1 JOB TITL DPARTMNT LOCATION UNIVRSITY OF LINCOLN JOB DSCRIPTION Schools and Colleges Assistant Communications, Development and Marketing Brayford Pool JOB NUMBR CDM0027 GRAD 4 DAT August 2018 RPORTS TO Senior Academic Outreach Officer CONTXT This post is located in the Communications, Development and Marketing (CDM) department which is based at the Brayford Campus of the University of Lincoln. This department s work covers undergraduate and postgraduate recruitment of students across a wide range of specialist areas such as web, press, PR, publications, marketing, events and schools liaison. This post reports to Senior Academic Outreach Officer and sits within the marketing recruitment team. The post will be responsible for supporting schools and colleges liaison work across the UK. In addition, the post holder will provide support to colleagues across CDM, specifically with regard to finance, administration, enquiries management, conversion, postgraduate recruitment, the Children s University, WP, and campaign management. JOB PURPOS This role is responsible for supporting work with schools and colleges across the UK. They will support with building and maintaining relationships with teachers, advisors, parents and a range of stakeholders to ensure that the University of Lincoln is well known and highly regarded as a first choice for undergraduate study. The role will undertake administration for the team. This will include finance, responding to enquiries, supporting with events and internal and external visit management, and supporting in the creation and management of communications materials such as web and printed materials. They will engage in event delivery and will, at times, represent the University. The role will contribute to driving student recruitment for the University. Page 1 of 6

2 KY RSPONSIBILITIS Planning and Organisation To be the first point of contact for the University of Lincoln in Schools and Colleges team. They will build excellent relationships with enquirers and have excellent planning and organisational skills to ensure that these customers are fully supported in an efficient and effective manner throughout any interaction with the schools and colleges team. To be the team expert in the customer enquiries management system. nsuring records are correct and providing regular reports on the management of enquirers. To act as a finance assistant for the department to facilitate purchases. This includes undergoing training in purchasing techniques to be able to: facilitate the purchase choices of the team, effectively utilise the purchase system, follow process, request appropriate approvals, reconcile purchase receipts, and support with supplier queries and disputes. To operate the University s central computerised finance system to process orders and invoices (and related documents) for goods and services supplied to the department and work effectively with the Finance Department to resolve issues. To undertake travel bookings for the team, room bookings and work closely with the Office Manager to oversee stationery management for the team. Creativity and Problem Solving To provide support with conversion, the Friends for Life and other social media initiatives and the applicants call centre. To maintain equipment and oversee a bookings system for key items, working closely with the events team to ensure items are in good order. To work with Officers to find exciting ways to engage academics and bring subjects to life for young people, both in person and online. Communications To manage enquiries, whether by phone, , post, social media or in person providing prompt responses and taking a friendly and supportive approach. To support events, such as H Fairs, school visits, internal visits and live link ups. Customer Service To be customer focused in all activity and ensure that requests and enquiries are responded to promptly. As a first point of contact for the team, the role will support staff across the University and provide prompt and helpful responses and information. The post holder will predominantly be office based and will provide the team, who often work remotely, with administrative support. Page 2 of 6

3 Organisation and Teamwork To be organised and self-motivated, providing support to the Schools and Colleges Liaison team to ensure that the team is well-prepared and well-ordered for all events and activities. To manage the annual diary for the team and support with the management of student ambassadors and academic and alumni engagement. To work collaboratively with other members of the CDM Team, liaising with the Office Manager and the Finance Assistant. Other Duties Be aware of and adhere to the University s approved regulations and procedures pertinent to Financial Services, thus maintaining accurate records for audit purposes. Undertake any staff development deemed necessary for the effective performance of duties assigned to the post. 4 ADDITIONAL INFORMATION Scope and dimensions of the role The role will provide a high level of customer service when dealing with a wide variety of enquiries from prospective students, applicants, parents, outside agencies and institutions, as well as University administrative and academic staff alike. These enquiries may be regarding all matters relating to undergraduate student recruitment activity at Lincoln and could include information required on admissions and funding processes. They will need to be dealt with timely and competently via , phone or in person. The role holder will be expected to use our Technology One central enquiry management system to deal with and record enquiries.
