1 Business processes in Workday follow defined workflows. These are built based on Security Roles which govern what individuals and groups can see and do in Workday, as well as what they can initiate and/or approve. Key attributes for select non-hr roles are shown below. 3 Labor Distribu on Schedulers Individuals responsible for se ng up labor distribu on in Oracle What can they do? Receive Workday no fica ons informing them of HR changes that may require labor distribu on updates in Oracle Student Hiring Support (For hiring of GTA, GRA, Undergrads, Grads) Individuals in schools or units who hire student workers Iden fied by school/unit leadership. List will be available on the Ufirst website in mid to late November. All students Hiring a student Once a student hire has been completed, no fica ons will go to both the student s manager and the individual who ini ated the hire. 4 Finance Approver: School/Unit Finance Contact They are responsible for ensuring transac ons are within budget for their school/unit (ex: a Finance Dir. for the School of Arts & Sciences) This role exists only in the Academic Division and UPG. Medical Center financial approvals are managed through their LMST group. Salaried faculty or staff (excluding School of Medicine) Does not include wage faculty or staff, temps, or students They can approve: Crea ng a job requisi on Crea ng an offer (only for Academic Division) Hiring a student Adding an addi onal job Adding period ac vity pay (only for Academic Division)

5 Finance Approver: Department Manager Contact They are responsible for transac ons within the department and may not necessarily be a finance person (ex: a department administrator for the English Department within the School of Arts & Sciences) Faculty or staff wage, temps, and students All School of Medicine employee types Does not include salaried faculty or staff They can approve: Crea ng a job requisi on Crea ng an offer (only for Academic Division) Adding an addi onal job, if not the ini ator Adding period ac vity pay, if not the ini ator (only for Academic Division) Hiring a student, if not the ini ator Hiring a student Adding an addi onal job Adding period ac vity pay (only for Academic Division)

6 Leadership Approver They are leaders of your school or unit (ex: Senior Associate Dean for Administra on, CIO, CFO, or MC Chief equivalent) Salaried faculty or staff (excluding School of Medicine & MC) Does not include wage faculty or staff, temps, or students Crea ng a job requisi on (only for Academic Division & UPG) Crea ng an offer (only for Academic Division) (only for Academic Division & MC) Time Repor ng Support Role Certain non managers are granted the ability to support managers with the ability to run me tracking reports Ini ally, all users who currently have the Oracle HRMS Timekeeper role Does not apply to the Medical Center, who will con nue to use Kronos for mekeeping Running me tracking reports They will not be able to enter, submit, or approve me on behalf of another employee
