1 JOB DESCRIPTION and PERSON SPECIFICATION Duty Manager Section: Sports Facilities Department Salary Range: Up to 19,000 pa (dependent upon experience and qualifications) Responsible to: Sports Facilities Manager Hours of Work: 35 hours per week. Status of position: Permanent Based on a shift pattern including morning, evening and weekend hours. 1. INTRODUCTION Shrewsbury School is a leading independent boarding school, committed to the highest standards of education. Its vision is to be the best independent boarding school north of the Thames Valley, and to be comparable with the best in the United Kingdom in terms of breadth, depth and quality of achievement. The school is a registered charity with a number of wholly owned trading companies and is overseen by the Governing Body. The school has approximately 330 full and part time employees, and 780 pupils. The Sports Facilities Department manages the Schools stunning array of sporting facilities including: 25m Swimming Pool Indoor Sports Hall Squash and Rackets centre 2 Full Size Synthetic Pitches Fitness Suite National Indoor Cricket Centre Outdoor Synthetic Cricket Nets Boat Club Fives Courts 100 Acres Of Elite Grass Playing Pitches

MAIN PURPOSE OF ROLE The Duty Manager will be part of the Sports Facilities team, and will work to ensure that Shrewsbury School s sports facilities are safely and efficiently operated, both by the School and other external users. Most importantly the Duty Manager should ensure that facilities are available for coaching/teaching of pupils during term time. An important secondary objective is to assist in the management of all external users of the school sports facilities, whether other schools, clubs or members. 3. LEVEL OF POSITION The Duty Manager will be directly responsible to the Sports Facilities Manager who is responsible for day-to-day Line Management responsibility to include appraisal, training and development and health and safety. 4. DUTIES AND RESPONSIBLITIES The duties and responsibilities below are illustrative. The position holder will be expected to become involved in a range of work on occasions that may not be shown below: Main Responsibilities: To communicate regularly with the Sports Facilities Manager as well as the Programme and Activities Co-ordinator identifying any problems before they escalate, supporting the Sports Facilities Manager in the efficient and effective operation of the School s Sports Facilities. To complete daily, weekly and monthly pool plant maintenance tasks, maintaining correct pool water quality in the swimming pool. To immediately report any unusual pool water results to the Sports Facilities Manager and if necessary close the pool. To complete all required paperwork including facility checks, equipment checks, audits and plant records as required. Reporting maintenance requirements and removal of damaged equipment when necessary. To open and lock up all facilities when required on a shift basis, the Duty Manager will be expected to act as a nominated key-holder. Whilst on duty supervise staff, oversee all public activities and ensure the effective operation and safety of the Sports Facilities and its users. To administer basic first aid and implement facility emergency action plans as required. To ensure all health and safety procedures, processes and assessments are compliant and adhered to. To regularly check and address the cleanliness of all sporting facilities ensuring all areas are clean and hygienic at all times, actioning areas of shortfall with in the operation team. Any shortfalls or concerns to be reported to the Sports Facilities Manager.

3 To attend staff training, encouraging a proactive and preventive lifeguarding approach by all relevant staff members. To assist customers in a friendly, welcoming and professional manner whilst covering reception duties of responding to telephone requests. To duty patrol the department s facilities and maintain the security of all. To assist in the development of the School and commercial use programme of all sporting facilities as directed by the Sports Facilities Manager. Maintain a professional manner at all times, promoting a high public profile and customer care image on behalf of Shrewsbury School. To maintain high standards of facility and department appearance, encouraging professional and positive relationships with all facility users. To ensure that all practices as shown in facility procedures are understood, followed and adhered to. To ensure all external activities are booked onto the Leisure management software (Xn and Mycourts), ensuring payments are processed effectively and correctly. To ensure the proper accounting and reconciliation of daily and weekly cash receipts. Support the management team in the department s completion of a term by term invoice processing. To assist in the marketing and promotion of the Sports Facilities department. To administer membership applications and act as a key point of contact to support members. To support the management of the Academy and Sporting holiday programme including the facilitation of external providers. Liaise with the Programmes and Activities Co-ordinator to ensure the efficient delivery of the Shrewsbury School Academy s as follows: Supervise the operation of standards within the group lessons ensuring children are in the correct class to match their standard and if necessary relocating pupils to classes of an appropriate standard. Identify and reclassify any class operating at a different standard to the original classification. Assist staff in identifying children s needs to ensure these are met. Effective communication with parents and pupils. Oversee the smooth transfer of pupils from one class to another To supervise the school pupil s recreational sporting programme ensuring safe and efficient usage of the facilities, completing gym inductions and report any areas of concerns to the Sports Facilities Manager.

4 To undertake any relevant training and development as required by the Sports Facilities Manager. To complete any additional duties as required by the Sports Facilities Manager. CONTACTS In all contacts the successful applicant will be required to be a good ambassador for Shrewsbury School as well as maintain constructive relationships. 5. TERMS AND CONDITIONS Salary: up to 19,000 per annum which will be dependent on qualifications and experience. Hours: This is a full-time, permanent position working term-time and during school holidays working a shift pattern rota (working 5 out of 7). The Duty Manager must be able to show a degree of flexibility as there is a requirement to work morning, evenings and weekends in accordance with the business requirements. Holidays: Shrewsbury School s annual leave year runs from 1 April to 31 March: a full year s entitlement is 28 days per annum, plus statutory bank holidays. Pension: All support employees will be eligible to join Shrewsbury School s Pension Scheme (employee contributions 1-5%, employer 2-7.5%) subject to auto-enrolment Regulations. Sickness Leave: You will automatically join the contractual sickness scheme after the first six months of employment. In the event of sickness, you will receive 6 weeks at full pay and 6 weeks at half pay and thereafter Statutory Sick Pay. Insurance: You will automatically join the death-in-service insurance scheme. In the event of your death whilst in Shrewsbury School s employment your estate will receive two times your basic salary. Other Benefits: You will be able to enjoy the benefit of a free school lunch at Kingsland Hall when the kitchens are in operation. You will be able to use the school sports facilities, when not in use by the pupils. You will be expected to have an up-to-date DBS Certificate and we will request one upon appointment and every 3 years thereafter.
