1 JOB DESCRIPTION Job Title Department Division Reports to Salary Range Hours Term Publishing and Licensing Officer Publishing and Brand Licensing Business and Governance Publishing and Licensing Manager 24,470-27,690 a year Full time 1 year fixed term contract The Department of Publishing and Brand Licensing is responsible for developing and managing commercial opportunities and projects based on the Imperial War Museums (IWM) collections, exhibitions and anniversaries. It also provides proof-checking and editorial support for IWM. The main focus of the work of the Publishing and Licensing Officer is supporting IWM s publishing and brand licensing programmes through project management, client liaison and production as well as handling a number of administrative duties for the department. Publishing Co-ordinating in-association projects by liaising with publishers, authors, licensees and IWM departments to ensure that production moves forward on schedule, that material is checked for historical accuracy and that the use of the IWM name and logo are appropriate and accurate Working closely with the Publishing Project Manager on the production of in-house publications Monitoring stock levels of IWM publications and organising reprints, building in the necessary time for design, print and approvals Placing orders for material from the collections, organising new photography and clearing copyrights Keeping abreast of trends in the publishing and licensing industries and building up a good understanding of which publishers and licensees specialise in different areas Liaising with IWM s Literary Agent as necessary Ensuring that products are given appropriate visibility in IWM publicity and marketing tools Research & Product Development Researching material in the collections or ideas based on IWM's terms of reference suitable for translation into commercial books or products by IWM or third parties. Producing publishing or product proposals such as sample page spreads and synopses Costing product or book proposals to establish their commercial viability Publishing and Licensing Officer August 2013

2 Regularly liaising with the IWM Retail team to discuss the publishing and licensing programme Editing, proof-checking and copy writing Editing and proof-checking a wide range of material including exhibition text and captions Drafting text as necessary for internal and external purposes including books, guidebooks, publishing print, sales and marketing material and copy for the website and intranet Editing printed and electronically-produced material so that it is literate and accurate and conforms to IWM house style Ensuring that information relating to the department on the website and intranet is kept up-todate Print-buying Working closely with the Print Production Co-ordinator to produce technical specifications for print and obtaining estimates to ensure best value for money, occasionally liaising directly with printers Drawing up design and print schedules Client liaison and briefing designers and printers Checking proofs for accuracy and quality Finance and administration Raising purchase orders and invoices, administering royalties and sales income, generating reports and keeping accurate records Tracking sales of IWM books, undertaking analysis of this and producing reports and spreadsheets as required Answering queries relating to IWM s publishing programme and advising members of the public over publishing enquiries Organising IWM s representation at appropriate trade fairs Ensuring publishing logs such as authors and experts are kept up to date Co-ordinating meetings and taking minutes Researching mailing lists and sending mailshots General office administration Whilst the Publishing and Licensing Officer has a range of specific responsibilities, all staff are required to provide back-up for other aspects of the Division s work and to undertake specific projects as necessary to meet IWM s programme. Occasional evening and weekend work is expected. Health and Safety Data Security Training standard required E-Learning IOSH Working Safely. Course duration 2 Weeks for completion. Work closely with Management in providing a professional, effective and efficient service. Have an awareness of IWM Health and Safety procedures and work in such a manner to ensure their own safety and the safety of others including members of the public and report any hazards, dangerous occurrences or dangerous equipment they see, and any accident they are involved in or that they witness. Staff must be aware of and abide by IWM s information security, data protection and health and safety policies regarding the handling of all sensitive and personal data This job information cannot be all encompassing. 6 Terms and Conditions Your normal hours of work will be 41 gross including lunch breaks. This would normally be Monday to Thursday 09:00-17:15 and Friday 09:00-17:00, unless otherwise agreed with your line manager. There is a requirement on occasions to work unsocial hours or at weekends for which leave in lieu will be granted. The successful candidate will be on probation for 6 months. The annual leave allowance is 25 days per annum plus public holidays, rising to 30 days after five year s service. IWM has introduced a total ban on smoking in all its buildings. In the first 13 months of service you are only eligible to Statutory Sick Pay. Salary The salary range for the post is 24,470 to 27,690 a year. Starting salary is normally at the minimum of the range. Salary increases are in line with the IWM s Performance Pay Scheme, which is subject to government pay policy.
