5 CAT Enterprise Reports Topic 1: Reports Overview This manual covers the different types of reports you can generate for both the Participant and Management roles. About CAT Reports CAT Enterprise is able to produce a variety of reports by data mining the information that people have entered into the system. Some reports are only meant to be viewed and printed; other reports can be exported into a variety of electronic formats. How you see the reports and the reports you have access to will depend on your role and permissions, as explained below. Participants If your organization has decided to give you access to reports, you will see the Reports link under CAT in the menu. By default, there are two reports that Participants have access to: the Assessment Status report and the Development Activity report. You may have access to other reports as well this will be decided by your organization. As a Participant, you will generate reports only on yourself. These reports can be used for your own personal records or for discussion with your Supervisor. Supervisors By default, Supervisors have access to the Activity/Profile, Assessment Status, Competency Inventory, Development Activity, Gap Analysis, History/Activity, and Qualified Persons report, but the exact reports you have access to is decided by your organization. As a Supervisor, you will generate reports on the people and groups you manage. These reports can be used for revision, discussion, or archive purposes. Administrators By default, Administrators have access to the Activity Profile, Assessment Status, Competency Inventory, History/Activity, and Qualified Persons report, but the exact reports you have access to is decided by your organization. Your reports can include any number of the groups or people you manage, including Participants and Management. Administrators can also create Shared Report Templates. These templates are shared with entire groups or all the people who have been assigned a specific 1

6 Topic 1: Reports Overview Position. This feature is useful for sharing a standard template, so that everyone will generate the same report with the same criteria. System Owners As a System Owner, you have access to all the CAT reports. It is also your responsibility to decide what roles have access to which reports. System Owners can also create Shared Report Templates, as explained above. Accessing Reports To access reports, click on the Reports link in the main menu (Figure 1). If you do not see the Reports link, then you do not have permission to access reports. Figure 1 The Reports tree appears in the left frame, listing the types of reports you have access to. By using this tree, you can create report templates, then generate and manage your reports. The example in Figure 2 shows four reports in the Reports tree. This is the number of reports this person has access to. Figure 2 Creating a Report Template To generate a report, you first need to create a report template. The template will save the criteria and options selected for future use. To create a report template (Figure 3): 1. Right-click on a report name in the Reports tree. 2. Click on New Template Report. 2

Figure 4 Your main screen will also change and display three navigation tabs: Generated Reports, Criteria, and History. The Criteria tab will be displayed by default this is where you will manage the information included in your report. The Criteria tab is made up of different parts. The main header indicates the name of the template, along with a help icon. The sub-header indicates the selection page you are on and a list of icons. Many of these icons will be the same for each type of report, but there are some icons that will differ, depending on what type of report you are working with. These icons will be active, once all the required information on all the criteria pages has been completed. Below the sub-header is where you will make your criteria selections. To the right is the Report On section that displays the criteria you have chosen on each selection page. You move through the criteria pages sequentially with Next and Back buttons, located at the bottom-right of every criteria page (Figure 5). 3

8 Topic 1: Reports Overview Figure 5 Note: If you missed any required criteria, you will not be taken to the next page and a message in red text will appear in the report header, indicating what is missing. After completing all the required criteria, the Next button will be inactive, and the Save icon will be active. Click the Save icon to complete your report template. Now that a template has been created, you can edit it by navigating freely though the report icons. You can also generate reports and perform a number of other options. Generating and Managing Reports Once you have saved a report template, you can generate a report, as well as manage your templates and reports. 4

9 CAT Enterprise Reports To generate a report: 1. Right click a report template in the Reports tree. 2. Click on Generate Report. Note: If you haven t completed all the template criteria and saved your template, the Generate Report option will not be active. Your report will now appear in the Reports tree (Figure 6). How long the report will take to generate depends on the size of the report data. Figure 6 One of three icons (as shown below) will be displayed beside your report indicating that your report is generated, still in the process of generating, or could not be generated. If your report has an error, contact your Supervisor or Administrator for help. Generated Report Report in Progress Report Error Generated Report Notification You can continue working in CAT, while generating multiple reports at once. When your reports are finished generating, a blue hyperlink appears beside the menu to the right of the Help button, as shown in Figure 7. The link indicates the number of generated reports, and this number will continue to update until there are no more pending reports. This link does not disappear until it is clicked on. Figure 7 5

