1 TTLE: Deputy Venue Manager Responsible for: Commercial Team Leaders Commercial Supervisors Commercial Hosts EMPLOYER: KeeleSU DEPARTMENT: Social Enterprises LNE MANAGER: Venue Manager Full time Flexible annualised hours equivalent to 37.5 hours per week (including regular night time and weekend work) Salary Grade SU Grade E 21,000 rising to 24,300 MAN PURPOSE OF THE JOB: To support the effective management of Keele Student s Union venues provision, including bars, entertainments and technical requirements, involving budget management, staff recruitment and supervision, maintaining high standards of hygiene, quality and customer service & satisfaction, working closely with the Venue Manager, fellow Deputy Venue Manager, Facilities Team and External Security contractors, Ops Manager and Deputy Ops Manager. To set and maintain standards by leading a commercial team across all bars and entertainments provision, taking responsibility for developing products taking into account industry trends and customer expectation. Ensuring a high profile and reputation of the Union and University are maintained. To manage the budget in relation to sales and staffing costs to ensure profit levels are met. To act as Duty Manager for the Premises. BAR & ENTERTANMENTS Main duties and Responsibilities GENERAL To assist the Venue Manager to identify and develop new and innovative entertainment and bar programmes /events. To deliver planned entertainments and bar programs for KeeleSU throughout the year including off term periods and off site events, that will maximise business and continually improve customer perception of KeeleSU. n conjunction with the Venue Manager ensure that KeeleSU operates within relevant licensing laws, health and safety and hygiene legislation, any other relevant statutory legislation and any such conditions imposed by KeeleSU, Keele University and the local authority.

2 To hold a Personal Alcohol License and be a specialist advisor to KeeleSU on all Licensing Law matters. n so doing, be the Designated Premises Supervisor, as required. To assist the Venue Manager in the provision of information and reports on the Bars services and any such other information as may be reasonably required. To assist the Venue Manager with the development of a departmental operating plan in line with the KeeleSU Strategic Plan. To be responsible for establishing Best Standard Practice and maintaining high levels of customer service excellence. To assist the Venue Manager in developing the range of stocks and supplies for the Venues operations (including catering and retail as appropriate) as specified from approved suppliers becoming fully NUS compliant. To assist and support the Venue Manager in organising events and booking artists. To step in and run any events (in relation to entertainments), liaising with agents and promoters and organising and facilitating any technical requirements for events, when the Venue Manager is unable to. To liaise with all relevant KeeleSU departments, and supervise the department s contact with agents, promoters, managers, venue owners and suppliers in the process of the provision of KeeleSU entertainment. To recruit, train and manage staff working within the operation. To provide overall supervision to staff, ensuring that such staff adhere to their terms and conditions and perform to the appropriate standards. To ensure effective rotas in place, suitably costed within the budget. To ensure that all staff within the Commercial Department are appropriately trained in all aspects of their role and to carry out staff evaluations and development reviews periodically. To ensure that all Commercial staff are aware of their regular targets and subsequent achievements for sales, margins, wages and any other costs relating to the bars operations. To contribute to the management of safety and security of staff, customers and premises during events. To attend meetings, briefings and conferences as and when required by senior KeeleSU staff. To develop a proactive relationship with the KeeleSU marketing team and in so doing promote best practice in advertising and promotion of events. To ensure that any and all copy for advertising is provided to the appropriate department or supplier (s) and proofed and approved on time to maximise the success of events. To provide information allowing the analysis of previous events and contribute to the plans and briefs for forthcoming events. On a rota d basis to perform the role of evening Duty Manager and in so doing be the focal management point for the building and the representative of the Senior Management and Sabbatical teams. This responsibility will mean that the Duty Manager will be the senior staff member on site and as such decision making power will be delegated to this person. To liaise with the Head of Social Enterprises regarding the recruitment and shift patterns of all entertainments department staff and volunteers.

3 Any other reasonable duties directed by the Head of Social Enterprises commensurate with the grade. FNANCAL Under the supervision of the Venue Manager to contribute to the good management of all financial aspects of the Bars & Entertainment Department, including where necessary working in conjunction with selected staff from other departments. To assist the Venue Manager in the production for review and agreement of income and expenditure budgets for all new or major events and the annual budget for the Head of Social Enterprises. To assist in obtaining best value for money for all KeeleSU events whilst delivering the best possible entertainment service to customers. To be responsible for the control of all cash, vouchers, tickets, receipts and other cash based documents relating to entertainments income and expenditure. To ensure the safety of stock and cash by good practice and procedures. To ensure that stock is rotated and all point of sale and gifts are recorded for future scrutiny and reference. To ensure that proper records of deliveries, transfers, promotions, discounted sales and wastage are recorded appropriately for the stock taker in an acceptable form to them and Keele SU SLT. To be responsible for ensuring stock checks are carried out and that records are maintained. To assist in the proper recording and accounting for of all commercial income. To ensure that all petty cash drawn against the Commercial Department account is properly accounted for. To act in accordance with all KeeleSU financial regulations, directives and formally approved practices. To adhere to all KeeleSU approved practices with regard to the payment of all Commercial based employees. To maintain records of entertainment events and be responsible for the completion of returns for license agreements such as PPL and PRS and any other such scheme as may become relevant over time. To declare in advance any professional, personal or financial interest in any artiste, agent, promoter or contractor contracted for any event, supply or purchase organised by KeeleSU. EQUPMENT/TECHNCAL To assist in compiling an up to date inventory of all equipment is maintained and regularly updated so that the KeeleSU asset schedule may subsequently be updated and equipment be depreciated properly. Copies of this schedule are to be sent to the finance department. To advise on entertainment and technical matters when required. To ensure that all equipment is kept secure, properly cared for, maintained, checked, insured, safety tested, and security marked and complies with all current health and safety legislation.

4 To ensure that all equipment hired from third parties is properly cared for, checked and safety tested as required. To oversee the correct installation of any and all equipment used in the provision of entertainment and events run by KeeleSU. To assist in the construction of stage designs and layouts for KeeleSU events. To ensure that the Commercial department complies with all relevant legislation regulating the entertainment industry including but not exclusively Noise at Work and Working at Height. General Responsibilities As with all members of staff to act always in accordance with the financial regulations of the Union. As with all members of staff to work in a manner which reflects the values of the organisation as shown in the Union s Strategic Plan. As with all members of staff to work with environmentally friendly procedures and continue to strive to improve KUSU s environmental impact. Outside of Term Because of our fluctuating trading cycle, we may occasionally find it necessary to ask staff to undertake different work for us over the closedown period, particularly if the bars are closed. Acceptance of these terms is an acknowledgment of this condition. Licensee Personal Licence holders will be expected to uphold licensing regulations and attend as requested in their capacity as a licensee. This will generally be undertaken as part of their other duties. This may include being on an evening duty roster and separately may include attendance as a member of the disciplinary panel that meets on Wednesday every week.
