3 FUNDRAISING OFFICER - JOB DESCRIPTION Hatch Polka s co-production with The Royal Opera The Borrowers new production for ages 5-11, adaptation by Charles Way POST: REPORTING TO: TERMS: SALARY: FUNDRAISING OFFICER Capital Campaign Director Full-time, permanent post 20,500-23,500 per annum (subject to experience) Polka Theatre is a leading UK theatre for children aged 0-12 years. Thanks to early support from the Arts Council and other funders, Polka is on track to raise the necessary funds for the first capital redevelopment in our 40-year history. This is an exciting time of transition and renewal for Polka. We are seeking a highly motivated individual, who is looking to develop their career in fundraising and gain broad experience across several fundraising disciplines. The role supports the Capital Campaign Director and Development Team across primarily capital, but also revenue fundraising and offers the opportunity to own specific aspects of Polka s fundraising activity. 4 FUNDRAISING OFFICER MAIN RESPONSIBILITIES Assist the Capital Campaign Director (p/t) with the implementation and management of Polka s Capital Campaign and the Head of Development (f/t) and Senior Fundraising Manager (p/t) with the delivery of revenue fundraising strategies Help develop, secure, monitor and manage donor relationships, particularly business and individual supporters Assist with the planning and delivery of fundraising and donor cultivation events, including liaison with volunteers PRINCIPLE TASKS Prospecting, supporter cultivation and management Manage the day-to-day administration of the Capital Campaign: maintaining prospect and donor records on Polka s Spektrix database, taking minutes, processing daily post and to be the first point of contact for telephone enquiries, including from Polka Members Assist with researching prospects and monitoring prospect lists Prepare and maintain effective and regular communications with Capital Campaign prospects, donors and Polka Members and offer the highest levels of customer service Support Polka s Capital Campaign Champions with prospect cultivation and donor management Help to create compelling case for support proposals and collate funder reporting Steward Polka s funders as required ensuring terms & conditions and deadlines are met and that colleagues support stewardship requirements Monitor and help maintain the effectiveness and profile of the public capital fundraising campaign Ensure the security of personal prospect and donor data and managed in line with the latest GDPR guidance and Polka s Privacy Policy. Events Working with the Capital Campaign Director, Head of Development, Capital Gala event agency and Polka s volunteer event organisers ensure the effective planning and implementation of cultivation and fundraising events including: o Venue identification o Event costing o Sourcing prizes o Preparation of guest lists and briefing notes o Budget management and donor acknowledgement and follow-up General Have a comprehensive understanding of Polka s redevelopment plans and how they will benefit our audiences Attend Polka productions and Creative Learning activities and be aware of the work of the Theatre s other departments Take an active part in communicating and co-operating with other staff and departments Follow Polka s guidelines, procedures and policies in relation to financial management, personnel records and our Equal Opportunities Policy Be aware of, and comply with, the rules and legislation pertaining to Health and Safety at work Attendworking groups, committees and external networking meetings as might from time to time be required for the fulfilment of departmental and/or company aims. Other Activities, Responsibilities The post-holder will occasionally be required to work on events outside of normal working hours and will be required to undertake other activities (commensurate with the overall purpose and status of the post) as requested by the Capital Campaign Director to deliver Polka s fundraising strategies.

5 PERSON SPECIFCATION Essential At least one year of fundraising experience (ideally in the cultural sector) Well organised, with excellent administration, IT & numeracy skills Keen attention to detail Strong research skills Strong working knowledge of Microsoft Office (Word, Excel, PowerPoint and Outlook) Excellent writing, verbal communication and presentation skills Team player with a positive, enthusiastic approach and passion for Polka s work Demonstrable skills in engaging with a range of stakeholders at a variety of levels Experience of using CRM databases eg Spektrix, Raiser s Edge, Access Desirable Two years or more working in a fundraising position Direct experience of fundraising or development work for a theatre or an arts project Previous experience in the administration of a capital or large fundraising project Experience of working with volunteers Salary: Contract: Hours: Holiday: 20,500 to 23,500 per annum (depending on experience) This is a permanent, full-time position, subject to a three-month probationary period. Starting June 2018 (date to be agreed with the successful candidate). A normal working week for this position will be 40 hours from Monday and Friday 9am to 5pm. 28 days per annum including statutory public holidays On completion of the three-month probationary period, the post holder is entitled to take holiday accrued on a pro rata basis. Notice Period: One month by either party during the probationary period and two months thereafter for both employee and employer.
