Position Overview The Volunteer Coordinator is responsible for the identification of Volunteer opportunities, preparing advertisements for volunteer vacancies, interviewing and onboarding volunteers and managing volunteers in their volunteer role. Volunteer opportunities may exist in any of the Outlook divisions. This role is 12 hours per week and located at Outlook Head Office, Pakenham, with the opportunity of flexible days/times, depending on what is required. 2 Key Result Areas and Associated Tasks INTERGRATED MANAGEMENT SYSTEM Volunteer Coordination & Support Marketing, Networking & Promotion Manage the requests for Volunteers and answer enquiries Manage recruitment and onboarding of volunteers into appropriate volunteer roles within Outlook divisions, including conducting screening and placement interviews Manage volunteers, once they are placed, including conducting regular reviews with them and the manager of the workplace to monitor their satisfaction and progress and ongoing suitability for the role Directly manage any volunteers who provide assistance to this role Be the first point of contact for any issues that may arise impacting volunteers and deal with these issues, where appropriate, following Outlook policy and procedure Report and investigate any Accidents/Incidents/Near Misses involving Volunteers, following Outlook policy and procedure Develop and deliver training sessions to internal staff and external parties on Volunteering at Outlook Ensure all Volunteers are valued and their contribution is recognised Promote & market a positive image of Outlook Promote volunteers from all areas students, CALD, disabled to a wide range of organisations and services within Outlook and the wider community Attend ongoing training to benefit the Volunteer sector Keep informed of any changes in the volunteer sector by being a part of local networks & a member of peak bodies in volunteering Prepare any relevant marketing material required to promote the service and/or the work of Outlook volunteers and update as necessary Identify and nominate Outlook and Volunteers for any grants or awards available to the sector Administration Maintain a current volunteer file for each volunteer Monitor relevant changes to legislation/standards impacting volunteers and review policies and procedures relevant to volunteers and update as necessary. Apply for any funding available through grant schemes organized by state & local governments, organisations, businesses and trusts Prepare and document reports for divisional meetings and funding CORP-HR-PD-Volunteer Coordinator Page 2 of 6

3 Key Result Areas and Associated Tasks sources Prepare and monitor volunteer agreements, both internal and external to Outlook. Determine budgetary requirements to inform the Corporate budget and work within the allocated budget Undertake other duties as directed by GMCO Quality and OHS Act in a safe and healthy manner to positively impact the workplace and environment to ensure that the physical and psychological wellbeing of yourself, employees, participants and the community is protected. Report all hazards, risks, injuries and incidents immediately to your line manager. Demonstrate Outlook values in your daily role. Ensure you deliver your role within the specified requirements of Outlook s Code of Conduct. Full compliance with Outlook s policies and procedures. Key Selection Criteria Selection will be based on assessing an applicant s skills, knowledge, past performance and other personal qualities relevant to the work assignment, as listed below. Mandatory At least 5 year s experience in an equivalent or similar role Ability to manage a large group of volunteers in diverse locations Proven leadership qualities including; honesty, ability to delegate, high level of communication, confidence, commitment, positive attitude, creativity, intuition, ability to inspire and a sense of humour. Strong communicator (both written and verbal), able to communicate well at all levels and manage key relationships with staff and volunteers. Demonstrated time management skills, the ability to set priorities, meet deadlines and maintain effectiveness under pressure. Demonstrated respect for the dignity & rights of choice for adults with a disability. Demonstrated networking and marketing skills particularly in relation to the integration of adults with a disability into the local community. 4 Key Selection Criteria Selection will be based on assessing an applicant s skills, knowledge, past performance and other personal qualities relevant to the work assignment, as listed below. Experience in Microsoft Office modules, particularly Word and Excel Desirable The following skills would be viewed favourably: A knowledge of the volunteer industry Understanding of the National Standards for Volunteer Involvement Highly developed networking skills. Experience using a CRM System General Employment Information Police Records/ Working with Children Check OH&S Pre-existing Injury or Medical Condition Learning and Development Leadership Licence Requirements This position is subject to a satisfactory police check and working with children check prior to commencement, at the applicants own expense. 5 General Employment Information Other Requirements INTERGRATED MANAGEMENT SYSTEM This position will require the applicant to work with a wide range of personnel across the organization. The Volunteer Coordinator is responsible for ensuring that volunteers are placed in suitable volunteer roles within Outlook, to enhance the service and provide valued volunteer opportunities. Employees exiting Outlook many be required to complete a pre-exit medical and exit interview. Probationary Period The position is subject to a 6 month probationary period during which time the employee will be assessed as to their suitability for continued employment.
