1 AMSA Global Health Committee Management Team Application Pack About the AMSA Global Health Committee The AMSA Global Health (AGH) Committee is a sub-committee of AMSA dedicated to engaging and empowering medical students interested in Global Health. The AGH Management Team is responsible for the day-to-day management of AMSA Global Health, as well as its Management Team Meetings, AGH Councils, engaging with Global Health Groups, and running projects and campaigns on a number of Global Health issues. Positions Open for Application: Chair Vice Chair (Internal) Vice Chair (External) National Co-ordinator Treasurer Education Officer Policy Officer IT and Publicity Officer Partnerships Officer Training Co-ordinator The Position Descriptions for these positions are listed below. The Application Process To be eligible for a position on the Executive Team, the applicant must: Be a medical student in one of Australia s medical schools Adhere to the Application Process Not have been the Chair for more than a total of two (2) years, for an application to the position of Chair The applicant in their application must include: A motivation letter of no more than one (1) A4 pages A Curriculum Vitae of no more than one (1) A4 pages Presentation and 2 minutes question session to the AGH September Council Applicants are encouraged to not apply for multiple positions. The motivation letter and the Curriculum Vitae must be sent to the AMSA Global Health Officer, James Lawler (global@amsa.org.au) by August 31, 2013 at 2359 AEST.

2 The timeline of the application process for 2013 is as follows: August 1, 2013 August 31, 2013 Wednesday 11 September, 2013 Applications Open Applications Close 2359 AEST Presentation in person or by video conference at the September AGH Council Meeting (Time TBA) Election at the September AGH Council Meeting Late applications will not be accepted. All stages of the application process will be in accordance with Clause 7 of the Committee s Terms of Reference. 3 AGH Chair Duties To provide strategic vision and lead AMSA Global Health according to the motions passed by the AGH Council. Ensuring the fulfillment of AGH s Strategic Plan To represent AGH within internal and external forums, in conjunction with the AMSA Global Health Officer, as deemed appropriate. To present a report to AMSA Council or the AMSA Executive wherever required. Ideal candidates Knowledge of AGH s functions Committee management experience Able to act as a diplomatic spokesperson and advocate for AGH Able to provide vision, think strategically and focus on core issues able and efficient with communication Able to delegate ~15 hours per week Kelly Thompson chair@agh.amsa.org.au

4 AGH Vice Chair (Internal) Duties Assist the Chair in carrying out their duties, especially where the chair is unable to discharge their duties Call for all necessary reports and agenda items prior to meetings To be responsible for chairing of all Management Team and Council meetings. Be responsible for the organisation, collation and distribution of all AGH Committee documents and reports Have an intimate knowledge of the official documents of AGH and review these where appropriate Manage the internal documents of AGH Coordinate team management and the delegation of tasks to appropriate Officers Be responsible for the distribution of minutes and action lists arising from all AGH Committee meetings Oversee the handover process for the 2014 AGH Management Team to the 2015 team. 5 AGH Vice Chair (External) Duties Act as an overall strategist for grassroots campaigns and projects Oversee a portfolio of Project Managers, and liaise regularly with each to ensure the success of each project, both for 2014 and through developing long-term strategies Assist Project Managers to review their initiatives and undertake strategic planning exercises for ongoing growth Coordinate grassroots campaigns across Global Health Groups in Australia Support Global Health Groups and local initiatives of advocacy efforts Assist the Chair in carrying out their duties In conjunction with the Policy Officer, AGH Chair and Global Health Officer, coordinating the policy development process of AGH, as well as the fulfillment of shortterm yearly policy monitoring indicators. 6 AGH National Coordinator Duties Act as liaison to AGH Council, communicating with each AGH Rep once per month to ensure consistent two-way communication between the AGH Management Team and Global Health Groups Organise the logistical aspects of AGH Councils (for example, venues, catering, accommodation) Take minutes for all AGH Management Team Meetings Ideal candidates Previous secretarial experience Excellent written and verbal communication skills Highly organised with good time management Approachable and contactable Efficient with communication 8 hours per week Devaki Wallooppillai and Samuel Ognenis secretary@agh.amsa.org.au