10 Topic 1: Reports Overview When you click on the link, you will be redirected to the reports section, and your reports tree will indicate your generated reports in bold lettering (Figure 8). If there are still more reports pending, the link will appear again indicating you have generated reports. Figure 8 You can also view your generated reports by clicking on the Generated Reports tab, as explained below. Generated Reports This page will display all the generated/scheduled reports for the selected template (Figure 9). These are the same reports that are displayed in the Reports tree. From this page, you can select reports and either make copies or delete them by using the Generate Report and Delete icons. Clicking on a generated report itself will allow you to print and/or export the report. Figure 9 6

11 CAT Enterprise Reports Right-clicking on a report in the Reports tree will display a popup menu with two options, View and Delete, as shown in Figure 10. Figure 10 View Allows you to view reports, then export them into multiple electronic formats and print them out. Delete Allows you to delete a report. A confirmation dialog will note that deletions cannot be undone. Managing Reports Right-clicking on a template name in your Reports tree will display a number of options (Figure 11). The options displayed are dependent on your role. Only Administrators and System Owners will see the Share Template to Group(s) and Share Template to Position(s) options. 12 Topic 1: Reports Overview Generate Report Allows you to generate a report from a report template that you have created. Share Template to Group(s) Allows Administrators and System Owners to make a report template and share it with entire groups. Share Template to Position(s) Allows Administrators and System Owners to create a report template and share it with all the people assigned to a specific Position. Copy Makes an exact copy of an existing template. The default name of your copied template will be Copy of New Report Template [x]. This option is useful for making multiple templates with similar criteria or modifying a template that has been shared with you. Rename Allows you to change the report name. Delete Deletes your report template; a confirmation dialog will appear. History Whenever you edit a report, it is recorded in the History page. This page will display the date, editor, type of edit, and from and to. For example, Figure 12 shows that the System Owner changed the name of an Assessment Status report from New Report Template 1 to Template Figure 12 Sharing Reports Administrators and System Owners have the ability to create report templates then share them with people who belong to a group or who have been assigned a specific Position. 8

13 CAT Enterprise Reports To create a Shared Report, right-click on the template you want to share. From the popup menu, choose either Share Template to Group(s) or Share Template to Position(s) (Figure 13). From the popup window, you can then choose the groups or Positions you want to share this template with. Figure 13 Figure 14 is an example of the group popup box that lists all the available groups. Click in the checkboxes beside the groups you want to share the template with, and then click the Save or Save & Close button. Figure 14 9

Click the checkboxes beside the Positions you want to share the template with, and then click the Save or Save & Close button to save these changes. Figure 15 Viewing, Exporting, and Printing Reports Once you have generated a report, you can view it, export it into different electronic formats (depending on the type of report), and/or print it out for your records. The Competency Inventory, Gap Analysis, and Activity Profile reports are displayed in your browser window and are meant for viewing and printing only. The Assessment Status, Development Plan, Export Development Data, Gap Analysis, History/Activity, and Qualified Persons reports, however, are displayed in the Crystal Reports Viewer within your browser window. These reports are meant to be viewed, exported into different electronic formats, and printed out for your records. The Activity Profile Excel, Gap Analysis Excel, and Competency Object reports are displayed in Excel and are meant to be used by people in your company who are proficient in Excel and with Pivot Charts. 10

