issues. Risk management documentation for the unit is kept up-to-date Risk management reports are completed within agreed timeframes. Page 3 of 5
