1 JOB DESCRIPTION AND PERSON SPECIFICATION Job Title: Place of work: Reporting to: Responsible to: Assistant Shop Manager Any location served by the Donna Louise Trust Shop Manager/Area Manager Head of Retail Date Prepared: 0 th March 08 Prepared by: Simon Dodd General Description of Post To assist the Manager/deputise in their absence in the day to day running of a Charity shop. To ensure adequate and appropriate staffing, stock and procedures are in place, to maximise shop sales and profits. To lead a team of volunteers ensuring a great customer experience is received by all, working in a manner which reflects the ethos and the values of the Charity as detailed in the Employee Handbook. Key Responsibilities Business management To manage the shop in a profitable and business-like manner To maximise sales and profits To use other management information to best use To maintain a high standard of display, in the window and inside the shop To ensure stock is appropriate to the business and priced accordingly To maintain a rigorous process of stock selection and rotation, ensuring stock is rotated after its expiry date To pro-actively generate agreed levels of stock over the door To keep all areas clean and tidy and the stock in good order To travel to meetings/training/other sites etc. as required To promote and raise awareness to customers of any initiatives and events which the Charity have ongoing at any time Staffing To train and adequately direct the team of volunteers and any other retail staff To recruit, train, motivate, support, manage and retain an effective team of volunteers to provide adequate support in the shop Final Approved Version March 08

2 To co-ordinate rotas to ensure adequate staffing levels at all times (Ideally to have at least two volunteers at any one time) Take responsibility for communication of The Donna Louise issues to staff and volunteers To report any concerns or issues with volunteers and / or any staff to line management and / or HR To work with line management and HR to appropriately address any concerns or issues with volunteers and / or any staff Legal compliance/security Taking responsibility for ensuring that the shop premises comply with Health and Safety policies and legislation for all staff, volunteers and customers and visitors Carry out appropriate Risk Assessments To bank takings on a daily basis, on all the days the bank is open To maintain an up to date first aid box To ensure that fire procedures are followed and appropriate To ensure all accidents/incidents are reported correctly To ensure all appropriate legal/head office notices are correctly displayed To ensure Gift Aid procedures are delivered in line with the Charity s HMRC requirements and audit compliance To minimise stock loss and conduct accurate stocktakes as required To ensure that cash and stock are kept secure in the shop safe or in another approved manner and to report any shortfalls to line management immediately To seek immediate advice from line management and / or HR if there is cause to suspect a volunteer and / or staff is / are the cause of any shortfall in cash and / or stock 4 Administration To communicate all necessary information regarding the running of the shop to staff and volunteers To ensure financial controls are implemented in a timely manner To make best use of IT resources e.g. by using the EPOS system/computer to submit daily taking sheets, communicating by etc To effectively manage all controllable costs Training and Education To attend staff development programmes, training courses and study days as deemed necessary by the Charity To take personal responsibility for attendance at mandatory training, To take personal responsibility for ensuring all competency assessments are completed and reassessed on an annual basis if applicable to role To take personal responsibility for identifying any gaps in knowledge / skills and taking appropriate action to rectify this Final Approved Version March 08

3 Communications and Working Relationships Subsequent to the Charity s policies on professional and personal relationship boundaries, the post holder is expected to foster excellent working relationships with all service recipients, staff, visitors, volunteers and donors. In particular they are expected to deal sensitively with all children, young people and families with whom they come into contact. To act at all times in a professional manner, respecting the need of colleagues and cooperating to maintain a harmonious team working environment. Flexibility The days and times of work for this post may vary according to operational needs. The post holder may be required to work flexibly to cover for the absences of colleagues and for other operational reasons. Policies and Procedures The post holder must comply with the policies and procedures of the Donna Louise and will be responsible for reminding themselves regularly of these. The post holder will be made aware of relevant policies and procedures during induction and mandatory staff training and when they are introduced from time to time. General The Charity has to continually modify and improve its service. This will inevitably mean that modification of structures and thus job descriptions will prove necessary. The post holder will be expected to co-operate with changes, which the Charity may wish to introduce over time, however you will be consulted fully about any proposed changes which could prove fundamental to your role at the relevant time. This Job Description is not intended to be exhaustive but outlines key tasks to be undertaken. 4 PERSON SPECIFICATION Person Specification Selection Criteria: Qualifications (only if appropriate to the role) Weighting: Essential Important Desirable Stage Measured At: (Application Form, Interview, Test / Presentation) English and Maths at GCSE level, or equivalent. AF Experience Previous retail management, supervisory, or charity shop experience Experience of managing staff teams in a retail sectors Experience of managing in a Charity Shop Experience of generating over the door stock Experience of using an EPOS system I Knowledge Strong organisational and administration skills Financial management, including being able to review and analyse a P+L statement Able to recruit and train staff and volunteers in all areas of retail, including shop management Ability to delegate Excellent customer service Good communication skills I.T.