15 CAT Enterprise Reports Viewing Your Report in the Crystal Reports Viewer To view your report, right-click on the report you want to view from your Reports tree. You will now see your report in a new browser window this is the Crystal Report Viewer (Figure 16). Figure 16 Main Window This is where your report is viewed. It s displayed as it will look when it is exported or printed out. Left Frame Displays the data architecture in a report. You can expand the tree and navigate through different pages of a report. Toolbar Displays a number of icons and features that allows you to export, print, or view your report (Figure 17). 16 Topic 1: Reports Overview Print this Report Show/Hide Group Tree Expands and collapses your left window frame. Go to First Page Go to Previous Page Go to page/total number of pages Enter a page number into this field and press Enter on your keyboard. This will automatically take you to the desired page. Go to Next page Go to last page Drill up Allows you to view detailed sections of the report that would be otherwise hidden. Zoom Zooms in and out of a report by clicking a zoom percentage from the dropdown menu or by typing in a percentage number in the zoom box. Search for text Allows you to search for words or phrases within a report. Exporting Your Report (Figure 18) To export your report: 1. Click on the Export this Report icon. An Export popup box will appear. 2. From the Export popup box, choose which format you would like to export your report in. The options are Crystal Reports (the current format you are viewing), PDF, Excel, Word, RTF, and XML these formats may change as the software is updated. 3. Choose to export All the pages of your report or a range of pages. Some of the formats will not allow you to choose a range of pages. 4. Click on the Export button. 12

17 CAT Enterprise Reports Figure 18 Click the x on the popup box at any time to cancel the export window and return to your report. The time it takes to export will depend on how large the report is. Note: It is your responsibility to save this file for your records. Printing Your Report To print a report: 1. Click on the Print this report icon. 2. Follow your operating system s instructions for printing out documents. Viewing Excel Only Reports The Activity Profile Excel, Gap Analysis Excel, and Competency Object reports can only be viewed in Excel. After one of these reports is generated and you attempt to view the report, you will be prompted to open or save the report. You must click Save and then open the file from your computer this ensures that the data will be displayed properly; and you can avoid further security prompts to enable editing and enable content. These reports are best viewed in Microsoft Office

18 Topic 1: Reports Overview Viewing Reports with Hidden Map Names If your System Owner has the Position Map Display setting enabled, the Competency Inventory, Gap Analysis, and Qualified Persons report output will be affected. The Map names will not be shown. Report Icons Report Header Icons The Criteria sub-header under the Reports tab displays a mix of the icons below not all are shown with each report. And for some of these icons to function, you first need to create a report template. 19 CAT Enterprise Reports Report Criteria All reports have their own set of criteria, but each report will include Properties, People, and Options. Many reports also have a Position Selection page. Some reports have additional pages, and these are explained under that specific report heading in Topic 2. Properties Each report template criteria begins with the Properties Selection page. This page is used to change the name, change the owner, and set scheduling for your report template. Name Allows you to rename your report template. The default name is New Report Template [x]. This name can only be edited by the report s creator or owner. Creator Displays the creator s name of the report this cannot be changed. Owner Displays the owner s name, which is the same as the creator s by default. Scheduling Scheduling is turned off by default. Check the Scheduling Report box to activate it. This option is useful for generating reports at recurring intervals. Notification Allows you to receive an notification, when a scheduled report has been generated. If there is no address for the owner, that checkbox will be grayed out, and you will have to add an address. Check off the the following recipient(s) tab and type in the last name, first name, employee number, or user ID of the person you are searching for and click on the Search icon. You can also choose how you would like the report to be ed: as a hyperlink or PDF. People This page identifies who the report will include. Participants can report only on themselves, but it is the role of Supervisors, Administrators, and System Owners to report on the people they manage. Multiple groups and/or people can be included in the report. Figure 19 is an example of the Participant s view of the People criteria page. As you can see, the Include Self option is grayed out and chosen by default. 15

