1 pprenticeships Business dministrator Job Specification JOB DESCRIPTION Employment status: Hours: Location: Department: Manager: Permanent, full time Full time hours at UCEM are 35 per week, Monday to Friday 9.00 a.m. to 5.00 p.m. Horizons, 60 Queen s Road, Reading, RG1 4BS Student Experience pprenticeships Business Manager Liaises with: Student Experience / Commercial and Business Operations / cademic Registrar / Online Education / Finance and Resources / Principal s Office / Deputy Principal s Office / External partners and stakeholders Summary of the role To support UCEM s apprenticeship business operations in relation to funding, compliance and financial planning and management. Supporting compliance with Education and Skills Funding gency (ESF) requirements is a key element of the role. The role includes supporting internal audit activity as well as supporting the management of several apprenticeship related contracts including subcontracts with external partners. Duties and responsibilities Support the development and maintenance of learner file document templates to enable ESF compliance. Support the development and maintenance of controls processes to support the achievement of ESF compliance. Undertake internal audit and routine sampling of UCEM s apprenticeship records to determine if compliance with ESF requirements exists. Support the production of Management Information (MI) returns in accordance with UCEM s framework agreements. Support the provision of information, advice and guidance to UCEM teams and UCEM subcontractors to support compliance with ESF requirements. Support funding income forecasting and funding reconciliation activity. Support the establishment and management of UCEM s subcontracting relationships. Support the management of UCEM s contracts with apprenticeship end-point assessment (EP) organisations. Maintain health and safety records relating to apprenticeship delivery. 2 Undertake other general administration duties, including but not limited to: preparing agendas and taking minutes of meetings, when required preparing purchase orders and maintaining purchase order records processing of incoming and outgoing mail assisting with the preparation of reports and statistical data. Contribute to development, implementation and continuous improvement of lean processes. To support the integration of UCEM s apprenticeship provision into UCEM s core business. If you are appointed to this post you will also be required, as part of your induction training, to undertake training relating to safeguarding and Prevent. This training will be both face-to-face and online. ny prior training in these areas is helpful, however it will not make you exempt from undertaking training with us. BENEFITS Salary range 22,000 to 24,000 per annum. 24 days paid holiday (rising with service to 27) plus paid bank / public holidays and up to 5 paid closure days; all per holiday year Full Time Equivalent.
