1 Job escription Please complete all accessible boxes and refer to the guidance on writing Job escriptions Position etails Faculty/irectorate School/epartment Team Job Title Faculty of Business and Law Business School Apprenticeship Unit Apprenticeships Compliance and Contracts Lead Vacancy No 0590 Grade 6 Hours of Work 35 Contract uration (Perm/Fixed Term) Reports To (Job Title) Responsible For (Job Title) Permanent Apprenticeships Support Manager n/a Principal Accountabilities To ensure the University's apprenticeship systems, processes and paperwork are compliant with the ducations Skills Funding Agency (SFA), Ofsted and that appropriate evidence files are maintained for apprentices and apprentice employers in line with the University's contractual obligations. You will have experience of working in a university and/or a further education environment, and will be responsible for the development of compliance monitoring processes, assessing the quality of evidence and identifying any resolving any evidence compliance gaps. In addition, the post holder will closely liaise with Legal and Financial Services, Business evelopment and Academic Programme Managers and employers to coordinate, monitor and support contract negotiation. Joining a growing team, you will be required to take a team leader role for staff and oversee operational administration processes. The overall objective is to work collaboratively with the Apprenticeship Unit and wider University to ensure robust compliance processes are in place and communicated, and closely monitored to ensure readiness for inspections by external agencies.

2 Key Tasks Compliance monitoring To work collaboratively with Finance, Legal and the Apprenticeships Unit to develop effective compliance monitoring processes. To keep abreast of changes to contractual obligations, audit and evidence requirements (arising as a result of changes to the Ofsted Inspection Handbook, SFA Funding Rules etc.) and ensure processes are updated, staff informed and appropriate evidence collated. To provide reports to update management and key stakeholders as required on compliance, highlighting any gaps or issues in compliance. To actively contribute to the monitoring and maintenance of apprentice and employer evidence files. To undertake regular quality checks of evidence, e.g. reviews, evidence of learning, attendance or withdrawals, etc. and resolve and feedback any issues, working collaboratively with others where required. To gather examples of best practice and disseminate this learning to relevant staff across the University, working collaboratively to review processes as required. To coordinate the preparation of evidence packs and reports for audit inspections (e.g. from Ofsted, SFA, external quality assessment, etc.) and to provide administrative support as required to ensure visits are professionally managed and adequately resourced. Contract Negotiation Maintain and develop relationships with external clients (regionally, nationally and internationally) in order to assist with the development of service contracts with apprenticeship employers. To act as the key point of contact within the Apprenticeships Unit during the employer contract negotiation phase, working collaboratively with Legal and Finance Services, management and employers to ensure appropriate contract arrangements are put in place to cover apprenticeship delivery. To track any requests for deviations from standard contract terms, coordinate management approval and liaise with Legal and Financial Services to ensure risks are assessed and changes are reflected in the contract. To record where deviations from standard contract terms are agreed and notify Academic Programme and Business evelopment Managers where these deviations impact on programme delivery or account management. To represent the University, promoting Manchester Mets expertise and capability to engage with external organisations and maintaining strong relationships over time.

3 Administration To update, input and maintain relevant databases (such as Salesforce CRM system, Onefile, PICS, Student Records System) to ensure accurate records and evidence of apprenticeship training delivery. including distribution lists, and personal contact to ensure that work to support brand and reputation reaches stakeholders promptly and effectively. To contribute to effective, efficient and pro-active administrative services within the Unit's compliance and support function to ensure the smooth running of day to day operations and compliance with contractual oblications and University processes and procedures. To check and approve meeting minutes and actions and ensure that action owners complete actions by given deadlines. To facilitate and attend meetings as required to represent the Unit and wider University, including booking rooms, ordering catering, booking accommodation, preparing and distributing meeting papers and recording minutes and actions. To ensure enquiries ( , phone, in person) are dealt with promptly and professionally to support the work of the team and promote a positive image of the Unit and wider University. Management/Teamwork To support colleagues engaged in apprenticeship support, administration and employer liaison, working within University guidelines. To plan and organise own work, working flexibly to adapt to changing priorities and the needs of projects. To provide training, support and supervision as required to new members of staff. Project Work Plan and implement specific work projects, applying effective analysis, monitoring and control methodologies to ensure targets are met on time and to the allocated budget. To lead on and deliver specific projects to support and enhance the work of the Apprenticeship Unit such as the development and implementation of new compliance processes. Continuous Learning To keep up to date with apprenticeship policy, funding rules, inspection and audit methodologies and developments as required. Special Features Willingness to work in the evenings occasionally to deliver programmes scheduled at these times and to meet clients travelling long distances. Willingness to travel occasionally sometimes overnight and to work across campuses. Willingness to travel overseas as appropriate.

4 Miscellaneous You have a legal duty, so far as is reasonably practicable, to ensure that you do not endanger yourself or anyone else by your acts or omissions. In addition, you must cooperate with the University on health and safety matters and must not interfere or misuse anything provided for health, safety and welfare purposes. You are expected to co-operate with the PR process, engaging in the setting of objectives in order to assist in the monitoring of performance and the development of the individual. Such other relevant duties commensurate with the grade of the post as may be assigned by the Manager in agreement with you. Such agreement should not be unreasonably withheld. You may be required to undertake a specific Health & Safety role, commensurate with your grade, to support the University in meeting its statutory Health & Safety obligations. This could include acting as a S Assessor, First Aider, Fire Marshall or epartmental Safety Co-ordinator. The allocation of such roles will be subject to the provision of appropriate training and assessment of competence. You may, with reasonable notice, be required to work at any of the Manchester Metropolitan University sites. 6 4.1 xperience of working in a compliance monitoring or contract management or monitoring environment including: Maintaining, evaluating and monitoring evidence packs eveloping compliance monitoring processes Monitoring compliance and identifying and reporting on compliance gaps and issues Quality assurance methods such as sampling, observations, surveys etc. 4 Relevant xperience 4.2 xperience of using software packages to undertake data analysis to produce reports, presentations and process diagrams (.g.