As you can see, the groups this person manages are listed, and the Include Self option is available. You can choose entire groups or expand the groups and select specific people. 21 CAT Enterprise Reports Position The page allows you to filter the report by selecting particular Positions. If you select a Position that some people are not assigned, those people will not be included in the report. There are several options to select the type of Positions to report on: Report on Assigned Position This will automatically report on the selected people s assigned positions. Report on people with the following Positions(s) set as: This allows you to report against specific Positions. When you choose any of the three radio buttons, a tree appears, and you can choose which Positions to report on (Figure 21). Assigned Position - The Assigned Positions available for the selected people appear. Growth Position - The Growth Positions available for the selected people appear. Assigned or Growth Position - Both the Assigned and Growth Positions for the selected people appear. Figure 21 17

22 Topic 1: Reports Overview Note: If the System Owner has decided to hide Map names, then you will not see the Map names in the Position Selection screen. Instead, you will see the names of the Skill Groups. Options The criteria for these pages will differ for each report type. Refer to the following topic, Types of Reports for help with those particular options. Save When first creating a report template, the Save icon will be grayed out and will be only clickable once you have completed all the criteria for the report. However, when editing a report template, you can click Save at any time to save the changes made to any of the criteria pages. 18

25 CAT Enterprise Reports Topic 2: Types of Reports Activity Profile Report The Activity Profile Report identifies which Activities are the most beneficial to a person s development based on assessments that have been completed. This report is viewed in your browser window and can be printed. A limit can be set on the number of people you can report on this is configured as part of the site install. This limit is due to how much HTML Internet Explorer can render due to this report s graphical nature. A sample of this report is shown below (Figure 22). Figure 22 17

26 Topic 2: Types of Reports To complete the Activity Profile report template, there are four criteria pages to complete. If you need help with the Properties, Position, or People pages, refer to Report Criteria in Topic 1. The Options page, however, is unique to this report. Options You may include as many of these options as you like by clicking on the checkboxes beside each item in the list (Figure 23). You must select at least one option, before you can save the template. Figure 23 Once you have completed all the necessary criteria for the Activity Profile report template, click on the Save icon. Your template is now complete, and you can navigate freely between the criteria screens with the Activity Profile icons (Figure 24). Figure 24 18

27 CAT Enterprise Reports Activity Profile Excel Report The Activity Profile Excel report allows generation of the same type of data as the Activity Profile report, except with greater flexibility and data analysis (Figure 25). Whereas the Activity Profile report s data is static, the Excel version is customizable. The report is opened in an Excel workbook and is displayed in a Pivot Chart that allows you to manipulate the chart to your preference. Report data can be selected or deselected to be shown in the report, and the look and feel of the charts can be easily customized. This chart is meant to be used by a person who is proficient in Microsoft Excel and Pivot Charts. This chart can only be viewed in Microsoft Excel and is best viewed in Office Figure 25 To complete the Activity Profile Excel report template, there are four criteria pages to complete. If you need help with the Properties, Position, or People pages, refer to Report Criteria in Topic 1. The Options page, however, is unique to this report. Options The options page allows you to select up to 10 Person Profile Categories by clicking on the checkboxes beside the names (Figure 26). 19

Your template is now complete, and you can navigate freely between the criteria screens with the Activity Profile Excel icons (Figure 27). Figure 27 Note: After you generate your report and attempt to view it, you will be prompted with a dialog box (Figure 28). Click Save. This will allows you to save then file to your computer. You can then open it for viewing and editing. Figure 28 20

29 CAT Enterprise Reports Assessment Status Report The Assessment Status Report identifies, within selected Positions, how much and how highly Participants have assessed themselves and likewise for the Supervisor s cross-assessments; furthermore, it reports on data down to the Skill Level. Participants running this report will only see the data that pertains to their assigned Position. The values in this report include % Developed Participant, % Assessed Participant, Last Assessed Participant (date), %Developed Supervisor, % Assessed Supervisor, Last Assessed Supervisor, System Average %. The summaries of these values are organized by Position, Competency Map, Skill Group, and Skill. This report is viewed in an Excel format and the data is displayed in PivotTables, which makes this report easy to modify by adding and removing information and even changing the aesthetics of the report. The customization of this report is intended for people who are proficient in Excel PivotTables. A slightly customized example of this report, displaying the Position values, is shown below (Figure 29). Figure 29 To complete the Assessment Status report template, there are four criteria pages. If you need help with the Properties, Position, or People pages, refer to Report Criteria in Topic 1. The Options page, however, is unique to this report. Options The Assessment Status report Options page has just one option that you can enable and disable by clicking on its checkbox (Figure 30). 21

