3 Purpose of the role : The successful completion of any outstanding or scheduled future WFC implementation cycle/s for Waitemata DHB employee clusters moving onto WFC, as planned and assigned by the WFC Project Manager Providing WFC business as usual (BAU) support - primarily education, information, pay period end processing and technical support for existing Waitemata DHB staff utilising WFC Actively participating in the identification, development and implementation of WFC system enhancements and quality assurance activities which will ensure that WFC consistently meets the needs of Waitemata DHB and its WFC users. Key Tasks Implementation / Rollout Programme Activities Successfully execute any outstanding or future WFC implementation cycle(s) Business As Usual (BAU) Support Accountabilities Promotes WFC reputation through provision of a consistently high level of BAU support for Waitemata DHB s WFC users Expected Outcomes Gather the necessary employee data using developed WFC templates Complete data cleansing exercise with employee managers and SSC colleagues to verify accuracy of employee data Set up and populate work place schedule(s) with employee manager/scheduler Plan and provide WFC training for managers, schedulers, time card administrators and employees Provide technical support during the parallel and transition phases of the programme Provide Project Manager with implementation programme (pre-, during and post-) reports Be a recognised WFC subject matter expert in Scheduling/Rostering and Timekeeping activities Provide user-friendly functional support for new and/or existing WFC users Identify users and/or areas where additional system or process education may be necessary to improve outcomes Provide targeted, user friendly education, both 1:1 coaching and formal multi-participant classroom presentations for new and/or existing WFC users Maintain communication with business leaders to identify and implement further system enhancements/improvements for the organisation Manage any other primary BAU portfolio responsibilities, as assigned by Project Manager Waitemata District Health Board -JOB DESCRIPTION - Page 3

4 Quality Assurance Accountabilities Proactively engages in quality assurance activities that support WFC utilisation and align to current and future strategic business requirements within the organisation ; Statutory & Treaty of Waitangi obligations To recognise individual responsibility for workplace Health & Safety under the Health & Safety Act 1992 & Amendments 2002 Monitor WFC usage and identify opportunities for process and/or user improvement Constantly evaluate evolving business needs and identify WFCrelated solutions or product enhancements Participate in the testing and implementation of application upgrades or Service Packs with minimal impact on operational business units Demonstrate sound understanding of changes contained in application upgrades, and their impact on existing business practices Proactively participate in system failure escalation processes as and when required to ensure payroll processes proceed Ensures the professional and political integrity of WDHB by carrying out all functions in compliance of the Treaty of Waitangi and by demonstrating a serious commitment to keeping the treaty alive. 5 PERSON SPECIFICATION POSITION TITLE: Qualification Minimum NCEA Level 3 Preferred Tertiary qualification in adult education and/or Human Resources. Experience Skills/Knowledge/Behaviour Experience in adult education delivery, and/or a background in Workforce Management (Scheduling, Rostering and Time & Attendance), Human Resources or Payroll. Solid understanding of the interpretation and application of NZ Employee Agreements / Contracts. Demonstrated computer application competencies, ideally in the WFM/HRMIS/Payroll or associated environment. Proficiency in MS Office suite of applications, notably MS Excel and MS Word Consistent Demonstration of Organisational Values. Energy, Initiative and Enthusiasm A positive and open personality; a willingness to contribute to the ongoing achievement of the WFC / RiTA Team s key performance indicators; and the achievement of user confidence and compliance with organisational payroll requirements. Healthcare sector project experience. Change management experience. Development and implementation of adult training programmes/courses experience. Experience providing IT application support.
