The postholder will be part of a small integrated project management team reporting to a Unit Manager. This team plays an integral role in the activities of the Creative Production team in BBC Wales in producing multimedia campaigns both in support of BBC Wales English Language Television and in the production of bespoke digital and interactive project commissions. The postholder will also be expected... To work with the Unit Manager, Content Producers, Creatives, Designers and Brand Managers supporting multiplatform marketing campaigns and bespoke digital and interactive project commissions within Creative Production. The postholder will also occasionally work with other Digital and Marketing teams. A lynchpin role making things happen on time, on budget and right first time. To work within software based workflow, process maps, communication and progress tracking systems across Creative Production. And help ensure projects are clearly defined. To help drive best practice project management approach throughout Creative Production helping to instill forward planning as a key discipline and establish a review and learn culture. Ensures resources are available, scheduled & negotiated appropriately.

2 To forge excellent working relationships with colleagues in BBC Wales Marketing & Content Discovery and with external suppliers. To assist with traffic management, scheduling, budgeting and managing resource across the creative production portfolio. To ensure all content assets are available in advance of production by proactively engaging with stakeholders and suppliers. To spot opportunities for idea development and production based on knowledge of the TV commissioning slate and production timetables. To manage and supervise the delivery of projects and productions, with an emphasis on quality assurance, communication, stakeholder management and trouble-shooting. To help deliver value for money and effective use of people and resources across Creative Production. To help instill best practice around file-sharing, storage, cataloguing and archiving of content internally and with external suppliers. 3 Generic Job Description for Integrated Project Manager Job purpose To be part of the Integrated Project Management function for the department To manage complex multi-platform campaigns from brief to delivery, resourcing projects accordingly and keeping them on track and on budget To work closely with Creative teams and co-ordinate stakeholder management To manage suppliers / partners as required To facilitate the efficient and smooth creation of outstanding multi-platform marketing campaigns for BBC products and services. Key responsibilities and accountabilities Be one of a small team of Integrated Project Managers, responsible for a portfolio of projects. Make it happen. Drive the implementation of the new campaign process. Create the conditions for outstanding work at all project stages and on all campaign work. Tenaciously plan and orchestrate projects for effective collaboration within the department and with stakeholders, so that everyone knows what they have to do and by when, from brief to completion. Proactively ensure that people have everything they need to do their work. Ensure that the workflow system is used effectively to track projects. Manage communication. Make marketing colleagues feel safe in your hands. Be the lynchpin that holds marketing and creative together and keeps them working as an effective partnership. Manage stakeholder expectations and proactively keep them up to date with progress ensuring that they know they can completely depend on you to deliver. Always respond promptly to requests/queries, and produce contact reports / status updates as necessary. Ensure all approvals are obtained in a timely fashion, and make sure that all timing plans, estimates and other documentation are accurate and informative. Develop your personal project radar. This is about both planning ahead and managing risks. Work closely with the Head of Traffic / Project Management to plan for future work and manage incoming work, maximizing our ability to be completely dependable. As a Project Manager you are specifically responsible for a range of tasks including: Setting up new projects in the workflow system, and tracking progress Producing and updating status reports Resourcing projects and managing these people to deliver their work on time and on brief Organising and running Tissue Meetings, Project Planning Meetings and Review Meetings Organising and running Project Planning Sessions Liaising with marketing and media colleagues on a day-to-day basis, building strong relationships with them Producing and updating Production Schedules, Estimates and Timing Plans (and presenting them to marketing and other stakeholders) Reconciling project costs against estimates Organising reviews and sign off Checking supplied assets Organising briefings of creative and craft teams Briefing and managing suppliers / Partners Engaging, briefing and handing-over production to Producers Managing approvals Managing QA and delivery Organising, running and communicating learnings from Wash-up meetings Ensuring campaign materials and project documentation are archived Knowledge, skills, training and experience Essential Significant experience of Integrated Project Management. An excellent understanding of and track record in the production of promotions and/or commercials along with up to date knowledge of the latest production technology. A sound understanding of the marketplace, both internal and external. Good negotiating skills in dealing with stakeholders and internal/external contractors. Excellent budgetary/finance management skills. Knowledge of computer based workflow management systems and of copyright procedures. Diplomatic and communication skills to deal tactfully with a variety of people at all levels and to work effectively as a team member. Excellent administration & organisational skills. Good time management. Knowledge of health & safety at work regulations.