Your template is now complete, and you can navigate freely between the criteria screens with the Assessment Status report icons (Figure 31). Figure 31 Competency Inventory The Competency Inventory report allows you to view the Competency Inventory of individual people or groups of people. This report, which looks similar to the Supervisor view of the Competency Inventory, is not available to Participants, since they can only view themselves and can see this information from their own Competency Inventory. This report is viewed in your browser window and can be printed. A limit can be set on the number of people you can report on this is configured as part of the site install. This limit is due to how much HTML Internet Explorer can render due to this report s graphical nature. A sample of this report is shown below (Figure 32). 22

33 CAT Enterprise Reports Competency Object Report The Competency Object report allows Administrators, Subject Matter Experts, and Reviewers to view the relationship between Skill Descriptions and Development Activities in an Excel format. This report is beneficial for looking at the interrelationships between a large number of objects; furthermore, you can verify that the relationships between your Skill Descriptions and Development Activities are linked correctly. After this report is generated, it can be viewed in an Excel format (Figure 35). Figure 35 To complete the Competency Object report there are three criteria pages to complete: Properties, Competency Object Selection, and Options. If you need help with the Properties page, refer to Report Criteria in Topic 1. The Competency Object Selection and Options pages, however, are unique to this report. Competency Object Selection This page allows selection of either Skill Descriptions (and view the associated Development Activities) or Development Activities (and view the associated Skill Descriptions). When you click the Skill Description Selection radio button, you will see the list of available Competency Maps (Figure 36) arranged within the Competency Map Classifier and Sub Classifier structure. You can then expand the tree to select any of the Maps, Skill Groups, Skills, and Skill Descriptions to add to your report. When you click on a higher-level node, all its child nodes are added to the report. For example, selecting the Basin Analysis Skill Group automatically includes all of its Skills and Skill Descriptions. These same rules apply when using the Development Activity Selection. 25

34 Topic 2: Types of Reports Figure 36 Options The Options page allows you to identify the type of data to include in your report (Figure 37). Each inclusion will be added as a column in the report Excel file, so that you can compare its data with the other competency objects. Figure 37 Once you have completed the Options page and clicked the Save icon, you can edit your template and navigate freely through the Competency Object report icons (Figure 38). Figure 38 Note: After you generate your report and attempt to view it, you will be prompted with a dialog box (Figure 39). To avoid the subsequent security dialogs for enabling editing and enabling content, it is recommended that you select Save, and then open the report in Excel. 26

36 Topic 2: Types of Reports Competency Status Trending Report The Competency Status Trending report helps to show the progress of people in a Position by giving Administrators detailed information about people s Percent Developed in a Position over a specific time period. This report works a little differently than other reports because data must first be collected before it can be run this is set up in the Site Configuration Editor by the System Owner or by a person who has permissions. To access the Site Configuration Editor, go to Tools on the main menu (Figure 40). Figure 40 In the Site Configuration Editor, click on Trend Reporting in the System Options tree on the left (Figure 41). The configuration options appear on the right side of the screen. To configure the Trend Reporting options: 1. Choose a start date by clicking on the Calendar icon beside the Start field. 2. Choose the time to run the report at from the Run at dropdown menu. 3. Choose when the data is collected by clicking on any number of the Date checkboxes. 28

