1 Position Title: Face to Face Program Coordinator (job-share) Team/Business Unit: Fundraising Location: Sydney, NSW Manager: Supporter Acquisition Program Manager Date Original Prepared: Date Revised: 1/11/16 Status: 12 month part-time contract Hours: 37.5 Hours per fortnight (2.5 days per week) Primary Objective(s) The Face to Face Program Coordinator is responsible for the day to day management of the F2F acquisition program to ultimately recruit regular givers (Human Rights Defenders), whilst testing new fundraising techniques to ensure engaged donors are recruited and stewarded through a tailored supporter journey. Working in line with your job-share partner, this role takes on the shared responsibility for account management of F2F and other street suppliers. The Face to Face Program Coordinator works closely with the Supporter Acquisition Program Manager on development of program strategy, budget reforecasting and ensuring targets/objectives are met and cross over with other acquisition channels. This program is a vital part of Australia s fundraising mix, aiming to recruit over 12,000 Human Rights Defenders in Reporting Relationship This position reports to the Supporter Acquisition Program Manager as line manager. The position will also work with the Loyalty and Retention team to ensure new supporters are retained and engaged. The position may supervise relevant contract/casual staff and volunteers as required. 2 The Fundraising Team has primary responsibility for the acquisition, development and retention of financial supporters resulting in revenue generation to meet Amnesty International Australia s financial and growth targets. This is achieved through various programs including, but not limited to: face-to-face recruitment, other acquisition including mass media and Internet fundraising, direct mail, relationship marketing, membership development, telemarketing, retention, bequests, supporter care, high value donors, events and corporate relationships. The Fundraising Team works closely with the Brand and Marketing Team as well as the Campaigning and Communications Units to effectively integrate fundraising and supporter servicing with activism, campaigning, branding and awareness raising. The main goal of all teams is to achieve positive human rights impact and achieve the vision of Australia. Key Accountability's KEY RESULT AREA Day to day coordination of face to face acquisition program MAJOR ACTIVITIES Manage relationships with service providers to ensure integrity of programs and fulfilment of contracts and service agreements Work closely with the Supporter Acquisition Program Manager to develop strategy and plans to improve and develop the F2F acquisition program Work with relevant staff and suppliers to promote co-existence of street programs and to utilise opportunities and minimise overlap Develop materials and manage stock that assist with acquisition and retention of face to face acquired supporters including; on the street materials, welcome scripts etc Coordinate testing of new suppliers as necessary Working with the Donor Retention Loyalty Coordinator monitor and mystery shop face to face teams to ensure quality and consistency of recruitment. Lead on training sessions with an aim to deliver monthly trainings for each supplier Respond to complaints in a consistent, SUGGESTED WEIGHTING 55% Face to Face Program Coordinator (Part time) November 2016 Page 2 of 8

3 Program monitoring, reporting and evaluation Fundraising Development high quality, relevant and timely manner and train Supporter relations team to assist in this process. Work with Information Systems (data and information technology) and Supporter Relations Teams, as well as external service providers, to ensure all data, administrative and supporter relationship procedures are of high standard Work with Loyalty and Retention Team to ensure new supporters are retained and engaged, especially during the donor s first 6 months. This includes the evaluation and development of development of the Surprise and Delight program and other retention initiatives. Lead on the further analysis, optimisation and roll out of Virtual Reality and other innovations for Face to recruitment Benchmark and ensure best practice in all elements of programs. Provide timely, high quality reporting of results against program objectives Keep abreast of regular monitoring, reporting and analysis of all quantitative and qualitative measures of the program Work with the Supporter Acquisition Program Manager with monitoring of budgets and expenditure to achieve sustainable ROI and lead the in reforecasting and budgeting processes Work with Loyalty and Retention team to monitor, analyse and report on attrition rates Ensure Attrition rates and reports are communicated to suppliers on a regular basis and suppliers are working to agreed retention KPI s Maintain contact with professional bodies, other charities and other Amnesty International Sections to identify and evaluate new opportunities in face to face recruitment 15% 10% Face to Face Program Coordinator (Part time) November 2016 Page 3 of 8

4 Innovation and wider Acquisition support Liaise with the International Secretariat, AI sections and regional staff to promote sharing of content and learning Undertake regular reviews of face to face program activities to identify areas for improvement Assist with idea generation to identify opportunities for new fundraising programs and initiatives Drive innovation not just with new initiatives but also ensuring the best practice internal processes for growth and efficiencies Keep abreast of new techniques in faceto-face recruitment and coordinate appropriate trials in program Lead on ensuring a cultural of optimisation and innovation within the F2F program internally and also with suppliers Other duties/projects on occasion, including cross organisational projects and other acquisition campaigns (eg including DRTV, Radio, mobile, telemarketing, print, digital) Represent fundraising team in organisational projects as and when required 20% Face to Face Program Coordinator (Part time) November 2016 Page 4 of 8

6 Knowledge, skills and experience required (Selection Criteria) Essential 1. Experience in all key aspects of face to face recruitment campaigns and/or other related supporter recruitment techniques for a non profit organisation 2. Knowledge of fundraising techniques and principles, including methods of tracking and monitoring 3. Demonstrated planning and project coordination skills 4. Proven ability to work to, monitor and report against specific project targets 5. Ability to identify opportunities and offer creative and innovative solutions to problems 6. Excellent interpersonal skills and negotiation skills and relevant high level oral and written communication skills 7. Strong work ethic: energy, initiative, vision and commitment Desirable 8. Marketing, Fundraising or other relevant higher education qualifications 9. Experience in providing training 10. Experience in working in a large international non profit organisation 11.
