Working closely with the Senior Media Advisor, this role will assist in the management of media relations for the Otago Regional Council, focusing strongly on proactively promoting the organisations work and successfully managing issues as and when they arise. Additionally, the Media Officer will strive to build and maintain robust relationships with key journalists at a local and regional level. The Media Officer will provide consistent key messaging via media responses and writing media releases, ensuring all of our communication is both tailored and engaging to its target audience.

2 Results Area Activities Expected Outcome Media Relations Strategic media monitoring and reporting support Being the first port of call for all incoming media enquiries, ensuring deadlines are adhered to and that media and journalists are updated on the status of their query. Tracking incoming and outgoing media queries and providing updates/reporting on media monitoring Supporting the preparation and implementation of media guidelines / plans and strategies. Assist in the implementation of mutually beneficial media guidelines and managing expectations. Relationship building with journalists and key outlets across the region Liaise with Customer Services to accommodate any media queries that come into the organisation Work with the Channels Team to implement and plan any press, content, digital or social media posts required as part of media communication plans. Produce and maintain media tools and resources to assist with engagement across ORC and the community. Offer support to staff as we undergo media training ensuring best Public Relations practices are adhered to. Fostering a positive and dynamic relationship with media monitoring software companies, reviewing keywords, organising specific monitoring on key issues, The value-add of Otago Regional Council is effectively communicated to the target audience. Media / Journalists expectations are met consistently while also contributing to the organisation s corporate standards and key messages. Media communications materials are prepared: - with clear messages, aimed at the target audience - in an easy to understand and attractive format and style - on time - to corporate standards. Media Monitoring and reporting is focused, annual reviewed and informative. ORC and our stakeholders have understanding of and access to the range of industry advice and support relevant to the goals of ORC. Contribution to the broader Stakeholder Engagement team culture that being one of excellence, innovation, creativity and a fun and safe environment. 3 Relationship Building Emergency Management Public Information Management Other Duties Professional and Career Development assisting in crisis management and public relations strategies, undertaking risk analysis and brand management in the media space Regular communication and engagement with internal and external stakeholders. Support the Strategic Communications and Engagement team to ensure an appropriate response to Civil Defence Emergency Management events. Attend training and drill exercises for such events as required. Contribute to the flexibility, agility and adaptability of your team and the wider Organisation, by undertaking duties from time to time that may be in addition to those outlined above but which fall within your capabilities and experience. Act as a role model for the Otago Regional Council in all that you do. Identify, in conjunction with your manager, areas for both personal and professional development, in line with your career development plan. Ensuring community awareness through participation in key council initiatives. Updating Social Media (Twitter) channel with council updates Prescribed and consistent approaches to engagement planning, advice and delivery. Strong regional relationships built upon respect and excellence. Prioritised customer service and a positive organisational reputation. Contribute to and support the smooth running of Emergency Processes. You respond positively to requests for assistance in own and other areas, demonstrating adaptability and willingness. You produce work that complies with ORC processes and reflects best practice. Where you are unsure, questions are asked to ensure policy and best practice is maintained. Maintain the reputation of the ORC in all that we do. Training and development goals are identified/agreed with your manager. Performance objectives reviewed annually with your manager. You actively seek feedback and accept constructive criticism. A minimum of two performance related meetings [outside of the formal review process] annually.

Education and Qualifications (or equivalent level of learning) Essential Bachelor s Degree in communications, Public Relations and/or Journalism Desirable Post-Graduate qualification in journalism, Public Relations or similar

5 Experience Extensive experience working with media and managing issues Experience in the preparation, production and display of public relations material Exemplary written skills, with experience in writing a range of editorial material Proven and sound interpersonal skills Superior organisational and time management skills Excellent relationship building skills High attention to detail and follow up Flexible, adaptable and enjoys challenge and change Knowledge and Skills Strong organisational skills and processes. Ability to work in a complex work environment, deal with ambiguity and across functions. Personal Qualities Experience working within Local Government or the Public Sector Established network of media, government and industry contacts (desirable) Knowledge of regional media outlets/journalists Can build effective relationships. Self-managed and can take the initiative. Excellent verbal and written skills Attention to detail Someone who can remain calm and supportive in pressured situations From time to time it may be necessary to consider changes to the position description in response to the changing nature of our work environment including technological requirements or statutory changes.