37 CAT Enterprise Reports Figure 41 Note: Once the Trending Reporting options are configured, it will take some time before enough data points exist to allow trend analysis. 38 Topic 2: Types of Reports Figure 42 To complete the Competency Status Trending report template, there are four pages of criteria to complete. If you need help with the Properties, People, or Position pages, refer to Report Criteria in Topic 1. The Options page, however, is unique to this report (Figure 43). A start date must be selection from the dropdown menu. The dates correspond to when data has been collected. In the adjacent dropdown menu, the date interval must be selected this is how the data will be displayed in the report. The options are: Monthly, Quarterly, Semi-Annually, and Annually. The report displays the data both by percentage and by count, and there are many options for both. Each chart can be either 2D or 3D. 30

40 Topic 2: Types of Reports Development Plan Report The Development Plan Report allows you to see a detailed list of some or all of the items added to a Development Plan(s). If you are running this report as a Participant, the information in this report pertains only to your own Development Plan. This report is viewed in the Crystal Reports Viewer and can be exported into different electronic formats or printed. A sample page of this report is shown below (Figure 45). Development Plan Activity This page is where you select which Development Activities to add to your report (Figure 46). To choose Development Activities, click in the checkboxes beside the Activities, or you can choose all the Activities in a single classifier by clicking on the Activity Classifier. The displayed Activities are based on the Position(s) chosen on the Position criteria page. You must select at least one Development Activity to move on to the Options screen. Options On this page you can choose the type of dates to display or enter a Date Range at the bottom of the list (Figure 47). You may see additional dates, which have been added by your organization. 44 Topic 2: Types of Reports Gap Analysis Report The Gap Analysis Report allows you to quickly print the Gap Analysis for different people or groups of people. The display of the Gap Analysis Report is virtually identical to the display a Participant or Supervisor may see when viewing a Gap Analysis. This report allows Supervisors and Administrators to quickly run multiple Gap Analysis Reports on different people or groups while tailoring the selection and display criteria. This report is viewed in your browser window and can be printed. It can also be exported to an Excel file format by simply clicking on the Export to Excel button located in the top-left corner of the report. The data can then be manipulated and customized in ways that are useful for you. A limit can be set on the number of people you can report on this is configured as part of the site install. This limit is due to how much HTML Internet Explorer can render due to this report s graphical nature. A sample of this report is shown below (Figure 52). Development Activity This page is where you select Development Activities to add to your report template (Figure 53). The displayed Activities are based on the Position(s) chosen on the Position criteria page. When reporting by Person, the Skill Descriptions set at the Position, Group, and Person level are shown. 47 CAT Enterprise Reports Gap Analysis Excel Report The Gap Analysis Excel report allows you to generate the same type of data as the Gap Analysis report, except with greater flexibility and data analysis. Whereas the Gap Analysis report s data is static, the Excel version is customizable. This report is opened in an Excel workbook and contains multiple worksheets. The Gap Analysis worksheet (Figure 56) is displayed in a Pivot Chart. This chart displays its data like the Gap Analysis, except the Competency Levels are displayed vertically instead of horizontally. The Pivot Chart format allows you to manipulate the chart according to your preferences. Report data can be selected or deselected to be shown in the report, and the look and feel of the chart can be easily customized. Figure 56 39

The worksheets in this report are meant to be used by a person who is proficient in Microsoft Excel and Pivot Charts/Tables. Two worksheets are included in this report a ReportData worksheet (Figure 62) that displays the report data and a ReportSettings worksheet (Figure 63) that displays the selections included in this report, such as the Options you have included. Figure 65 Qualified Persons Report The Qualified Persons report is used to quickly identify people with a specific Percent Developed within a set of Skills. People with a low Percent Developed can then be matched up with the high Percent Developed people, who can then serve as mentors or experts for training. This report is viewed in the Crystal Reports Viewer and can be exported into different electronic formats or printed. Two samples pages of this report are shown below: Figure 66 shows a match between % Developed and Figure 67 shows matches that fall between 10-50% Developed.