7 AGH Treasurer Duties Ensure the fiscal accountability, transparency and efficiency of the AGH Committee Be responsible for the creation and overall management of the AGH Committee budget and finances Provide input for the vision of AGH reaching financial growth and sustainability Ensure that AGH Finances adhere to AMSA s central budget, and manage upwards to the AMSA Treasurer and the Board where required Direct administrative duties relating to the finances of the AGH Committee, including reimbursement and use of money for regular activities Be responsible for invoicing partners of the AGH Committee, in collaboration with the AMSA Treasurer Submit a preliminary budget to the AMSA Board not more than thirty (30) days after ratification by the Management Team Prepare a budget-to-actual report for each AGH Council and AMSA Council meeting Ideal candidates Previous treasury experience Able to provide financial insights during AGH planning discussions Initiative in exploring opportunities for income and cost savings Able to act as a diplomatic spokesperson and advocate for AGH in Treasury meetings Efficient with administrative tasks 5 hours per week Rebecca Zhao treasurer@agh.amsa.org.au

8 AGH Education Officer Duties Overall responsibility for strategic and critical insight and advice on the global health education needs of Australian medical students Work with Global Health Groups and Medical Student Societies to analyse educational needs and gaps with regard to global health education Coordinate the AMSA Global Health Academy Build on and maintain AGH s online Electives Database Ensure that the educational content of the AGH website is of sufficient quality and quantity Promote collaboration for Global Health Short Courses run by Global Health Groups Ideal candidates Up-to-date with core issues in global health Appreciation of health professional education as a key strategy to improve global health Demonstrated knowledge of curricular design and graduate outcomes, and the place of global health education in medical curricula. 9 AGH Policy Officer Duties In conjunction with the Vice-Chair External, coordinates the policy development process of AGH: Coordinating policy working parties Seeking out advice from externals Including consultation processes with medical students Conducts periodic reviews of existing policy Ensure that Global Health Policy action items are being fulfilled through: Developing and reviewing monitoring indicators based on AMSA s Global Health Policies Gathering data to measure the level to which these monitoring indicators are being fulfilled Using this data to provide recommendations as to which areas of AMSA s Global Health policies are being fulfilled, and which areas require further attention Ideal candidates Previous experience and knowledge of policy and policy processes, preferably with experience in monitoring and evaluation Master in Public Health or similar 5 hours per week Katie Jeffries policy@agh.amsa.org.au

10 AGH IT and Publicity Officer Duties Oversee creation of Vector Magazine, the official publication of AGH, preferably through the creation of a subcommittee Manage the AGH Website, or appoint a person to undertake this if unable to do so. Develop innovative and exciting ways to increase the public reach of AGH via social media and other forums Collate content for monthly AGH e- bulletins Collaborate with the AMSA Engagement and Promotions Officer to ensure that AMSA and AGH branding is used correctly and consistently Ideal candidates able and efficient with communication IT and graphic design skills Committed to regular (daily) updates of the AGH website and social media pages Perfectionism with branding standards 5 hours per week Jemma Hogan publicity@agh.amsa.org.au

11 AGH Partnerships Officer Duties Create and maintain financial and non-financial partnerships with external organisations Create partnership prospectuses to showcase general and specific partnerships available to external organisations Ensure partnerships benefits are properly delivered to the standard expected by the external organisation in accordance with the agreed partnership agreement Participate in Sponsorship Roundtable Group Meetings with the AMSA Sponsorship Officers and other AMSA Committee Sponsorship Officers to direct internal policy Ideal candidates Time commitment Previous sponsorship or partnerships expertise High degree of professionalism when communicating with external organisations on behalf of AGH able and efficient with communication Able to build and strong sponsorship prospectus 5 hours per week Marcel Boulat partnerships@agh.amsa.org.au

12 AGH Training Coordinator Duties Overall responsibility the Training activities of AGH Co-ordinate the pre-ghc Workshops - Training New Trainers and Think Global Co-ordinate Training sessions at AGH Councils and President s Workshops Work with the AGH Treasurer to ensure pre-ghc workshops are financially independent.
