Kingdom s Information & Communication Technology (ICT) Service is committed to provide great technology for employees and customers. Our small ICT team support 120 concurrent system users and over 300 mobile users. Our strategy is focused on cloud and mobile first technology and we have been at the forefront of digital to ensure our employees can access data quickly from any location at anytime. As part of our ICT team you will be able to gain broad experience of great technology. We use a lot of mainstream technology such as Microsoft, Apple, Android, Citrix, VMWare and Netapp. We use specialist software to manage our properties and customers and we are committed to continuous improvement to ensure we deliver great solutions. Mobile working is a large part of our business to ensure remote workers can access data from anywhere at anytime. An essential part of our work is ensuring systems are working. We adopt great technology to minimise reactive work which allows us time to help Kingdom improve process and systems. Is it right for me? The role would suit someone who is enthusiastic about technology but also someone who can think outside the box and look at improvements to software and processes to provide business benefit. It can be very challenging and varied work. You need to be interested in technology and embrace change to implement improvements to systems and process. To be successful in ICT, you need to work well under pressure and be a team player. The ability to prioritise your work with your colleagues to meet departmental objectives is also very important. You need an ability to communicate well within the team, with colleagues from other departments and external parties. What qualification will I study for? We would want you to have achieved an ICT qualification that will add value to both Kingdom and your career. We would want you to complete of a minimum of a HNC/HND in Computing by the end of the traineeship. Page 2

4 JOB DESCRIPTION JOB TITLE: ICT Trainee JOB GRADE: Spinal Points 9-14 ACCOUNTABLE TO: Head of ICT or such other senior member of staff who may be appointed. OVERALL AIM OF THE JOB The ICT Trainee will work alongside the existing ICT Service team and other colleagues in Kingdom to gain experience of all aspects of the ICT Service. As a member of the ICT Service, you will provide a great service to employees and board members. You will also be expected to undertake a continual work assessment whilst attending further education to gain your qualifications. JOB PURPOSE To assist the Head of ICT in providing secure, reliable and well-supported Information & Communication Technology (ICT) business systems over multiple sites and to bring to the attention any matters of potential risk to the ICT Manager. MAIN TASKS & ACTIVITIES 1. To receive, assess, prioritise and complete ICT support requests to resolve issues and minimise disruption to the business in accordance with Kingdom s Service Level Agreement. 2. To back up and restore where necessary all network data and fully document all activity. 3. To ensure anti-virus definitions are up to date and network is virus free. To assess the likely impact of any virus alerts and investigate the risk. 4. To monitor server capacity such as disk, processor, memory and system event log auditing. To assess the seriousness of any issues and decide which action to take that will cause minimum disruption to users. 5. To set up all mobile phones, landlines and data links, communicate with external suppliers and maintenance companies to resolve issues and reconcile physical devices with mobile device management systems. 6. To upgrade software and decide when it is appropriate to apply fixes to various systems. 7. Document current business processes and identify areas for improvement that will yield business benefits. 8. Communicate system requirements to staff and external software vendors and explore options available. Page 4

5 9. To set up client devices at both local and remote sites and ensure critical hardware devices have relevant support/cover. 10. To maintain the active directory by creating, managing, maintaining and deleting user accounts, security groups and distribution lists. 11. To source and order hardware/software at the request of the Head of ICT. 12. To maintain the software asset management register and review the procurement, use and license retirement processes. 13. To maintain disaster recovery documentation. 14. To propose new ways of working that would improve the flexibility, security and reliability of ICT systems and suggest changes to ICT policies and procedures. 15. Any other duties which may be required from time to time by the Head of ICT or such other senior staff member who may be appointed. DEMANDS OF THE JOB An element of moving and handling of ICT equipment will be required, for example, monitors, thin clients, printers. You will be expected to have obtained a full driving licence by the end of year 2 of the modern apprenticeship as this is considered an essential element of carrying out this type of job. OTHER FEATURES OF THE JOB This is a 3 year traineeship, terms and conditions will be provided separately. The hours of work are 36 hours per week to be worked in accordance with the needs of the Association. There may be occasions when it is necessary to work evenings / weekends. In particular, there may be a need to regularly attend college outwith normal working hours. It is likely that the duties listed may need to be varied to suit the changing requirements of Kingdom. JOB LOCATION Your operational base will be in the Saltire Centre, Pentland Court, Glenrothes. You will be expected to work at any other base operated by Kingdom to meet the flexibility requirements of the Service. We reserve the right to either temporarily or permanently move an employee to another location. Page 5

6 Hours Worked OUTLINE CONDITIONS OF EMPLOYMENT ICT TRAINEE The hours of work are 36 hours per week, not including lunch breaks (unpaid), normally worked between 9am and 5pm, Monday to Friday but can vary according to the needs of the service and attendance at college/university. Salary The salary scale is 16,454 to 18,960 per annum (spinal points 9-14). Method of Payment Payment of your salary is in equal monthly instalments in arrears, by bank transfer, no later than the last Friday of each month. Special Conditions This is a temporary post for up to 3 years. Location Your operational base is at our Glenrothes Office, Saltire Centre, Pentland Court although you will be required to work and operate at any of Kingdom s offices to meet the needs of the Service. We reserve the right to either temporarily or permanently move an employee to another location. Probationary Period Your first 3 months will be classed as a probationary period. We reserve the right to further extend the probationary period in the event of any concerns regarding your performance or conduct. We reserve the right to end your employment during the probationary period where you fail to reach the satisfactory performance or conduct. Pension We are a member of the Scottish Housing Associations Defined Contribution Pension Scheme. If you choose to become a member, we will make contributions towards your pension in accordance with the current provisions of this scheme. The employee contribution rate is 4% and the employer contribution rate is 8%, however an option to increase employee contributions is available. For employees not in our Defined Contribution Scheme, auto enrolment pension provision is applicable subject to eligibility criteria. 7 Annual Leave The annual leave year is from 1 April to 31 March. Your full annual leave entitlement will be 25 days per annum (pro rata for part-time employees). In addition, 12 general/public holidays are added, 7 of which are designated and the remainder are added as floating days to your annual leave entitlement. There are no enhanced payments made for night working or work on a public holiday other than the two designated public holidays at Christmas and New Year. Where a full year has not been worked, a proportion of the full year s entitlement will be granted based on the number of complete months worked in the year. We would not normally accept references from relatives or friends. We reserve the right to request more than 2 references.
