It specialises in preparing students for undergraduate and postgraduate study in the UK. Our Centres deliver progression onto leading British undergraduate and postgraduate courses. Each INTO Centre is managed by a joint venture management board in which INTO and the partner University are equal shareholders. Job Role As a key member of our Student Services Team, the successful candidate will be responsible for providing a responsive and supportive reception service to staff, students and visitors. Duties will include; To promote a positive and welcoming environment at all times, to enhance the image of INTO University of Exeter Provision of reception service dealing with requests and enquiries in person, on the telephone and via To ensure excellent customer service by providing support and advice to students or to assist them in finding appropriate help General clerical duties The role will also call for a strong team player as there will be a requirement to support other areas of activity throughout the academic year. To maintain effective information systems for students and visitors Incoming and outgoing post duties Support of student admissions and data entry Ordering of stationery and supplies Requirements The successful candidate will have: Excellent command of written and spoken English. Competent IT skills in Microsoft packages. Experience of working in a busy administration role Experience of working in a customer-facing environment. You will also have good organisational and work management skills and be able to demonstrate the ability to work with clear systems and processes. Each INTO Centre is managed by a joint venture management board in which INTO and the partner university are equal shareholders. Reporting Line The Student Services Receptionist reports to the Head of Student Services and Systems. Day to day supervision is provided by the Senior Receptionist. Job Purpose To provide a reception service to staff, students and visitors, and answer or direct enquiries as appropriate. To work as a member of the Student Services Team and support other areas of activities within that team as required. Key Accountabilities To provide the first point of contact at reception and to deal with requests and enquiries in person, on the telephone and via . To assist with the arrival, induction and orientation sessions for new students where appropriate. To support and advise students generally or advise them where to get further help. To promote and book students on the social programme To assist colleagues & visitors to reception and maintain good information systems for students and visitors e.g. update messages on the plasma screen. To assist with the delivery of paperwork for students (e.g. bank letters, class hand-outs). To be responsible for all incoming and outgoing post and courier deliveries. To co-ordinate arrivals information: Receive arrival forms, input to Salesforce and file Resolve any queries regarding incomplete forms before processing taxi bookings and issue of confirmation s Identify students that have not submitted arrivals forms and follow-up To support admissions function with data entry of applications To support attendance monitoring procedures: Issue forms to students for completion or provide instructions for ELE Maintain file of absence forms and record authorised absence To undertake general clerical duties including typing, preparing mail shots and various other. To record issues/requests & queries in the maintenance log. To develop good working relationships with the INTO team and the partner university staff as necessary. Ordering of stationery and supplies monitor usage for the Centre and Duryard. 3

4 Occasional weekend working will be required during student arrival and departure, for which time in lieu will be given. 5 Person Specification Essential Desirable Legal Status Appropriate DBS disclosure will be required prior to confirmation of appointment. Eligibility to work in and travel freely to and from the UK, Education/ Qualifications Knowledge/ Skills Educated to A Level standard (or equivalent). Excellent communication skills. Good basic IT skills with a familiarity of Microsoft Office. Ability to work with clear systems and processes and produce the required management information. Ability to build and manage relationships with peers, senior managers, University stakeholders, parents and students from a range of linguistic, ethnic and cultural backgrounds. Excellent telephone manner. High standards of customer service. Ability to work in a dynamic and fast moving environment. The ability to prioritise, meet deadlines and work under pressure. Flexibility and willingness to undertake and learn new tasks. Good team player. Good attention to detail.
