2 Placement: E-9 POSITION DESCRIPTION Job Title: Directly Responsible To: Information Service Center Director The is the first level of a three level analyst classification series. This position is expected to meet standards of the next level (Associate Student Software Analyst) by the end of the first two (2) years of employment. The job of position provides school district clients consultation, implementation, training, and support in the use of WESPaC/Skyward/Qmlativ and WSIPC applications to ensure that client information management needs are met and in compliance with related policies, practices, and/or regulations. This position will work with the support of the Student Analysts. An Assistant Analyst works as part of a team that specializes in the application knowledge of the WESPaC/Skyward and Qmlativ Software Suites. Essential Job Functions: A. Advise and provide technical assistance/customer service to school district personnel relating to the use of WESPaC/Skyward/Qmlativ Student software including but not limited to, Gradebook, Attendance, Discipline, Food Service, CEDARS and other State Reporting. B. Use WESPaC/Skyward/Qmlativ shadowing techniques and Zoom capabilities to ensure accurate troubleshooting and assist in training. C. Meet selected timelines and perform data entry requirements. D. Provide backup and assistance to other departmental staff as required. E. Acquire and develop knowledge of software and hardware architecture for use within the Skyward suite of software. F. Assess training needs of district clients and contribute to a training curriculum (e.g. forums, webinars, recordings, new user, specialized, new feature, workshops, labs or ongoing learning, etc.) for the purpose of ensuring training needs of clients are met. G. May assist with 3 rd party integration, maintenance, and other operational technical support with WSIPC or other software partners responsible for installing hardware/software systems for the purpose of providing an up to date, functional and highly performing application to clients. H. Assists with the transmittal and verification of district data files for the purpose of complying with federal and state regulations. I. Collaborates with other team members in the use of application software, analysis techniques, training skill development, presentations, computer equipment, and team processes for the purpose of sharing knowledge, experiences, mentoring, assisting others with customer support, completion of special projects and continually improving the service delivery of the team. J. Configures the WESPaC/Skyward/Qmlativ or related application features (e.g. screen, process, or business rule configuration, code lists, workflow, custom data fields, and report parameters, etc.) for the purpose of customizing the application s functionality to meet individual school district practices. K. Contributes to and may author documentation or other learning materials (e.g. flyers, user guides, checklists, process lists, or tutorials, etc.) for the purpose of providing resource materials to district clients enhancing their learning experience. L. Contributes to instructional programs using a training plan for the purpose of ensuring required resources, materials, training approaches and techniques will maximize district client learning engagement and retention. Contributes as a member of the Skyward network of Information or Information Service Centers, state agencies or other professional organizations for the purpose of representing South Central Region ESD 105 in data management leadership and keeping informed of evolving requirements, regulations and system functionality. N. Assists in development and maintenance of a variety of analysis tools including moderately complex reporting templates for the purpose of assisting district to generate complex data sets for data analysis, monitoring and reporting. O. Guides districts in timely data entry and trains clients in creating monthly, annual or other time specific reports for the purpose of timely report submissions to federal and state agencies. P. Guide customer behaviors through the building of relationships while providing solutions that maximize the benefits for both the customer and ESD 105 Information Service Center. Q. Identifies and appropriately communicates with Director of SCRISC (South Central Region Information Service Center) regarding school district issues (e.g. possible compliance issues, key staff changes, negative trends, etc.) for the purpose of identifying intervention needs with districts. R. Manages test and training application environment through coordinating data refreshes and scrambling of data with WSIPC and preparing and entering test data for the purpose of troubleshooting problems, testing software changes or training district clients. S. Provides individual assistance in the completion of a district client s work activities for the purpose of enabling them to meet their deadlines. T. Research, review and analyze the effectiveness and efficiency of existing business processes and develop strategies for enhancing or providing further leveraging of these processes. U. May on occasion research WACs, RCWs, and other outside materials for the purpose of ensuring accuracy in district data practices for adherence to policies, procedures and legal requirements. V. Researches, analyzes, identifies and tests solutions (e.g. placing the district s database in the test environment to recreate the issue and test the solution, researching documentation or regulations, or initiating data manipulations, etc.) for the purpose of resolving, coordinating and communicating resolution of the client s issue. W. Troubleshoots basic to moderately complex software application problems through active listening, inquiry, client shadowing and duplication of the client s issue for the purpose of diagnosing the problem to be resolved. X. Assists with the planning and development of a project charter, sets and maintains the project schedule, coordinates tasks, implementation and testing of projects for the purpose of ensuring quality implementation standards are met and communicated. Y. Assists with various high impact or mission critical business processes authorized by a district client (e.g. entering, updating, executing, reporting and/or transmitting information, etc.) for the purpose of assisting the district adhere to federal/state regulations or board policy. Z. Assists other personnel for the purpose of supporting them in the completion of their work activities including but not limited to printing services and other duties as assigned. AA. BB. CC. DD. May join other Analysts and travel to school districts for the purpose of providing a variety of information services. May demonstrate application features and functionality for the purpose of orienting new or existing district clients to new or existing application features to encourage future implementation. May map data between systems and create import/export files for the purpose of migrating data to/from an external system (e.g. conversion, migration or interface). May serve as system administrator or advises district personnel on security setup, policy and standards for the purpose of ensuring that account creations, security groups, modifications and deletions occur in a timely and appropriate manner and facilitates optimal database usability. (Only with Student Analyst support) May assist in delivering overview and/or parts of in-depth software application and system operation training in WESPac/Skyward and Qmlativ software for individuals, small and/or large groups of district clients in different Page 3 of 5

4 environments such as workshops, webinars, classes, labs, forums, committee meetings or conferences for the purpose of facilitating use and adoption of the application by district clients. And will assist in the development of training documentation and presentations. Other Job Functions: A. Perform other duties as assigned. Qualifications: Required Education and Experience: 1. Minimum High School diploma Preferred Education and Experience: 1. Associates degree 2. Experience working with relational data bases and statistical analysis tools. 3. Experience working with the WSIPC/Skyward software system. 4. Job related experience within a specialized field. 5. Successful experience in public education, auditing, and/or data support. 6. Successful training in front of small and large groups of people. 7. Targeted, job related education with study in job-related area. Required Skills, Knowledge and or Abilities: 1. Basic to advanced level knowledge of Excel functionality and file format language is required. 19. Knowledge is required to perform basic math, including calculations using fractions, percent s, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and analyze situations to define issues and draw conclusions. Specific Knowledge based competencies required to satisfactorily perform the functions of the job including concept of database structure. 20.
