1 Job Title: Clerical Assistant for SENCo Pay Scale: The Framework of Support Staff Profiles and the County Council s Green Book Pay and Grading Structure form part of the Whole School Pay Policy. All support staff will be appointed to a profile within the Framework of Support Staff Profiles. Profile Number/Title/Grade: C1290/Clerical Assistant for SENCo /Grade 4 Position Weekly Hours: 15hrs - Term time Post Holder: ********* Responsible to: The Headteacher, Line Manager and the Local Governing Body Main purpose of the job: To work under the direction and guidance of senior staff to provide general clerical, administrative support to the school. Duties and responsibilities All support staff are required to carry out the duties of as set out in the job description. The Pay and Grading Structure reflects a points-to-pay relationship; the points attached to each post within the Framework determine the salary that will be paid. The Pay and Grading Structure has grades with incremental points within it. The penultimate point is a Contribution Based Point. In April each year employees will automatically move to the next incremental point. However, when the employee is due to move to the final incremental point within the grade it will not be an automatic progression. It will be dependent upon their satisfactory performance which will be identified with their Performance Management Review. Accountabilities: Support to Other Staff Provide personal, administrative and organisational support to school SENCo, Inclusion and other staff. Support triage desk in Student Services Deal with telephone calls in relation to SEN Support Organisational Management Provide administrative support to SENCo Manage SEN Register and student records Manage SEN area on SIMS.net and attach relevant documents Filing of all SEN information centrally, with daily and weekly maintenance of files, manage manual and computerised record/information/data as required. Undertake typing and complex IT based tasks Undertake administration of complex procedures - 1

2 Support for Administration Manage SEN student records Prepare SEN Data as requested by SENCo Production of individual Student Provision Mapping reports for use by SENCo. Produce relevant documentation for Review Meetings, including letters and invites to meetings Attend meetings when required, take minutes of meeting and circulate them appropriately Liaising with external agencies and being main point of contact within school Support checking of Census Data Support with timetabling of Teaching Assistants Monitoring and ordering stationery within SEN Support in administration of Access Arrangements. Team working and collaboration Participate in any relevant meetings/professional development opportunities at the school, which relate to the organisation of the school. Work as a team member and identify opportunities for working with colleagues and sharing the development of effective practice with them. Ensure that colleagues understand the roles they are expected to fulfil. Cover for absent colleagues within the remit of their Job Profile. Demonstrate, give advice and guidance to, or train other employees or trainees on own duties. Fulfil wider professional responsibilities Work collaboratively with others to develop effective professional relationships. Communicate effectively with parents/carers with regard to students well-being using school systems as appropriate. Communicate and co-operate with relevant external bodies. Make a positive contribution to the wider life and ethos of the school. Professional development Regularly review the effectiveness of own role and refine approaches where necessary responding to advice and feedback from colleagues. Be responsible for improving own role through participating fully in training and development opportunities identified by the school or as developed as an outcome of appraisal. 4 Essential Criteria Experience General clerical/administrative Person Specification Clerical Assistant for SENCo Qualifications/Training NVQ2 Business and Administration or equivalent qualification or experience in relevant discipline. Good numeracy and literacy skills Knowledge/Skills Effective use of ICT packages Ability to use relevant equipment/resources. Good keyboard skills. Knowledge or relevant policies/codes of practice and awareness of relevant legislation. Ability to work constructively as part of a team. Ability to relate well to children and to adults. Good organizing, planning and prioritising skills. Methodical with a good attention to detail. A good understanding of SEN policies and practices Behavioural Attributes Customer focused.
