The pattern of hours may vary according to operational needs and generally work will be carried out during normal office hours This is a permanent contract. More information about LSx is available on our website: Job Overview This post holder will deliver a small number of LSx projects to inspire encourage and enable more sustainable behaviour by London s people and organisations, with support and guidance from the LSx Programme Coordinator. The role will also contribute to delivering high quality communications as well as developing and submitting fundraising proposals.

3 Responsibilities Project Delivery & learner network Contributing to the successful development and delivery of project activities, including: Delivering a number of LSx projects, with support and guidance from the Programme Coordinator Understand and implement funder or client requirements as set out in the contract Developing and delivering initiatives, workshops, focus groups, surgeries and events, and preparing material for Toolkits and guides and other briefing materials. Coordinate bi-weekly meetings for projects for relevant team members and ensure project progress is presented with relevant papers. Ensure timely follow-up of agreed actions. Coordinate the work of partners and other suppliers of services, and manage key relationships. Identify and recruit any additional relevant partners. Organise and chair meetings. Draft contracts for partners and suppliers specifying deliverables clearly and accurately. Track expenditure against budgets and manage spending within limits/ priorities agreed with the Programme Coordinator and the funder/client. Undertake relevant monitoring, evaluation and reporting activities as required. Prepare Claims to funders. Delivering presentations where required. Draft well-presented and evidenced project reports following LSx s established templates and ensuring sound logic and evidence base is used to draw conclusions and make recommendations. Ensure LSx Programme Coordinator and other senior staff have sufficient notice and time to input and comment ahead of deadlines. Make effective use of volunteers and temporary staff Results Smooth operation of LSx projects Accurate and accessible financial, monitoring and evaluation and research information Client / funder satisfaction that projects are being delivered in line with agreed deliverables, impacts, budgets and timescales. Well managed relationships with partners and suppliers ensuring fulfilment of LSx requirements Accessible past correspondence and other records of LSx activities Project information up-todate and accessible for funders and others as required including project GANTTs and budgets. Supporting our Learning Network by Managing the contacts database Researching and developing engaging and informative bulletins for the Learner Network Collating, interpreting and summarising data for monitoring and evaluation purposes Other activities as may be reasonably required

4 Fundraising Contributing to the financial sustainability of LSx as a charitable organisation by: Identifying new fundraising opportunities such as corporate partners, trust funds or local authority commissioning opportunities (This could be in the region of 2 per quarter). Developing and bringing to conclusion high quality fundraising proposals including trust fund applications and corporate pitches, liasing with delivery and strategic partners. Seeking advice and input from the Development Director in a timely fashion. (This could be in the region of 3 per quarter) Proactively support LSx s membership programme by promoting and selling to partners Office Support Contribute to the coordination and upkeep of LSx Social Media and the LSx website by ensuring that project pages and events relating to projects worked on are up-to-date and accurate. Operate the phone system, ensure incoming telephone calls are answered in an efficient and effective manner, ensuring a professional approach at all times. Take clear and accurate messages, forward to the appropriate members of staff. Assist with the development and coordination of projects and activities. Undertake general office administration. Assist the Office Administrators in general administrative tasks, including filing and archiving. Provide assistance to staff with the administration of projects as appropriate. Undertake general administration including word processing, using spreadsheets, dealing with enquiries, and routine correspondence, photocopying and collating. Set-up rooms, equipment and refreshments for meetings. Other responsibilities Keep up to date with sustainability developments as well as London news and issues affecting charities, through regular reading of articles and publications and media Lead on at least one particular areas of expertise for LSx, keeping informed on key developments. Supporting the LSx Executive Assistant as required (including covering for this post when necessary) A strong contribution to LSx s fundraising pipeline Smooth operation of administrative processes Accurate and accessible contact information Accessible past correspondence and other records of LSx activities Website up-to-date High quality e-bulletin distributed bimonthly Effective and efficient provision of services to LSx team (IT, stationery, etc.) Supporting the wider LSx work programme and supporting the LSx team as required.

5 Person specification Essential: A systematic, meticulous and quick worker, able to prioritise a varied workload and work to a high standard under pressure Confident, positive, warm and flexible approach to dealing with a wide range of people Excellent written and verbal communication skills Able to deliver meetings and events for audiences large and small An awareness of, and commitment to, sustainable development and the mission of LSx A good team worker, able to use own initiative and be self-motivated Willingness and ability to travel across London, and occasionally work outside normal office hours Entitled to work permanently in the UK (as a small voluntary organisation, London Sustainability Exchange is regretfully not able to assist with applications for work permits) Desirable: Educated to degree level or equivalent Competencies using a range of software packages, particularly Excel and Word Experience of quantitative and qualitative research methods and analysis techniques Understanding of simple administrative financial procedures Experience and knowledge of working in London
