1 UN VOLUNTEER DESCRIPTION OF ASSIGNMENT AFGR Reports Assistant The United Nations Volunteers (UNV) programme is the UN organization that promotes volunteerism to support peace and development worldwide. Volunteerism can transform the pace and nature of development and it benefits both society at large and the individual volunteer. UNV contributes to peace and development by advocating for volunteerism globally, encouraging partners to integrate volunteerism into development programming, and mobilizing volunteers.in most cultures volunteerism is deeply embedded in long-established, ancient traditions of sharing and support within the communities. In this context, UN Volunteers take part in various forms of volunteerism and play a role in development and peace together with co-workers, host agencies and local communities.in all assignments, UN Volunteers promote volunteerism through their action and conduct. Engaging in volunteer activity can effectively and positively enrich their understanding of local and social realities, as well as create a bridge between themselves and the people in their host community. This will make the time they spend as UN Volunteers even more rewarding and productive. Health: Exposure exists to diseases. All medical formalities specified in the Offer or Travel Advisory should be completed before traveling. Vaccinations for Hepatitis A & B, Typhoid, Tetanus/Diphtheria, Polio and Meningitis are recommended. Vaccination Card (yellow card) must be brought. Malaria prophylaxis is highly recommended. 2 Assignment Details Assignment Title Reports Assistant Organizational Context & Project Description In Afghanistan, OCHA provides humanitarian assistance within a complex environment where military, political and security objectives often pose challenges to the implementation of humanitarian principles, the ability of responders to reach people in need, and the safety and security of aid workers. OCHA in Afghanistan supports the most vulnerable by co-ordinating the delivery of humanitarian aid. This also involves providing accurate and insightful analysis and data, along with clear communications to partners, stakeholders and audiences. Sustainable Development Goals 17. Partnerships For the Goals Task description The Reports Assistant will work under the close guidance and supervision of the International Public Information Officer within the Information Management Unit (IMU) at OCHA Afghanistan. The main focus of his/her role will be taking responsibility for the reporting structures and outputs. He/She will regularly engage with OCHA Afghanistan colleagues at the country and sub-offices, as well as with other UN agencies and partners, as necessary. It s important that the reports assistant is analytical and pays close attention to detail, with good English writing/drafting skills, and able to think creatively. Under the direct supervision of the International Public Information Officer the national UN Volunteer will undertake the following tasks: Supports the public information officer in maintaining efficient standardized reporting mechanisms, ensuring effective and timely reporting to the OCHA country office and all applicable stakeholders; Facilitates data and information compilations in close liaison with OCHA Afghanistan colleagues in the field; Verifies the accuracy of facts, figures, references, etc. and ensures that all reports and materials conform with OCHA policy and practices; Timely and effective preparation and distribution of regular reports on the humanitarian situation to relevant parties; Draft and edit high-quality and analytical daily, weekly, monthly and other reports for OCHA Afghanistan; Ensures that all externally directed reports are produced on time and in conformity with expectations; Ensures flow of information and analysis of developments in the country/region, including tracking trends and sharing reports with management and key partners; 9 Jan 2019 Page 2 of 6

3 Develops power-point presentations for various meetings, workshops, conferences, etc upon request; Continuously captures and compiles lessons learnt for reporting activities; Update and maintain contact information and mailing lists; Provide detailed and accurate minutes of meetings as required; Perform any other duties as may be assigned. Furthermore, UN Volunteers are required to:- Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day)- Be acquainted with and build on traditional and/or local forms of volunteerism in the host country- Provide annual and end of assignment reports on UN Volunteer actions, results and opportunities using UNV s Volunteer Reporting Application- Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.- Assist with the UNV Buddy Programme for newly-arrived UN Volunteers- Promote or advise local groups in the use of online volunteering, or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible. 4 volunteerism for peace and development dur-ing the assignment, such as reporting on the number of volunteers mobilized, activities participated in and capacities developed Qualifications/Requirements Required Degree Level Master degree or equivalent Education - Additional Comments Master's degree (or equivalent) in social sciences or other field related to the post description. Bachelor degree with additional two years of relevant experience can be accepted in lieu of Master s degree. Required experience Experience Remark 24 months A minimum of two years of relevant professional experience at the national or international level in reporting, or other relevant field. Language Skills English (Mandatory), Level - Fluent AND - Pashto (Mandatory), Level - Working Knowledge AND - Dari (Mandatory), Level - Working Knowledge Area of Expertise Public information and reporting Mandatory Other communications related experience Mandatory Web and graphic design Mandatory Area of Expertise Requirement Good drafting skills and high competence in data collection, compilation, analysis and reporting is required. Experience in the use of computers and office software packages, good knowledge and experience in handling web-based management systems. Experience in the use of graphic and layout software (Adobe Illustrator, InDesign, etc) is an advantage. Knowledge of the UN system and humanitarian work is an advantage. For this position fluency in English (both oral and written) is required. Pashto, Dari and other Afghan languages are highly desirable. However, there is no expectation of renewal of the assignment. Travel to duty station (if applicable) and a Settling-In-Grant will be provided in the event the duty station is not within commuting distance from the place of recruitment. The applicable Volunteer Living Allowance is provided monthly to cover housing, utilities and normal cost of living expenses. Life, health and permanent disability insurance are included (health insurance for up to 3 dependents), as well as final repatriation (if applicable) and resettlement allowance for satisfactory service. Furthermore, in non-family duty stations that belong to hardship categories D or E, as classified by the ICSC, a Well-Being Differential (WBD) on a monthly basis will be provided. Host entity support to the UN Volunteer includes, but is not limited to: - Introductory briefings about the organisation and office-related context including security, emergency procedures, good cultural practice and orientation to the local environment; 9 Jan 2019 Page 5 of 6

6 - Support with arrival administration including setting-up of bank accounts, residence permit applications and completion of other official processes as required by the host government or host entity; - Structured guidance, mentoring and coaching by a supervisor including a clear workplan and performance appraisal; - Access to office space, equipment, IT support and any other systems and tools required to complete the objectives of the assignment including a host entity address; - Access to shared host entity corporate knowledge, training and learning; - Inclusion of the volunteer in emergency procedures such as evacuations; - Leave management; - DSA for official travel, when applicable; - All changes in the Description of Assignment occurring between recruitment and arrival or during the assignment need to be formalized with the United Nations Volunteer Programme.
